On September 25, 2007 Citizens for Responsibility and Ethics in Washington (CREW) filed a lawsuit against the Executive Office of the President, the Office of Administration and the National Archives and Records Administration in the District Court for the District of Columbia. CREW's action challenges as contrary to law those parties' knowing failure to recover, restore, and preserve millions of electronic communications created and/or received within the White House. Attender, PST creation rules, on . The board will be updating the PST Naming document and sending

to the requestor.

Please ensure that the Help Desk and lecp are notified upon implementation and that such notification in the form of status updates at the conclusion of each day's activities should this change require multiple work shifts to complete.

This task will be considered incomplete until notification per the instructions above is received. Completion notification should be in the form of a Subject line containing the following:

"Change Request 0943 - Complete"

Do to the restructuring of the Exchange Journaling PST creation process, it is necessary to recreate the 46 Mail Attender rules to comply with newly created PST naming and storage conventions. The present process has been stopped in compliance with OCIO directives.

Description of Change

Recreate all 46 Mail Attender rules for the 46 Exchange journal mailboxes. The new rules will comply with the standards created and approved by the OA, lA, and A&E Directors. The following attachments list the 46 journal mailboxes, along with the approved standards.

Proposed Date of Implementation Thursday October 20 @ 0900 hours.

Duration

The recreation of the Mail Attender rules will continue throughout the day until COB Thursday October 20.

Customers Impacted

There are no customers impacted by the Mail Attender rule changes.

Type of impact

The journal mailboxes will continue to hold mail, until the newly created rules are created and scheduled.

AnticipatedlPotential Issues

If the syntax for the new rules is incorrect, PST can be stored and named incorrectly.

Fixes

Rules will be created and scheduled one by one. If incorrect syntax is used the process will be stopped and the rule will be edited. If any PST files are created incorrectly in the process, The SIS messaging team will seek the guidance of the OA, lA, and A&E Directors, before correcting the error.

Roll-Back Plan

There is no roll back plan for these changes.

Roll-Back Duration N/A

Delay Impact

Delaying will cause the journal mailboxes to grow and possible become unstable. Delaying will also result in the SIS branches inability to fulfill OA and WH council, requested mail searches.

PST Naming.txt

The new naming convention for PST files is as follows:

Drives for each year:

Drive E$ is to be used for 2002 and 2003, Drive F$ for 2004, Drive G$ for 2005. The directory structure for the storage of files is as follows:

For regular .PST files: XXXXXjyyyyjMM, where xxxxx is the 3 to 5 letter designation for the component, yyyy for year and MM for the numeric representation of the month, with a leading zero when necessary.

Example:

jONDCPj2004j05 for ONDCP May, 2004 jOAj2005j12 for OA Decmber 2005

For the storage of files that are duplicate in both filename and file size:

XXXXXjDuplicate

Example: jOSTPjDuplicate

For the storage of file that have issues:

XXXXXjIssues Example: jusTRjIssues

only those files that are designated by the Message Storage Team shall be copied into the Duplicate and Issues folders.

The file name convention to be used for all .PST files on a go forward basis is:

MS_XXXXX_YYYYMMDD_Ol.PST

where:

MS represents "Message Storage"

XXXXX represents component designation yyyy is four di~it year

MM is the two dlgit month with leading zero if necessary DD is the two digit day with a leading zero if necessary

and 01 represents a sequence number for the particular day. If there are mUltiple .PST files for a particular day the sequence numer is a simple one-up number.

These rules apply to all .PST file beginning on Friday, ocotber 14, 2005.
