PRORATA AS IT RELATES TO SICK,


ANNUAL LEAVE AND HOLIDAYS
PURPOSE:
To explain how pro-rata is applied in accordance with Board of Trustees Policy Bulletin No. 35,
to the accrual of sick and annual leave and to holidays.
DEFINITION:
Pro-rata applies only to those non-faculty personnel who meet the specific requirements of the
Board of Trustees Policy Bulletin No. 51. Pro-rata means that leave allowances are earned based
in direct proportion to the amount of time normally spent on the job. Day is defined as the
average amount of time an employee spends on the job in one shift. Week is defined as regularly
recurring series of seven consecutive twenty-four hour periods.
As of July 1, 1985, the standard workday at WVU is 7.5 hours; the standard workweek is 37.5
hours.
PRO-RATA AND ANNUAL SICK LEAVE:
This time accrues based on an employees FTE (Full-Time Equivalency). Refer to the Monthly
Accruals for Sick/Annual Leave Conversion Chart to determine the accrual rate for full time
employees.
PRO-RATA AND HOLIDAYS:
Holiday compensation will be based on an employees FTE. An employee who works on a
holiday will receive compensatory time off (CTO) at the rate of time and one-half hours worked
based on his/her FTE. Any additional hours worked on the holiday will be compensated at the
straight time rate.
OVERTIME REMINDER:

Overtime is compensated at the rate of one and one-half times all hours actually worked in
access of 40 hours during the employees workweek.
