Dear Mayor and Council:
We, the Willoughby Community Hall Society, wish to bring to your attention the present
dilemma we have with respect to the hall. As you are aware we have been engaged with
as a part of the proposed Athenry Development. In that development proposal our
heritage community hall is to be moved and considerable upgrades to the building are to
happen through the agreement we have with the developer, Tony and Gwen McCamley.
We are working to finalize these details as I write this leter.
The issue we have is twofold and is reflective of the timing for such a move to take place.
Firstly, in a meeting in November 2008, it was decided by our executive that with the
uncertain future of the timing for the development to commence and the move of the hall,
that we would not commit to any long term rentals past May of 2009. This decision was
based on the information we had at our disposal at that time. Since then the project has
moved along at a slower pace than expected making it a challenge for us to know an
appropriate time frame for making bookings. At present we are losing much needed
revenue for general hall operation so some clarification of this matter is most important to
us, Our hall rental revenue is what pays for our general operations, especially for those
groups which qualify for free rentals under our Mission Statement, this includes all youth
groups, i.e. Scouts, Dancing, Church, Sports and our local Seniors activities.
The second issue comes with respect to ongoing maintenance and the costs associated
with that. Recently we had a major roof leak. ‘The estimated cost for replacement is
$25,000. This money would take the Society some time to raise through our main
revenue source, hall rentals and a grant available through the Township at the beginning
of their fiscal year. Further, we are very reticent to move forward with repairs as this
would be covered under the moving agreement. To commit to spending $25,000 from
our hall reserves and future revenue stream seems fruitless when you consider it as part
of the expected building upgrades.
We are asking Council to give consideration to our request for some specific time frame
with respect to this Development Proposal so that we, the Society can have some
assurance for planning and hall rental purposes.
