Backing Up Your Data to CD or DVD

Before we begin:
If you have a lot of data, and particularly your Outlook Personal Folders are
very large, you will probably need a DVD to back everything up. If you only
have a few smaller things and smaller Personal Folders, a CD should be fine.
If you are in doubt, and you have a DVD burner on your machine, Backup to
DVD to be safe.

First, insert a blank CD or DVD into your CD or DVD burner respectively. You
should see something like this popup on your screen:
Choose “Open writable CD folder” or “Open writable DVD folder” from the
menu and click OK. A new, empty Window will open.

The next thing you want to do is create an empty, new folder inside this new
window to store everything you want to backup in one convenient place. This
will help avoid any confusion and help keep you organized while you grab all
the files you want to backup. This is especially important if you have lots of
data. To do this, right-click your desktop and open up the ‘New’ menu and
click on ‘Folder’ at the top. You may want to name the new folder “Backup”
with today’s date. This will help when the time comes to restore your data,
so you know which backup is the most recent.

Now it’s time to start locating and copying everything you wish to backup.
The essential items you should back up are:
•
My Documents
•
Favorites
•
Outlook Personal Folders (Offline Folders)
•
Any folders on the hard drive with documents not stored in My
Documents

My Documents is where we always recommend users store all their data for this exact reason; it makes backing up your data so much easier. Open My Computer and then open your Local Disk (C:) drive.

Find the folder that says Documents and Settings and open it.

Inside Documents and Settings you will see several folders. One of them has the same name as the username you use to log into the computer with. This is the next folder you want to open. For example, my username is jcampbel so I need to find the corresponding folder:

Inside this folder you will several more folders. Find My Documents, and then
right-click on it and choose Copy.
