Principles of Good Letter Writing
 Writing better business correspondence is many sided challenge. Both planning and composing effective messages require that you put the principles and techniques into practice.Every business writer should be able to produce a written message that achieves two goals:

Is structurally complete
2.
 
 Achieves its purpose quickly, clearly, and effectively.
 The Total Effect on the Reader
Most people respond favorably to a letter’s naturalness, courtesy, friendliness, and sincerity. The total effect on the reader determines whether he or she will react the way you want.If your letter does it job properly, you’ll be able to answer yes to the following questions:

 Will the reader understand the message?2.
 
Is the tone of the letter positive?3.
 
 Will the letter do its specific job and also build goodwill?
 Will the Reader Understand the Message?
 Writing must be simple to be clear. The simple sentence is the most useful tool in businesscorrespondence. The simple sentence is a single clause containing one subject and onepredicate. Resist the temptation to join a single idea to another idea with one of these links:and, but, nor, or. To keep your sentence simple, avoid overuse of conjunctions such astherefore, moreover, however, and accordingly.Use Simple words your reader will easily understand without consulting a dictionary,to help the reader quickly understand your intended meaning.
Is the Tone of the Letter Positive?
How you say what you have to say may influence your reader just as much as what you say. Your letter will easily understand by the reader if you:

Use a conversational, informal writing style.2.
 
Stress positive rather than negative ideas.3.
 
Emphasize a “you” viewpoint throughout the letter.
Naturalness, courtesy, friendliness, and sincerity are essential to good tone in a letter. Thefriendly tone of your writing should suggest that:

 You are interested in the reader.3.
 
 You sincerely want to help.
