Time Management

“Consult the Study Guides on Chamilo for all courses you have registered for this
term (see lessons schedule on Syllabus) and make a list of all assignments (A) and
tests (T) due during term (permanent evaluation). This is the breakdown of tasks for
this term.
Decide how much time you will need for each assignment and to study for a test and
write down your estimate in the task breakdown list behind each task.
Add as extra tasks time devoted for study/revising/exercises of materials for courses
with an exam during the exam period at the end of term.
Make a semester planning of tasks and fixed activities in Outlook (using Calendar
and Tasks e.g. example shown in the workshop and cf. E-skills classes) and print it to
pdf in week visualisation (with all tasks visible)
Share your calendar for the semester as a pdf and put this on your website in the
appropriate location
This is a shared assignment with the course TMD2. The same Calendar can be used
for both assignments.”

Analysis of time wasters
Introduction
It is generally known that a lot of valuable time is lost just by doing things that
aren’t important or doing things the wrong way. This is not a problem that only
students have to deal with, even the best time managers in the world still have to
look out for their time wasters.
One problem with time wasters is that most of the people don’t really see them
as wasting time. They think it’s just a part of their daily life and that they’ll just
have to live with it. Nothing is less true though, and there’s proof that everyone
can save a lot of time just by doing things slightly different or by using an indepth planning of their day.

My time wasters
My main time waster I have to deal with on an almost daily basis, is my commute
to and from school. Because of our badly organized lesson schedules I’m wasting
around 10,5 hours a week on this. This is partly due to the fact that we
sometimes have to go to school for 1 contact block, or that contact blocks are so
widely spread that it’s not worth staying in school for the time in between them,
which means I’m doing the commute twice a day. Last year on the other hand, we
had all our classes packed in 2,5 days which meant that I wasn’t wasting any
time on commuting, since going to and from school was really worth it.
Another fact is that because of the late contact blocks we have had during the
first semester of the second year, I sometimes lost complete evenings because of
coming home so late. These are valuable hours in which I could’ve worked a lot if
I had been at home.
Social media is another thing I’m wasting multiple hours a week on. The fact that
we can’t live without it for both our private as well as professional lives is
something quite hard to deal with. By needing social media to work on group
tasks and sharing important school related information, this problem cannot be
solved by simply turning of the Internet. Living in a technologic era means that
we are in a constant need for Internet and communication tools just to be able to
perform basic assignments.
The danger in all this is that there’s a very thin line between the professional and
leisure aspect of these social media channels. It is very easy to get distracted and
look up other things than just the ones I need for school related assignments.
It is maybe a cliché but it’s partly true that girlfriends can be considered a time
waster or distraction as well. The fact that I have my cell phone on me at all
times means that we’re in constant contact. This is a time waste that can easily
be solved by putting aside my cell phone though. With that, during the study
period for the exam, I now have 2 families to go celebrate the holidays with. This
means that I’m losing 2 additional days of studying for my exams.
Another leisure I’m wasting a lot of time on is my youth group. Even though there
are 14 other supervisors in our youth group, it seems like a lot of the tasks are
put on my shoulders. All this organizing of events and practical things are very
time consuming if they have to be done by just 1 or 2 people. An easy way to
solve this is by dividing the tasks over all the other ones as well.

TMD

Daan Ruysschaert

2IBM02

Time Management

Something else that is easy to solve and on which I spend a lot of time is
sleeping. I don’t have the discipline to get out of bed early when I don’t really
have to be somewhere in the morning. During the exams this can be very
dangerous as there have been days that I only started studying at 11 o’clock in
the morning. All this happens even though I know that my most productive time
of the day is in the morning.

Solution
Except for the time I’m wasting on my daily commute, all these time wasters can
be solved quite easily just by having a little more discipline and making use of a
good planning. Thanks to this task I started using an agenda in Outlook myself,
which has helped me a lot during this semester. The fact that we have been
overwhelmed by tasks of all different courses, required a very decent planning in
order to not face any unheard of deadlines at the end of the semester.
I managed to reduce a lot of time wasters in a quite effective way. Planning my
work has already proven to be very positive when reaching the end of the
semester. While others are stressing out and doing night shifts in order to be able
to finish their tasks on time, I now have time to study and visit some Christmas
markets, something I thought I would never be able to do last year. It sometimes
even feels like I have too much time now, which is quite a strange feeling as well.

Reflection
1. Action
As I’m not someone who works according to plans a lot, I often end up working
through the night because of having to finish deadlines I have never heard of
before. I’m always very at ease at the beginning of the semester because I
always give myself the idea of having plenty of time left to finish all the
assignments we have to do.
50 | P a g e

TMD

Daan Ruysschaert

Time Management

2. Looking back
Due to the fact that I’m not used to working according to a plan, I tend to waste a
lot of time because I never feel obliged to do something. It is very easy to say:
“I’ll do it tomorrow”, when you have no planning that tells you that you really
have to do something that day. Wasting time by thinking that I don’t have
anything to do is also something that still sounds very familiar to me.

3. Awareness of essential aspects
I do understand that a decent planning is very important in a professional life. At
the moment we’re still at school and there is still some sort of guidance coming
from our teachers who often remind us of the assignments that need to be done.
Later on, when we’ll be working in a real job, the assignment will only be
mentioned once. This means that it’ll be up to ourselves to keep track of the
deadlines and everything that is needed to do the tasks.
I’m currently working as a market researcher for a large corporate and since I’m
the only one in the entire company who’s occupied with this job, the entire
responsibility falls on my shoulders. This also involves a lot of planning in order
not to loose anything out of sight and making sure that I’ve covered all the
aspects when the deadline approaches.

4. Creating alternative methods of action
I do have the urge to start using a decent planning, but I feel like the methods
we’re learning to use in school require too much effort in order to structure and
maintain your planning. For me, a paper planning in an agenda still works the
best. I can always carry my agenda with me, it’s easy to see whether I’m free or
not, it’s easy to add an appointment etc. When having to use an online agenda
on the other hand, you always have to start up your device, and there’s always
too much information required or offered.

5. Trial and action
Since the last semester I’ve been using a paper planning to plan my exams and
group tasks. This planning I have put on my wall and I can see progress at any
given moment in time without having to search online. I feel like this has helped
me a lot already, especially during the exams, to see how much time I have left
and how I can spread the different courses and chapters over the available time.
From next year on, I will be using an agenda during the year as well. I have
noticed that some people do so, and they always manage to have a clear
overview on what they have to do that day or week.
