Board Members Job Descriptions As of October, 2013

President
The President is the CEO of the corporation, and has responsibility for the general management of the corporation and carries out the resolutions of the board of directors. Creates board meeting agendas Leads monthly club meeting With secretary, maintain membership in RRCA and USATF

Vice-President
Attend board meetings. Lead board meetings and monthly club meetings in absence of president Serve on subcommittees as needed or serve as committee heads

Members at Large
Attend board meetings Serve as committee heads.

Secretary
Take minutes at board meetings and distribute same to board. Interface with insurance company and race directors to secure clubs insurance and issue certificates to requesting municipalities. With president, maintain membership in RRCA and USATF Write this document

Treasurer
The Treasurer has the care and custody of all the funds of club, maintains the bank account, signs and executes contracts, checks, drafts, notes and orders in the name of the Corporation. Receive deposits from runsignup and other online sources Receive mailed payments and reconcile same Reconcile profit/loss of individual races and the club overall File regulatory paperwork and taxes. Provide financial snapshots to board at meetings

Race Coordinator
January Letter to Yorktown VAC giving dates of TRRC races held in FDR Park September/October Send preliminary race schedule for the upcoming year to race directors for feedback/changes/confirm dates, etc. October/November Finalize race schedule, send to Greg C for TRRC Website, Andy Kimmerling at Westchester RR OTHER Invite non-Board Race Directors to a Race Director meeting in combination with a regular board meeting. Attend all TRRC Board meetings Invite non-Board Race Directors to TRRC Board meeting preceding their event to review any issues. E-mails: Sales representatives (usually forward to race directors) Requests to have other events listed on our website, forward to Greg Cohen for inclusion on website if appropriate Inform requesters that we are unable to help with non-TRRC races and other events Membership Coordinator Maintains membership list. Encourages people to join the club. fields questions from members and prospective members

Scoring/Timing Director
TRRC currently uses The Race Director scoring software. We purchase a support subscription from Race Management Systems, Inc. which entitles us to support from Roger Bradshaw as well as all software updates. The software is installed on a Dell Laptop which is property of TRRC and held by the race scorer.

Before races Set races up in scoring system Import registrations into scoring system from RunSignUp ( or other online registration system) Enter paper registrations into the scoring system Establish a pre-registration list; print labels and attach them to bibs for pre-registered runners Charge the laptop, printer, and time machines Bring pre-registered bibs, race-day bibs, and scoring equipment ( laptop, time machines, printer) to the race

During race-day registration Enter participants into scoring system Assign a volunteer(s) to be at the race start to start the time machine(s) During races Assign volunteers to man the time machine and take select times Import times from the time machine(s) Enter bib numbers from the spindles Produce results reports; troubleshoot discrepancies as needed Print results reports for participants to view and for awards ceremony

After races Send results to web master to post on runner.org

Mens Team Captain


Maintain email list of team races Demand participation Monitor TRR registration to NYRR events and resolve issues Assist coordination of car pools Represent TRR at NYRR Club Council Represent TRR for all aspects of member participation in the NYC Marathon -Represent TRR at non-NYRR events as required

Womens Team Captain


January Email list of team races, encourage registration February Organize ladies luncheon Recap previous year As Needed Email reminders of upcoming races Check registration for team races; Make sure we have teams for each race, where possible As much as possible, race as third woman where necessary Email race results Post notices on trr website team page

Web Master
Maintain underlying web infrastructure Post and update race calendar and tease upcoming races Email Blasts to membership Post results of races. Post photos of races. Accept and rewrite other clubs race listings. Reject requests for listing of commercial races except when they are local or directly relevant to the club ( for example, toughman) Answer emails from people requesting info about the club. Maintain membership list. List races on runsignup

Equipment Manager
Store TRRC trailer, clean and organize periodically. Make any necessary repairs. Store additional equipment in basement or garage not being used ( seasonal). Purchase any equipment approved by the board ASAP. Repair and maintain equipment as necessary. Tow trailer to races and "Lost Weekend". Tom Maile has been helping out over the last few years with this. Install new equipment at races ( Tarps) or what board approves. Charge and maintain clocks for races. Order bibs for each season races. Karen Davies has been doing this over the last few years. Try to keep inventory Supply equipment to other clubs on an "As needed basis" such as Harry Chapin race or NYC Marathon. Attend Board Meetings to discuss equipment and inventory needs.
