PowerPoint in Marketing

Microsoft PowerPoint is a presentation program developed by Microsoft. It is part of the Microsoft Office system. Microsoft PowerPoint runs on Microsoft Windows and the Mac OS computer operating systems. It is widely used by business people, educators, students, and trainers and is among the most prevalent forms of persuasion technology. Beginning with Microsoft Office 2003, Microsoft revised branding to emphasize PowerPoint's identity as a component within the office suite. Microsoft began calling it Microsoft Office PowerPoint instead of merely Microsoft PowerPoint. The current version is Microsoft Office PowerPoint 2007. As a part of the Microsoft Office suite, PowerPoint has become the world's most widely used presentation program.

History.
The original Microsoft Office PowerPoint was developed by Bob Gaskins and software developer Dennis Austin as Presenter for Forethought, Inc, which they later renamed PowerPoint. PowerPoint 1.0 was released in 1987 for the Apple Macintosh. It ran in black and white, generating text-and-graphics pages for overhead transparencies. A new full

color version of PowerPoint shipped a year later after the first color Macintosh came to market. Microsoft Corporation purchased Forethought and its PowerPoint software product for $14 million on July 31, 1987 In 1990 the first Windows versions were produced for Windows 3.0. Since 1990, PowerPoint is included in Microsoft Office suite of applications -- except for the Basic Editions of the suite. The 2002 version, part of the Microsoft Office XP Professional suite and also available as a stand-alone product, provided features such as comparing and merging changes in presentations, the ability to define animation paths for individual shapes, pyramid/radial/target and Venn diagrams, multiple slide masters, a "task pane" to view and select text and objects on the clipboard, password protection for presentations, automatic "photo album" generation, and the use of "smart tags" allowing people to quickly select the format of text copied into the presentation. Microsoft Office PowerPoint 2003 did not differ much from the 2002/XP version. It enhanced collaboration between co-workers and featured "Package for CD", which makes it easy to burn presentations with multimedia content and the viewer on CDROM for distribution. It also improved support for graphics and multimedia. The current version, Microsoft Office PowerPoint 2007, released in November 2006, brought major changes of the user interface and enhanced graphic capabilities.

PowerPoint is a very powerful program used to create and manipulate slideshows. It is commonly used in advertising because of its wide range of visual effects. It's very easy to get started with PowerPoint by using the help file with the program. It's not hard to create a very simple PowerPoint presentation with text and some graphics. When you start to get better, the more powerful features are very useful. These include the slide master, which allows you to modify aspects of every slide including global copy/paste, custom animation schemes, slide transitions, background effects and interactive PowerPoint with a system of links and buttons, where the user chooses options. Interactive PowerPoint has anything from a button to move to the next slide to a full compliment of hyperlinks that function like a nested website.

Goals.
Kosslyn says that presentation success can be virtually defined by meeting these three goals: (1) Connect with your audience (2) Direct and hold their attention (3) Promote understanding & memory

Operation.
In PowerPoint, as in most other presentation software, text, graphics, movies, and other objects are positioned on individual pages or "slides". The "slide" analogy is a reference to the slide projector, a device which has become somewhat obsolete due to the use of PowerPoint and other presentation software. Slides can be printed, or (more often) displayed on-screen and navigated through at the command of the presenter. Slides can also form the basis of webcasts. PowerPoint provides three types of movements. Entrance, emphasis, and exit of elements on a slide itself are controlled by what PowerPoint calls Custom

Animations. Transitions, on the other hand are movements between slides. These can be animated in a variety of ways. Custom animation can be used to create small story boards by animating pictures to enter, exit or move. with callouts, speech bubbles with edited text can be sent on and off to create speech. The overall design of a presentation can be controlled with a master slide; and the overall structure, extending to the text on each slide, can be edited using a primitive outliner. Presentations can be saved and run in any of the file formats: the default .ppt (presentation), .pps (PowerPoint Show) or .pot (template). In PowerPoint 2007 and Mac OS X 2008 versions, the XML-based file formats .pptx, .ppsx and .potx have been introduced.

