Jacobs Join Host Manual

A word o welcome from Jacobs Join partners It would be hard to find something more pervasive and persuasive than songs

sung by the community. They seem to galvanize our collective calling to make a difference in the world for peace, justice, love and equality. THIS galvanizing is why I write, record, produce, and lead songs! PLUS... it is why I felt called to produce the ...until all are fed audio project. When production finished in 2010 I knew that the real work, the deeper ministry was just beginning. Therefore, we excitedly request your assistance in bringing these missional songs/hymns into worship/fellowship settings making a difference in the lives of people who wonder where their next meal is coming from. Hunger is downer of a topic. But hunger ACTION is energizing, equalizing, hopeful, missional, musical and realizable. Together, through this project of music on a mission we can raise awareness, funding, and hopes for impoverished and hungry people in the United States and around the world. Do you realize that your hard will work will be creating Hunger Action on multiple levels? You will be providing information and transformation through the event. You will be influencing policies through the Offering of Letters. You will be funding programs that intervene by providing food to the hungry in your local community. Jacobs Join Event Activities


One of the wonderful thing about Jacobs Join is each event is completely different. While there are core activities that will be part of each event, your event will be unique to you and your community. There are other events that can incorporated into your event: *Potluck or Simple Meal -- Jacobs Join is synonym for potluck A way to raise additional monies

What we provide
We want to make hosting a Jacobs Join as easy and successful as possible. We will provide you with all the tools you need to host a successful event. We commit to bi-monthly (every other week) communications (e-mail and/or phone) with event coordinator(s) for the 3-6 months before the event. Two months before the event, we will begin weekly communication. Jacobs Join will provide the following tools: ___ Templates for... bulletin inserts posters email campaign programs information material press release Social media site set-up Easy link for acquiring Bread for the World Offering of Letters Materials Powerpoint (.ppt) with lyrics for projection A .pdf of lyrics & chord charts for vocalists and instrumentalists Simple menus with recipes -- if hosting a meal

Jacobs Join Funding Requirements


Deposit Hosting a Jacobs Join requires a deposit of $250 when your event is booked and another $250 deposit a month before the event. Bryan and Eleanor have taken on this project as a labor of love, without startup capital. So, the deposits help cover expenses of creating publicity materials, travel expenses, etc until there are some reserved funds. These funds do not count towards your fundraising totals. Funds Raised In addition to raising awareness, a Jacobs Join event raises funds to help agencies that are actively participating in hunger action by direct relief and influencing public policy. To keep this as simple as possible, we have the following scale for minimum amount to be raised: $10 per person in attendance is raised through a variety of ways listed below. Churches and other hosting groups can raise the funds through a combination of the following: Mission Offering Simple Meal Art Auction/Contest Sponsorships from Local Businesses or Congregation Members Charging a ticket fee for the event/s

Hosting a Jacobs Join is a commitment to raising the minimum funds based on attendance. You will find that people are very generous at these events and most give more than $10, even if others cannot give any. We do not want you to worry about fundraising, but we do want you to be aware of the requirements and be pro-active.

Funds Distribution All funds (minus the deposit received) raised are expected to be received by Jacobs Join fifteen days after the event. Funds will be combined with the funds raised through the sales of items at the event. Funds are equally distributed between: 1) local agency/agencies 2) Bread for the World 3) Jacobs Join. It is responsibility of the host committee to decide and promote which local agency/agencies are recipients of funding.

Special Arrangement for Campus Events We are very excited to be partnering with campus ministry on college campus! We understand that campus ministries and college students do not have the resources to commit to the deposit and the fundraising minimum. Our goal is to schedule community and congregation events in connection with college event to help off-set the cost. We do ask that campus events commit to taking up a mission offering of food and money.

Volunteer Requirements for hosting a Jacobs Join


Musicians Part of what makes Jacobs Join unique is there is not a band that comes in to perform. Instead, local musicians rehearse and perform the songs/hymns along with Bryan. Any and all types and genre of musicians are welcomed -- choirs, praise bands, childrens chorus, professional, students, etc. While you may not know every one who will attend your Jacobs Join, you should have a good idea of what types of musicians will be in attendance. Your music coordinator will need to be in contact with Bryan AT LEAST two months before the event to discuss specific requirements. We also encourage other arts to be shared -- i.e., drama presentations, liturgical dance, etc. Pre-Event ___ Event Coordinator(s) Each event must at least on event coordinator who is the primary contact for the event; Event coordinator will handle all on-site preparation; Event coordinator is responsible for bi-weekly (3-6 months out) and weekly (2 months out); communication with the Jacobs Join Staff Event coordinator delegates assembling a team to help plan, promote, produce, & evaluate. Suggested Team Positions: ___ Musician Coordinator (Usually the Music Director or Leader) Should have an understanding of music and local music programs; Recruit musicians and groups to be part of the trans-formance; Be willing to attend the rehearsal and event. ___ Church/Community Partnership

Hosting Your Jacobs Join Staff


Bryan and Eleanor are committed to making these events with as little over-head as possible, so that more of the monies will go directly to Bread for the World and local/regional agencies. To this end, we would love if congregation members would be willing to host us when we are on-site. Typically, we need two-nights lodging (the night BEFORE and the night AFTER the event), transportation from lodging to site, and meals. If you have members willing to host us in their homes for meals, help with transportation, or provide us a place to stay we would graciously accept these offers.
