CHAPTER 3.0 ORGANISATION AND MANAGEMENT: 3.

1 INTRODUCTION: For a business to achieve its goals and succeed, it has to have a clearly defined organization and management to allow better decision making, fast and reliable information flow and in the proper ways for workers to channel their grievances. 3.2 ORGANISATION STRUCTURE:

3.3 BUSINESS WORK FORCE AND QUALIFICATION 3.4 PERSONNEL NUMBER AND DUTIES: The employee number in the firm will include the general manager, consultancy manager, site and product supervisor, accountant, IT technician, receptionist GENERAL managers will do recruitment of employees and the directing manager will recruit the restaurant supervisor. The business will use the following criteria in the recruitment of its employees: Experience Skills and qualifications Company training

3.3.1 General Manager Ill be the general manager unto which I am the sole proprietor of the business. All the employees will be reporting to the consultancy manager and he/she will then report to me. 3.3.2 software Consultancy manager Diploma/degree in ICT. Holder of certified in java php ,or visual basic .net . Minimum of four years of experience with a recognized firm. Must be between 21-27years of age. Duties Coming up with software solutions Makes the final decision on issues affecting the business after getting the opinions of his firm manager. Designing softwares. Debugging and training of end users. Maintain and upgrade softwares to meet end users needs. Hardware and networking manager Diploma/degree in ICT. Holder of certified MCSE, CCNA AND A PLUS . Minimum of four years of experience with a recognized firm. Must be between 21-27years of age. Duties Coming up with hardware solutions Makes the final decision on issues affecting the business after getting the opinions of his firm manager. Installing computer hardware. Maintain and upgrade softwares to meet end users needs. Configuring and installing networking components .

3.4.1 Accountant Qualifications Degree or Diploma in business management/administration. Diploma or advanced diploma in computer studies. Holder of certified public accountant (CPA) section 2. Should be 25years and above. Duties Oversees the financial obligation of the firm. Oversees the work of other junior employees. Prepares reports to present to the managing director. Audit and monitor funds

3.4.2 IT technician Qualifications Diploma or degree in information technology. Proficiency in web design and internet maintenance. Msql server and software maintenance skills an added advantage. Computer literate especially in business packages. Duties Monitors online clients requests, information, feedback and updates. Updating the firms web page and database management. He is the link between the online clients and the firms management and staff. Compiles the business documents and presents them to the consultancy manager.

3.4.5 Receptionist Qualifications Must have secretarial qualification. Computer literate. Duties Receive and direct clients. 3.6 INCENTIVE: The business will offer incentives to encourage the workers to perform their tasks as effectively as possible. The incentive includes the following. Cash bonus for after work hours. Medical allowances. Travel allowances. Form Saccos for workers. Yearly meeting to allow workers to raise their grievances and suggestions. 3.7 LICENCES, PERMITS AND BY-LAWS: Trade license The business will require a license to trading and will have to apply for it at the Kenya Revenue Authority (K R A) offices in Mombasa. The original copies of the documents will be displayed on the wall of the business premises and another copy in the offices of the managing director. Business by-laws By-laws are there to ensure that the firm works under the law with proper guidelines. A certificate is required as a mark of passing the requirements of the by-laws provided by the Mombasa Municipal Council. 3.8 SUPPORTIVE SERVICES The business will acquire some services that will be an integral part of the business and must always in operation for the business to run smoothly both internally and externally. These services will be paid for according to the type of service offered. Auditoria services The business will acquire the services of an audit firm to confirm if financial statements portray a true and fair view of the economical affairs. The audit firm will also check to see if the business is properly utilizing its assets and if the books of accounts are kept according to the recent and most applicable accounting standards. They also give the company advice when needed. Insurance services The business will need to cover itself from losses due to theft; fire and destruction, hence will acquire the services of an insurance company (CFC insurance company)

Legal services A law firm will be acquired to see to the business legal affairs and will represent the business in lawsuits against or for the business.
