Introduction

This was an assignment given by Professor Wilhite for his Technical Writing class at The
University of Texas at San Antonio during the Summer 2014 term. It is an example of a formal
report. New Hope Adoption Center is a nonprofit, no-kill animal center serving the Bexar
County area and the surrounding areas, specialized in cats and dogs. New Hope Adoption Center
saves injured, abused and abandoned cars and dogs. The different types of services that New
Hope Adoption Center offers are adoption, receiving cats and dogs, spay and neuter, wellness
clinic, micro-chipping, training and disaster relief.

New Hope Adoption Centers funding plans are to be sponsored by Banfield Pet Hospital, Pet
Smart Charities, VCA Animal Hospital, and Pet Co. New Hope Adoption Center also plans to
ask for donations and a business loan from USAA. New Hope Adoption Centers set-up plans
are to view spaces in the Vineyard Springs area and the Stone Oak area. Many applicants will be
interviewed but only thirty to forty-five will be hired and trained. New Nope Adoption Centers
marketing plans are to advertise the company through online ads, television ads, newspaper ads,
magazine ads and radio ads.

Funding Plan

New Hope Adoption Center plans to ask for sponsorships, donations, and a loan. New Hope
Adoption Center also plans to be fully funded within six months of starting their funding plans.
New Hope Adoption Center needs a capital of five-hundred thousand dollars to five-million
dollars. This depends on if New Hope Adoption Center leases a space or buys a lot.

Tasks that need to be accomplished within a six month period:
1. New Hope Adoption Center needs to find an internal consultant for professional advice
in finance and veterinarian expertise. Jennifer Lewis will search for two consultants. This
will take two weeks of time and will cost nothing.
2. New Hope Adoption Center needs to find an external consultant for professional advice
in the law. Jennifer Lewis will search for the consultant specialized in the law. This will
take two weeks and will cost nothing.
3. New Hope Adoption Center will need to draft a sales plan in order to figure out how
long it will take to pay off any loans that they inquire. Jennifer Lewis will be setting up a
draft of a sales plan. This will take two weeks and will cost nothing.
4. New Hope Adoption Center will need to draft an operations plan in order to make out
how the center will be operated day by day. Jennifer Lewis will be setting up the draft of
an operations plan. This will take two weeks and will cost nothing.
5. New Hope Adoption Center needs to prepare a business plan to have an outline of what
the Center needs. Jennifer Lewis will be preparing the business plan. This will take one
week and will cost nothing.
6. New Hope Adoption Center needs to hire an editor for the letters and business plans that
will be sent to potential lenders. Jennifer Lewis will interview and select editors. This
will take two weeks and will cost two-hundred dollars.
7. New Hope Adoption Center needs to produce copies of the edited letters and business
plans that will be given to potential lenders. Jennifer Lewis will be producing copies of
the sales plan, operations plan, and the business plan. This will take one week and cost
fifteen dollars per lender.
8. New Hope Adoption Center needs to identify lenders for loans, sponsorships, and
donations. Ilka Medina will identify the lenders. This will take six weeks and will cost
nothing.
9. New Hope Adoption Center will need to call the firms to ask for a loan, sponsorships,
and donations. Ilka Meidna will contact USAA, Red McCombs, Petsmart Charities,
Banfield Pet Hospital, VCA Animal Hospital and Petco. This will take six weeks and
will cost nothing.
10. New Hope Adoption Center will need to present the Centers sales plan, operations plan,
and the business plan. Ilka Medina will be presenting the centers plans to the potential
lenders. This will take four weeks and will cost one-hundred dollars for gas.
11. New Hope Adoption Center will need to negotiate with the lenders. Ilka Medina will be
negotiating with the lenders. This will take three weeks and will cost nothing.
12. New Hope Adoption Center will need to close a deal with the lenders. Ilka Medina will
be closing a deal with the lenders. This will take one week and will cost nothing.

13. New Hope Adoption Center will need to open accounts with a local bank. Ilka Medina
will be in charge of opening accounts. This will take one week and will cost one-hundred
dollars.
14. New Hope Adoption Center will need to upload software to help keep tract of services
and adoptions. Ilka Medina will be uploading the software, which is needed, on a
computer that will be used at the center. This will take one week and will cost up to fifty
dollars.
15. New Hope Adoption Center will need to develop purchase procedures to keep track of
budgeting expenses. Ilka Medina will develop the purchase procedures. This will take
three weeks and this will cost nothing.

Setup Plan

New Hope Adoption Center plans to buy a lot within the Vineyard Springs area or the Stone Oak
area. New Hope Adoption Center also needs to buy furniture and any necessities that are needed
to care for the animals. During the setup plan, many applicants will be interviewed but not all
will be hired and trained.

