Scholar/Athlete Team Award Program Nomination Form Instructions


Head Coach or Team Representative:
1. Use the current 2015 nomination form
2. Provide contact information
Enter the team or club name and the name and contact for the Head Coach. Include who
will serve as the single contact person for the NYSSRA Scholar/Athlete Team Award
Program. Provide his/her name and contact information. This person will be contacted to
acknowledge receipt of forms, confirm data, and receive award materials and other
correspondence.
3. List rowers on the team roster
A minimum of nine student athletes are required to be considered for the Scholar/Athlete
Team recognition award. All athletes listed must be eligible for varsity competition.
On the team roster list the rowers and their grades in alphabetical rowers. List boys and
girls teams separately. List coxswains with the team regardless of gender and note that
they are coxswains.

After nomination forms have been processed no additional athletes may be


added nor missing GPAs added
Indicate how many schools are included on behalf of your club/team. Use one nomination
form per gender, per school. Provide a list via e-mail to newyorkstaterowing@gmail.com a
list of schools sending GPA information to aid in following up on missing rosters.
The person verifying your student athletes eligibility must provide their name, position
and date on the form.

4. Submit nomination forms, instructions and FAQ pages to schools for GPA data
Submit the nomination form, instruction sheet and FAQ sheet to the appropriate school
officials so that they may record each student/athletes GPA earned during the season
marking period.
School Officials:
1. Add GPA data for the season during which the athletes competed (Ex: Fall
1st quarter, Spring 3rd quarter.)
Round the GPA earned during the season marking period to the nearest hundredth.
(92.1258 = 92.16.)
Do not report cumulative GPAs for the year or years in high school. Do not send
transcripts or waivers.
If working from letter grades, convert to the number grades as follows:

2. Verify accuracy of GPAs


The person verifying the accuracy of the student athletes GPAs must type his/her name,
position and date in Part 3.

Scholar/Athlete Team Award Program Frequently Asked Questions


1. I will be the contact person, not the head coach. Should I still list his/her name on the nomination
form?
Yes. The names of the head coaches will be included in press releases on behalf of NYSSRA Scholar/Athlete teams.

2. Whose name and address should I list as contact on the nomination form?

List the name of the individual who will serve as the contact person for the Scholar/Athlete Team Award Committee in Part 1. List the
e-mail to be used for acknowledging receipt of the forms, confirming information, receiving press releases and other correspondence.
List the address to be used for shipping award materials whether that is the head coach or someone else.

3. How should rowers be listed on the nomination form? Do I list the boys and girls teams together?
Boys and girls teams are nominated separately and should be listed on separate nomination forms. Exception: list coxswains on the
roster of the team they work with regardless of gender and label them as coxswains. List rowers alphabetically (by school, with a
separate form for each school, for multi-school teams) in Part 1. Check your roster carefully. Once a nomination form has been
processed additional rowers may not be added.

4. We are a club team with students from a number of high schools. Are we eligible for consideration?
If you have at least nine varsity rowers on your boys team or nine varsity rowers on your girls team you are eligible. For each school
your rowers attend, fill out a nomination form listing only the boys OR girls who attend that school. Send the nomination forms and
instruction sheets to the corresponding schools. The schools will add the GPA information for their students, send the forms to the
NYSSRA and the committee will merge the rosters. E-mail a list of the schools your rowers attend and a complete roster of your team
to the Scholar/Athlete Committee to aid in record keeping.

5. Can I nominate a single rower?


No. This is currently a team award requiring a minimum of nine student athletes per team. Boys and girls teams are nominated
separately.

6. Why are two names required at the end of the team roster in Part 3?
It is required that the individuals verifying that the student athletes listed are eligible varsity competitors and that the GPA
information is valid and provides their names. Nomination forms missing either names will not be processed.

7. What do I give the school?


Provide to the appropriate school official this booklet with nomination materials, instructions and FAQ, with Part 1 filled in, the team
roster filled in in Part 2 and appropriate names in Part 3 completed. Make copies of a blank nomination form if you are nominating
more than one team. Remember that Part 1 will be the same for all of your schools for each team.

8. As a school official, what GPA information do I provide?


GPAs should be from the period during which the student was rowing, not cumulative grades for the year or high school career.
Schools typically use the first quarter GPA for the fall and the third quarter GPA for the spring rowing seasons. If you school does not
provide quarterly grades, interim grades or information provided by teachers may be used to determine a GPA. GPAs should be
provided on a 1 100 scale, to two decimal places. Do not send transcripts or waivers.

9. How is the GPA information used? I am concerned about privacy.


GPA information is viewed only by the NYSSRA Scholar/Athlete chairperson. Rosters received from school officials and those created
by merging rosters for multi-school teams are sorted by GPA. The top nine GPAs on each team are averaged to determine the Team
GPA. Teams with GPAs of 90.00% or above qualify for the Scholar/Athlete Award. For each qualifying team a list is created of the
students whos GPA were used to determine the Team GPA, plus any additional students with individual GPAs of 90.00% or above.
This list is reordered alphabetically, GPA information is removed and the list is sent to the head coach or contact person for use for
distributing award materials. The waiver/release template is available if school officials require parental permission to release GPAs to
NYSSRA. It is suggested that this waiver be included in registration materials if your school requires it. Do not send copies of the
waivers with nomination materials.

10. What do teams that qualify as NYSSRA Scholar/Athlete Teams receive?


Students with the two nine GPAs, plus any students beyond that group who have individual GPAs of 90.00% or above, receive NYSSRA
Scholar/Athlete pins. Qualifying teams receive a NYSSRA Scholar/Athlete Team Award certificate. Press releases are mailed and emailed to teams for forwarding to their local newspapers and the appropriate school officials. A list of qualifying teams is displayed on
the NYSSRA website. If you district publicizes the NYSPHSSAA awards, consider notifying them of your NYSSRA Scholar/Athlete Team
status. Qualifying teams will be announced approximately two weeks after the deadline.

11. I missed the deadline! Is it too late?


No. Nomination forms may be submitted within a reasonable time after the deadline, but processing is not guaranteed by the end of
the school year or in time for the end of season banquets, award ceremonies, etc. it is suggested that rosters be sent to school
officials well in advance of the deadline for a quicker turn around. Also, once a nomination form has been processed additional rowers
or missing GPA information may not be added.

12. What is the cost of participating in the Scholar/Athlete Team Award Program?
A processing fee of $20 per team is required. If you are nominating both a girls and boys team, a total of $40 is due. This fee helps
to offset the material and operating costs of the program, which is staffed by volunteers. Nomination forms will not be processed until
fees are received. Fees are not refunded if your team does not qualify.
