JOB DESCRIPTION FRONT OF HOUSE MANAGER AND ADMINISTRATIVE ASSISTANT NORTHERN ARTS AND CULTURAL CENTRE SUMMARY STATEMENT:

The Front of House Manager and Administrative Assistant is responsible for the operation of the Northern Arts and Cultural Centre Front of House areas (lobby, auditorium and other public areas). This position encompasses bar/concession management and volunteer coordination of assigned activities including performances, ceremonies, fundraisers and community productions. Developing and implementing an effective volunteer program is vital to the operation of the Northern Arts and Cultural Centre, serving the needs of internal and external functions. This position also encompasses the coordination of a camp for youth during the March break and the coordination of a monthly art exhibition program. Finally, this position includes a wide variety of administrative support services, ranging from complex to routine, all of which contribute to the efficient and professional operation of the office. External contacts: General public, community users, Webmaster and Ticket Turtle MAJOR RESPONSIBILITIES/DUTIES: 1. Front House Manager and Assistant Administrative a) Coordinate and ensure the smooth operation of the Front of House, b) Ensure the safety of patrons, volunteers, and staff through the proper implementation and enforcement of emergency procedures, c) Coordinate volunteers through , training, evaluation and delegation of duties as necessary, d) Prepare Front of House managers reports weekly including house counts, deposits, lost and found and patrons feedback, e) Coordinate activities with the Executive and Artistic Director, the Financial Director and the Technical Director, f) Coordinate the use of the lobby for receptions including set up, decoration, food preparation and clean up, g) Conduct tours of the Northern Arts and Cultural Centre for interested groups and comprehensive tours for volunteer recruits, h) Report and follow through on any malfunctions and safety concerns in the lobby and auditorium to the Executive and Artistic Director,

i) Ensure adequate advertising through display unit, brochures, the new website, social medias, weekly newsletter and posters in lobby and the communities for upcoming events, j) Coordinate requirements for special events such as art exhibitions, internal social events, March break camp, fundraisers, k) Maintain lost and found for the Northern Arts and Cultural Centre, l) Selling tickets at the Box Office, m) Selling tickets over the phone, n) Processing payment by credit card, cheque, cash and debit, o) Running daily/weekly/monthly/annual reports from Ticket Turtle, p) Assist with loading in of show information, q) Responds to phone, email and in person enquiries providing general information and referring enquiries to appropriate sources, r) Completing accurate seating reservations, s) Recording tickets sold and names of the patrons, t) Photocopying, sending and receiving faxes, u) Maintain the archives updated and filed, v) Write and send rental show contracts, w) Maintain the office supplies inventory accurate, x) Coordinate the online store, y) Develop a marketing plan with the Executive and Artistic Director. 2. Volunteer Coordinator a) Coordinate volunteers in positions for ticket taking, program dispensing, ushering and bar/concession including scheduling and cancellations, b) Create and maintain a volunteer procedure manual, c) Conduct orientation training sessions bi-annually and general meeting on customer service annually, d) Provide ongoing recognition for volunteers, e) Create a bi-annual newsletter for volunteers, including information on upcoming events, changes in policy and special reminders, f) Coordinate theatre practicum student for Front of House duties annually, g) Maintain supplies for the volunteers. 3. Bar/Concession a) Collect, count and deposit money after each performance and arrange for adequate float money 3 to 7 days a week, b) Generate revenue through initiatives in food concession sales for show presentations, festivals, etc, c) Recruit and train volunteers to run the bar/concession, d) Maintain concession/bar through inventory, purchasing and personally picking up and delivering certain supplies on a regular basis, e) Planning, purchasing and preparing food for concession during events, f) To provide a weekly financial statements, h) To maintain the cleanliness of the concession area and arrange for returns to bottle depot.

REQUIREMENTS/QUALIFICATIONS: Post-secondary education diploma or certificate, Experience with volunteers and practical knowledge of theatre environment is essential, First Aid training and CPR, Excellent interpersonal skills, even temperament, ability to supervise effectively, Strong organizational and management skills, Willing to work long hours and split shifts, Sustained physical activity through lifting up to 50lb. (canisters and water bottles), pushing carts, lobby set up and remaining on feet for long periods of time, Ability to handle fast paced environment with many disruptions, Computer skills, Strong communication and marketing skills