Compatibility.
As Microsoft Office files are often sent from one computer user to another, arguably the most important feature of any presentation softwaresuch as Apple's Keynote, or OpenOffice.org Impresshas become the ability to open Microsoft Office PowerPoint files. However, because of PowerPoint's ability to embed content from other applications through OLE, some kinds of presentations become highly tied to the Windows platform, meaning that even PowerPoint on Mac OS X cannot always successfully open its own files originating in the Windows version.

Versions.
Generally, every version of PowerPoint can read and save files in the format of previous versions of PowerPoint. Since older versions don't support some of the features of newer versions, backward compatibility isn't complete. Moving a presentation back and forth repeatedly between versions and/or between PC and Mac versions of PowerPoint will make your hair fall out.

The scientific world revolves around sharing information. This can be done in written, graphic, or verbal form. It is ULTRA important that you be able to communicate in all forms. This can make or break your career. You need to understand the factors that influence your preparation. Your purpose, the audience,

and the context in which you are to deliver your presentation should determine the content, organization, tone, and the mediums (slides, video, etc...) you use.

How to Start Power Point


Step 1: To start PowerPoint, click Start go to Programs and select Microsoft PowerPoint.

Step 2: A title slide appears when you first open the program. Enter the desired title for the presentation and you may also want to enter your name and date as a subtitle.

Step 3: To change the design or look of the presentation, click Format and select Slide Design On the right hand side of the screen, a list of available design templates will appear. Simply select one of the designs and it will be applied to your entire presentation.

Step 4: From there youll want to create a new slide. Click Insert then New Slide. This slide is usually an Agenda or Outline page. Enter a title for this slide then enter any relevant text to the slide below the title.

Step 5: For each topic you list under the Agenda or Outline page, youll want to make one or more relevant slides to be able to help discuss it. For the next slide, create a new slide the same way as mentioned earlier and enter Introduction (or whatever your first point is in your Agenda section) as the title. Next enter general information about the main topic underneath. To subdivide a topic, hit the Tab key. Youll want to have at least 2 subtopics for a bullet point.

If you need to undo the indention to be able to create more main points, there is a button on the top tool bar called Decrease Indent.

Step 6: Next youll want to create the next slide in your Agenda section. In some cases youll want to insert an image into one of your slides. To do this, go to Format then select Slide Layout. You should select Title, Text, and Content. Enter information about lions on the left side. On the right side, select the Insert Picture button. Browse to the picture you want to add and click Insert.

You can resize the picture by selecting the picture and clicking and dragging the resize handles that will appear around the picture. Step 7: Create the next slides, in your Agenda, using the same methods above.

Step 8: After you create all your slides about your topic, you will normally want to create a Conclusion slide. This slide will just restate your main points you have talked about during your presentation. It can sometimes mirror what your Agenda or Outline slide says.

Step 9: Next, you will probably want to create a References or Works Cited slide. This is, obviously, a slide telling your audience where you got your

information and pictures from. You can feel free to use whatever style you want, usually APA or MLA formatting style.

Step 10: Finally you can start your presentation. To do this, you need to go to the top, click Slide Show and click View Show.

Step 11: Your presentation will be started, click the left mouse button or hit the <ENTER> key to advance each slide.

Importance of power point.


As a designer of PowerPoint templates/backgrounds, its important to recognize that the majority of people do not have the expertise or knowledge to effectively design their own PowerPoint template. While many people may be known as 'the expert in their field', it is impossible for anyone to be an expert at everything. While some people may do an adequate job laying out basic slides in the PowerPoint program, few have the experience or skill to create an effective design that will appropriately represent their firm in an attractive manner. For presenters that believe they have a great sense of style, its also important to realize that professional template designers are also technically skilled in choosing images that are of the right resolution and in creating the backgrounds/themes in a resolution that is going to display appropriately. Designing backgrounds in a color Palette that will enable the user to type/display text clearly is also extremely important. In response to presenters, 'choosing the right template for their presentation', if the goal of the presentation is to market or sell a product or service, one must make the

