Meeting Notes
-
How many students staying in PVD after graduation in May?
-
Immediate reaction to proposal favorable!
-
 J&W archive
: menu collection, key artifacts as iconic pieces,airport/train station (what form does that take?), personal/familynetwork with artifacts to share
-
Keeping in perspective with time frame
good start but makesure to stay within the limited scope!
-
 J&W Q&A:
o
April 8-15 as installation? April 15 as exhibit opening?Should work with schedule, but J&W staff need to check onopening night.
o
EW proposed a segmented exhibit focusing on individualmodes of transportation, installing individual sections of the exhibit, piecemeal approach?
o
 Janet’s project
– stagecoach and using the saloon settingfor practicum project – What’s the scope and space of herproject? How does it connect with the rest of the largerexhibit?
o
EG points to the difficulties in having some groups readybefore others
o
EW needs focus areas before winter break in order to startpulling objects from the archives (i.e. January 28 is toolate)
o
We have access to the museum database, but only 1/6 of the materials are catalogued at this point so EW will needto be responsible for hunting down the materials thathaven’t been put in the database
o
EW building story from objects, not the other way around
o
EG asks for brainstorm list of topics/themes that the J&Wstaff has come up with based on what they know isavailable in their collection
o
SS needs good lead time. When we get further along, we’llneed to set up meeting to talk to SS about what we aregoing to include, how it should be mounted, how muchspace we have to work with, etc.
o
We do have access to the exhibit prep room for planning, construction, and secure storage.
o
Designer?
We can work with the University, but will takelonger (need to move on this ASAP!); otherwise, it’d beabout $5000 fee to have it done outside.
o
Printing?
RG estimates about $5000 (rather than the$1500 originally budgeted) for printing.

o
Editorial Control?
RS has final editing comments, but theproject voice is the PH groups.
o
Crediting?
The project will be credited to the PH group onpublic programming, signage within the exhibit, etc.
o
Construction?
SS does construction. The print center at J&W took care of the object labels. Most of the otherprinting was done out-of-house.
o
Creative?
J&W creative folks are a little unreliable…Small things can be turned around quickly, but largerthings will take some significant lead time (about amonth?)
o
Budget?
What is the JNBC contribution?
Printing/Construction - $5000-6000
Design - $6000
Opening - $1000-2000
Work with a club at J&W to cater, pay for food
Special event person to work with on foodideas
Publicity (press release, cards, calls, invitation only?)
o
 J&W students?
RS suggested outreach to specificstudent groups: the food and culture club, diversity club
o
Programming?
Fundraising recreation dinner?
Next steps
-
RS to contact creative services at J&W to work on project probono (will let us know if this will work out early next week)
o
If we work with J&W, planning with and submitting text todesigner needs to be spread out, not dumped in one largechunk (work through creative services seems to sufferwhen submitted in one lump)
-
Need to edit the timeline to accommodate collections pulling
during
spring break
-
Corporate sponsors?
o
Consider getting featured in Amtrak magazine and/orairline magazines for airlines coming into T.F. Green (EWsuggested asking for a buy-in from the organizations.)
o
For the gallery opening, donations from the airline forfood/take-aways would be a good idea.
-
Gallery night?
o
Cost to participate may outweigh the actual benefit to themuseum/exhibit?
o
RS would be willing to plan something if the cost seemsappropriate.
