It is a process of passing information from one person to another.
Communication is the exchange of information between people or groups.
Using of information technology
Effective communication will only happen if information is sent, received and then
understood by receiver and sender knows that message has been understood.
Importance of Effective Communication
The number and quality of ideas generated by staff will increases.
Speed of decision making on right time
Effective coordination between different departments
The communication Process
Managers may communicate one-on-one or in a group, but the communication
process is same. The effective communication process includes five phases.
The sender has an idea to share with others (or any other thing like opinion or
any order which sender wants to send)
That idea is converted into message by using appropriate language.
That message is now transmitted to the receiver by using the appropriate
medium/channel (the mean of transferring a message from sender to receiver)
The receiver gets the message. He must understand the aim of message.
The receiver gives the feedback to the sender that message is received and
understood by him.
If there is a one way communication, then there is no chance for feedback. For example,
if the advertisement of any product doesn’t contain a toll free number or any address for
requesting more information, it means this is one way communication. Here feed back
that message is understood or more information is required to understand message is not
But in two way communications sender seeks for feed back. Managers who listen to
feed back from employees, customers, suppliers, and other important groups can gain
valuable information that will enhance their decision making.
One to one conversation, interviews, group meetings, public address etc are types of
oral communication. Its drawback is that there is no record of such communication.
