We are presently seeking to fill one (1)
Administrative Assistant position
to support our child and youth in careservices provided by our agency.
Reporting to the Supervisor of the Foster Care/Adoption team, the Administrative Assistant will provideadministrative and secretarial support by assuming the following responsibilities:-Receive and promptly relay telephone messages for work unit personnel from clients, professional staff,caregivers, volunteers and others as required.-Type as required, from notes, minutes, correspondence, file recordings, legal documentation and otheradministrative data forms, utilizing Microsoft Office programs.-Create, maintain, update, close and transfer files and records and activity data.-Initiate and maintain data entry as required on childcare, client files and volunteer activities.-Schedule interviews, meetings, visits, client’s transportation, and all other related tasks the unit personnelmay need assistance with.-Complete travel and transportation arrangements as required.-Coordinate correspondence and documentation within a large team of Foster Care/Adoption workers.-Other duties include completing general administrative tasks such as preparing correspondence, updatingstatistical reports, distributing mail, faxing, photocopying documents and ordering supplies, as required.
Possess a college diploma (Business or Office Administrative Program) or equivalent secretarial trainingcourses.
A Legal Assistant college diploma would be considered an asset.
Minimum of 2 years’ experience in an administrative position with progressive responsibility.
Good knowledge of office procedures such as setting up and maintaining filing systems, manuals, etc.
Sound knowledge and demonstrated skills with Excel spreadsheets and computer applications (e.g. MSOffice, Lotus Notes and Word Perfect).
Knowledge of Child & Family Services Act (CFSA) as it relates to adoption/legal custody, highly desired.
Knowledge of basic accounting functions would be considered an asset.
Knowledge of legal and court process would be considered an asset.
Demonstrated knowledge, skills and abilities to work effectively in cross-cultural situations.
Excellent communication skills (both verbally and in writing) with client, staff and community professionals.
Excellent capacity to work independently as well within a team setting.
Good judgment, strong interpersonal, organizational and time management skills.
Bilingualism (English/French) would be considered an asset.
Monday to Friday, from 8:30 a.m. to 4:30 p.m.We offer a salary range of $32,571 to $39,840, commensurate with experience. We also offer generous leaveprovisions (such as 4 weeks of vacation after 1 year of service).