Tasks that need to be accomplished within a six month period:
1. New Hope Adoption Center needs to hire a realtor to help look at spaces and lots.
Jennifer Lewis will find a realtor. This will take one week and will cost nothing.
2. New Hope Adoption Center needs to view spaces and lots to see which location best fits
the centers needs. Jennifer Lewis will be viewing the spaces and lots located in the
Vineyard Springs area and the Stone Oak area. This will take three weeks and will cost
seventy dollars for gas.
3. New Hope Adoption Center needs to select a space to start the adoption center. Jennifer
Lewis will select the space that best fits the centers needs. This will take one week and
will cost nothing.
4. New Hope Adoption Center needs to negotiate a lease so that the remodeling can be
finished within the time needed. Jennifer Lewis will be negotiating a lease. This will take
two weeks. While negotiating will not cost anything, the lease will be fifteen-hundred
dollars.
5. New Hope Adoption Center needs to design the office in order to figure out what future
and tools will be needed. Dylan Courtney will be designing the office. This will take
three weeks and will cost nothing.
6. New Hope Adoption Center needs to remodel the space to fit the centers needs. Dylan
Courtney will be doing the remodeling. This will take three weeks and will cost three-
thousand dollars.
7. New Hope Adoption Center needs to setup the utilities so that the center will have
electricity and water. Dylan Courtney will be in charge of setting up the utilities. This
will take one week and will no cost anything until the first month.
8. New Hope Adoption Center needs to buy furniture for the adoption center. Dylan
Courtney will buy the furniture that will be needed. This will take three weeks and will
cost fifteen-thousand dollars.
9. New Hope Adoption Center needs to buy approximately four computers to keep all the
information about the animals on file. Ilka Medina will choose and buy the computers.
This will take one week and will cost three-thousand dollars.
10. New Hope Adoption Center needs to make personnel ads to put up around the area.
Ruthy Morales will be making the personnel ads. This will take five weeks and will cost
seven-hundred dollars.
11. New Hope Adoption Center needs to interview applicant for the dog room, puppy room,
cat room, training, hospital, and receptionist positions. Gary Dickenson will be doing the
interviews. This will take four weeks and will cost nothing.
12. New Hope Adoption Center needs to hire thirty to forty-five people for various positions.
Gary Dickenson will be hiring the people. This will take one week and will not cost
anything.

13. New Hope Adoption Center needs to train the thirty to forty-five people in the various
positions. Jennifer Lewis will be doing most of the training. This will take approximately
five weeks and will cost thirty-five thousand dollars Training,
14. New Hope Adoption Center needs to buy two trucks to use for the rescue program and
one for the disaster relief program. Dylan Courtney will pick and buy the truck. This will
take two weeks and will cost seventy thousand dollars.
15. New Hope Adoption Center needs to begin operations to pay back the loans given and to
pay for expenses and wages. Jennifer Lewis will begin the operations. This will take one
week and will cost nothing.

Marketing Plan

New Nope Adoption Centers marketing plans are to advertise in many different ways. New
Hope Adoption Centers target market are people who are looking for a companion with four
paws and people who love and care for animals. New Hope Adoption Center plans to serve the
Bexar county area and surrounding areas. The markets needs and wants are a variety of options
about adoption. Many people would like to own a loyal dog or cat. New Hope Adoption Center
plans to help people find the best companion for them. New Hope Adoption Center would like
the cats and dogs that are brought into the facility to feel comfortable and not to feel scared. New
Hope Adoption Center hopes that the people who go to the facility feel the same way.

Tasks that need to be accomplished within a six month period:
1. New Hope Adoption Center will be hiring a consultant to help with marketing the
facility. Jennifer Lewis will be the one hiring the consultant. It will take one week and
will cost two-hundred and fifty dollars per week for the marketing consultant.
2. New Hope Adoption Center needs an idea generation to help with finding a target
market. Jennifer Lewis will be figuring out the idea generation. This will take one week
and will not cost anything.
3. New Hope Adoption Center needs to design a logo. Ruthy Morales will be designing the
logo. This will take two weeks and will cost one-hundred dollars.
4. New Hope Adoption Center needs to contact media relations to help with marketing the
adoption center. Ruthy Morales will be contact media relations. This will take two weeks
and will cost nothing.
5. New Hope Adoption Center needs to create a truck label for the truck that will be used
for the rescue program and the disaster relief program. Ruthy Morales will be creating the
truck label. This will take two weeks and will cost two-hundred dollars.
6. New Hope Adoption Center needs to create a billboard design. Ruthy Morales will be
creating the billboard design. This will take two weeks and will cost one hundred dollars.
7. New Hope Adoption Center will need to identify direct mailers to send promotional ads.
Dylan Courtney will be identifying the direct mailers. This will take two weeks and will
not cost anything.
8. New Hope Adoption Center will need to evaluate mailers to make sure that the
promotions ads get to the right people. Dylan Courtney will be evaluating the mailers.
This will take two weeks and will cost nothing.
9. New Hope Adoption Center will need to send the first mail to the general public. Dylan
Courtney will send the first mail. This will take one week and will cost fifty dollars to
send the ads.
10. New Hope Adoption Center will need to create a door-hanger ads; this will be helpful to
reach residents in all apartment complexes. Dylan Courtney will be creating the door-
hanger ads. This will take one week. While creating the ad will not cost anything but
sending out the door-hanger ads will cost fifty dollars for gas.
11. New Hope Adoption Center needs to create a website; this will help people learn more
about the adoption center. Ruthy Morales will be creating the website. This will take
three weeks and will cost only fifty dollars to create the website.

12. New Hope Adoption Center needs to design online ads to reach more people. Ruthy
Morales will be designing the online ads. This will take two weeks. While designing the
online ads will not cost anything, posting the ads online will cost one hundred dollars.
13. New Hope Adoption Center will need to identify a spokesperson for radio and television
ads. Dylan Courtney will be identifying a spokesperson. This will take one week. While
the searching will cost nothing, the hiring of a spokesperson will cost one hundred and
fifty dollars.
14. New Hope Adoption Center will need to feature ads in magazine articles. Ruthy Morales
will be featuring ads for magazine articles. This will take two weeks and will cost two
hundred dollars.
15. New Hope Adoption Center needs to get sponsorships to help pay for any expenses.
Jennifer Lewis will be asking for sponsorships from Banfiled Pet Hospital, Petsmart
Charities, VCA Animal Hospital, and Petco. This will take six weeks and will cost
nothing.
