Sep 8, 2011 Phi Theta Kappa MINUTES

12:30pm : Geoff welcomed us to the first official Phi Theta Kappa meeting as the new president. During the meeting we were stuffing the envelopes that were going to be sent all the prospective members. Inside we included: Phi Theta Kappa invitation letter, Letter from the president, Phi Theta kappa brochure.

Officers Only Meeting: Geoff communicated to the advisors and officers how he is not believe in the Officers meeting (meeting that takes place the first week of every month) He does not agree that the members come to the meeting, and we do not allow them to stay just because it is an officer only meeting. It causes member not to want to go back.

Dr. Ahsani: we should keep it just if we need it

Prof. Heidary: If we need it, then leave it for after the meeting. Thursday at 1:30pm. We should not be telling members that they cannot stay in the meeting just because it is for officers only.

Prof. Schmit: Agrees with Pro. Heidary

Ahsanis Reminder for all the officers:

Do not Forget the officers training this Saturday September 10, 2011 (MANDATORY) in room L-301 from 8:30am 4:00pm Breakfast and lunch will be included Geoff Smith and Sean Murphy will provide us with the breakfast. We needed people to bring ice and drinks Heidary has access to ice she will provide it Alyssa- Will buy soda cans for a total of around 20 people. Whoever is helping with the set up, please be in room L-301 by 8:00am Please keep your receipts for refund.

Professor Ahsani ask: Is Courtney coming to speak? Does she need Directions, have you (Geoff) contacted her?

Geoff: She has the directions to get to UCC, I contacted her already.

Message for members but especially for officers, ARE YOU GETTING THE E-MAILS SENT TO YOU? There is no way to know if you are receiving E-mails that are sent to you if you do not reply back. PLEASE MAKE AN EFFORT to reply at least a thanks- Geoff

Skip this until Ben meets with professor Schmit and go over the finantial book, and gets familiar with it.

Honors/ College Project:

Geoff the president wanted to give a special thanks to Sean Murphy for E-mailing the rubrics for the honors program. OFFICERS PLEASE PRINT AND READ IT. Sean: Our main project is based on the DEMOCRATIZATION OF INFORMATION: POWER, PERIL, and PROMISE. We decided to do it around science and education with local schools. The purpose is to get students to develop more critical thinking. In science there is not always an exact answer. During this time student are growing with the idea that is not ok to fail. This is not true. It is ok to fail. Also during this information age, it is very difficult to know what is the right/ wrong information. They need to learn how to got differentiate between both. Our target? Most probably middle school students. There is an study that says how boys loses interest in science during their middles school years, Girls in high school.

When it comes to the College Project,

-We did it last semester, by cleaning the Cranford River

- to answer the questions for the college project, the questions will be divided and then put together -Sean William could be a possible candidate to edit the college program and the Hallmarks. -When reaching out to a professor to Edit the college program and the Hallmarks, please meet deadlines. If not possible to meet deadline, let the professor know on time. - If you have a professor in mind, please reach out to them

Mentoring Program:

There is not a date yet. We need to find out who want to volunteer to become a mentor. We want to change the mentoring program, it has not work last couple of semesters We need more involvement from mentors We need to create a closer connection Before mentees needed to ontact mentors, now mentors will be contacting mentees

The idea is to assign a mentor to every new member as soon as they have the meeting with professor Schmit

Maybe after the walk-a-thon whoever wants to be a mentor should meet and have lunch, to find out the expectations every mentor has to fulfill

Luz- Marina needs to had the mentoring policies by September 19, 2011

There will be business cards with the mentors information. It will have the UCC E-mail. -FYI: There is a way that all the mails you receive to your UCC E-mail to be forwarded to the E-mail you check the most. - Joanna VP of fundraising would like to know if there could be a pin as the business card logo.

Reach out to all the members who wants to become a Mentor, Send them an E-mail, give a deadline such as to respond by Monday Sept. 12.2011

Fundraising:

Joana wanted to give a special thanks to Sean Williams for helping to design the signs for the book sale. Joana created template signing sheets that we are going to start using For selling such as the bake sale, book sale, or even the blood drive, we are now going to have around 4 people helping every hour. We will be getting a list from heidary to see the time classes end every day

so we can know at what time we definitely need to have people helping. Especially at night to see until what time it should be open.

Walk-a-thon: September 17, 2011 starts at 9:15am

Iota Xi will pay for it For a cancer Charity We will send an email to all members to remind everyone, and with all the info We are going as a group Heidary would like for us to be able to see if we could find other sponsors who will help us to pay the fees.

Website: For the website we need the calendar of events. It was decided that we should go back to the old website until we get to owl. We just need to update the old website. Richard and paola should work more as a group so things would not be as difficult We need the newsletter by November Website needs to be updated We need headshots Officers on Saturday September 10, 2011 we will be getting headshots from every officer. So girls come looking pretty, guys, come looking handsome!

New Enhancement: Should we add the competitive edge in the enhancement program??? The decision was yes

Maria Would like to know if we could have a couple of presidents from other chapter coming to the officers training on Saturday, September 10, 2011------ the answer was YES , they are more than welcome to come.