best use of every 'tool in their toolbox' to ensure that their sales pitch will be at it's most effective. When choosing a template from the vast selection of quality products, it's important to select the RIGHT design and not to choose something because it looks 'cool' or because its your personal preference. One must select a design that communicates the overall mood of the company and the products/services they sell. For example, a company doing a presentation on financial products, would achieve a much great level of success in their presentation if they were to choose a template that reflects the overall financial 'theme' of the company. To elaborate and provide a more detailed example; a bank doing a presentation on proven techniques to lower monthly expenses, should choose a design that has a 'financial' feeling in contrast to choosing a template that may be more geared towards the 'travel' industry or something like that. It is of major importance that the presenter looks credible. Choosing a background that does not reflect the mood of the company could easily compromise the audiences opinion of the presenter. On another note, a presenter should always select a theme that is in the same color family as their companies existing collateral materials. If the overall color scheme of all existing marketing (logo, letterhead, brochures, etc) is navy blue and aqua, selecting a template that is in that color family would provide a much better overall impression. If a company is providing handouts of any kind, having a cohesive presentation that matches those handouts in some way will tie the whole thing together for the audience.

You should be concerned only with one thing when presenting to an audience. That is "Has the audience come away from this with information that was in-line with the original point of the presentation?" If people leave your PowerPoint presentation armed with confusion and wonder, your presentation has failed. In a sales situation presenting information properly to prospects is vital. From introducing a product or service to closing the sale, small business cannot afford to have people walk away thinking you've wasted their time. Presentations do not have a problem with lack of information. Most of the time there is too much. The biggest issue is the way you present your PowerPoint presentation. What happens when you cloud your PowerPoint presentation with visuals that aren't up to par? (For instance, pictures that are taken right out of the generic clipart folder and put in to fill space.) You send the message that your PowerPoint presentation will be of the generic kind, so sit back and relax, you've seen it before. You lose your audience before you can present your information. I've witnessed companies that outsource their external PowerPoint presentations to graphic design firms, but for internal audiences it's given to whoever is around that know how to open PowerPoint. The message to employees is very simple: You aren't as important to us. Purchasing a CD set of backgrounds and pictures is a smart investment. I use Digital Juice and I have hundreds of themed backgrounds and thousands of photos to choose from, most of which I've never seen in any other presentation. Then there is the flipside: overdoing it. The overuse of technological bells and whistles in PowerPoint presentations is an under-rated problem. Many presenters think, "If it's new and dynamic; it will make my PowerPoint presentation much better." There is nothing better than a PowerPoint presentation that is done professionally with only limited effects. A common mistake is the overuse of PowerPoint animations and transitions during a slideshow. I'm sure you've seen what I'm talking about; the presenter that animates each sentence so it flies in, drops down, and explodes on the screen with an accompanying sound effect. What happens after that? Do you lose track of what the presenter is saying? Forget within three seconds what the point was because you were so focused on the effects that you missed the content? While the thought process behind these special effects is, "This highlights my point and emphasizes the importance," the outcome is often the opposite. People tend to get distracted by the effects. Especially with sounds, where the presenter can hear the whooshing noise, along with the few in the front of the room. The people in the middle think they heard something, but couldn't make it out and the people at the back are wondering why there is a fly somewhere in the meeting room. Laptops were not meant to project sound to fill a room, so don't use them to do that.

Want to emphasize a main point? Put it on the screen by itself and let people read it. A good rule for effective PowerPoint presentations is to put up only your main points and use the screen as a reference. If you run through your PowerPoint presentation (which you must do many times) and you see a slide with more than five points, start a new slide. Your slideshow is not the presentation, it is an aid. If what you say when you expand the bullet points is useful for the audience to take away, put it in the handout. Then let them know at the beginning of your PowerPoint presentation that you will give out copies of the slides. Unless you want a mutiny on your hands, I don't suggest letting people take notes all through your PowerPoint presentation, then giving them a handout at the end with all the points on it. Make sure you give the handouts at the end as well, unless it's crucial they follow along with them, or again you will distract your audience. If you have a quote or a long statement that cannot be chopped up into bullet points, put it up either on the screen and allow people to read it, or read it out loud from your notes, but not both. As much as people like to think the opposite, we can only do one thing at a time. If someone is reading the screen, they are not listening to you, and vice-versa. If only the main points are on the screen, the audience will realize their importance. Don't overwhelm your audience with techno-fluff. The power of technology is neither the point of your PowerPoint presentation, nor the strength of it. The technology should be used only sparingly or to reinforce the information you have to share. After all, your goal is to make sure they leave the room with the right information.

The company can use the power point software when the meeting is to be conduct on weekly or monthly basis, so power point has given the facility to show your work visually or graphical basis.
