INTRODUCTION

The purpose of this Operation and Maintenance Manual is to present


creative landscaping with presentable and healthy plants.

It also serves to offer guidelines of proper maintenance, method and


procedures to be implemented by the Maintenance Team that will carry out the
Soft Landscaping and Irrigation work requirements.

This manual for all intent and purposes, does not supersede a Contract’s
documentation or requirements; but rather provides the practical operational
procedures for implementing the required tasks and systems to execute a
contract, ensuring maximum quality and efficiency.

OPERATION AND MAINTENANCE

OF

IRRIGATION

1. IRRIGATION WATER DISTRIBUTION SYSTEM

The Water Distribution System shall be considered to be:

All reservoirs and tanks (as detailed in the contract) and their associated pumps, valves,
control systems.
All main distribution pipelines from the reservoirs to the lateral poly pipes.

The Contractor shall operate all pump stations and related pumping system to deliver water for
the reservoirs or to the irrigation system as existing in the area assigned under the Contract.

The Contractor shall:

Provide technically qualified operators to operate the pump station in the location as given
in the tanks and reservoir.
Provide all consumables, including but not limited to coolant, lubricant for pump stations.
Start and stop the pumps as required to pump water to the irrigation system or to the
reservoirs as envisaged in the existing control system.

1.1 Maintenance of Pump Stations, Reservoirs, Tanks, Distribution Pumps and Accessories

The Contractor shall undertake the following:

Provide qualified technicians to plan an execute preventive maintenance as per


standard engineering practices to avoid pump station shutdowns during operation.
Preventive maintenance of pumps, pipe work, pump control panel, level, flow
measuring and control system including all instrumentation works.
Repair and rectify any damage or system failure and make the system operational for
smooth operation of pump station and its accessories.
Rewinding of any burned/damaged rewindable motors.
Pump control panels repair and maintenance for any electrical, instrumentation or
control system faults.
Maintenance/repair of air valves, check valves, gate valves, float valves, foot valves,
pressure relief valves, control valves etc. for any leakages or faults.
Cleaning and painting of painted pipe work, valves, fittings and accessories.
Maintenance repair/ of pressure gauges, pressure switches, level electrodes, level
sensors, flow meters, irrigation controllers, irrigation filters etc.
Repairing of cables using cable joining kits (power, control or irrigation cables).
Repairing of any pipeline damage/leakage/breakage with the same pipe material and
class including thrust blocks, bends, tees, elbows, straight couplers, flange adopters,
etc. as required.
Regular cleaning and maintenance of pump suction and discharge filters, irrigation
filters, sump pump filters etc.
Maintenance of any control mechanisms for landcape features, such as lighting layouts
and timing controls.
Reparation works to assets damaged by natural events, other persons or other causes
within the limits of that work which can be undertaken by the District Maintenance
Team and equipment.
General housekeeping works.

2. IRRIGATION APPLICATION SYSTEM

The Contractor shall carry out all maintenance tasks including both regular and unscheduled
maintenance to ensure that irrigation systems are operating reliably and efficiently to deliver the
irrigation water to the planted areas.

Maintenance of the irrigation application systems shall include but not be limited to the
following items:

a] Pipe-work : Maintenance of all lateral pipes downstream of the main distribution pipes.
b] Application Devices : Solenoid valves, bubblers, pop-up sprayers and sprinklers, drip
emitters and drip-lines.

3. MAINTENANCE SCHEDULE

The Contractor shall perform regular scheduled maintenance in accordance with an agreed
schedule, which shall be submitted to the Client for approval but shall be subject to revision and
re-submission when necessary. The following table list the minimum requirements for
scheduled maintenance tasks:

3.1 Maintenance Task

The Contractor shall be responsible for the maintenance of each and every component of
the irrigation systems. Maintenance shall include but not to be limited to the following:

a] The Contractor shall check all the sprayers and sprinklers on a weekly basis to confirm
that the system is giving proper spray coverage to the grass.
b] The Contractor shall check all the bubbler heads for clogging and for the smooth flow
of water to meet the irrigation requirements.
c] The Contractor shall be responsible for the drip-line position and shall ensure adequate
water supply to the root zone of the plants. The drip-lines shall be adjusted on a weekly
basis where needed. Any leakage or breakage of the drip-line shall be rectified on a
daily basis.
d] Solenoid valves shall be checked on a Quarterly basis for smooth operation. The
Contractor shall be responsible to check the operation of the valves on a regular basis
and if the solenoid coil is short-circuited, the coil shall be replaced.
e] The pressure regulator shall be adjusted if there is any variation in the pressure
setting. The bubbler valves are set to a minimum pressure of 2.5 bars and drip valves
are to be set to a minimum of 2.0 Bars. For sprinkler valves the pressure to be set to
the required pressure after confirming the type of sprinkler being used and their
operating pressure requirement.
f] The “Y” strainers for the drip solenoid valves shall be cleaned frequently or at least on
a quarterly basis to ensure proper functioning.
g] The Contractor shall be responsible for cleaning of entire valve chambers and valve
boxes, and ensuring that they remain dry. This shall be done every three (03) months.
h] Lateral lines shall be flushed on a yearly basis when the system is in operation and
when pipe-lines are in pressure. Flush valve shall be opened and the water is to be
drained through a flexible pipe. Drip-lines are also to be flushed on a monthly basis by
opening the end plugs and to be left opened for a least 2 to 5 minutes.
i] System pressure and the sprayers, sprinklers, bubblers, drippers, solenoid valves, air
vent valves, quick coupling valves etc. shall be monitored on a daily basis to detect any
leakage in the pipe-lines.

j] The following steps are to be carried out to ensure the smooth operation of the
system:

i. Check the water level in the reservoir.


ii. Check the irrigation controller for any faulty signal.
iii. Check the system pressure in the discharge header of the pump.
iv. Check the inlet and outlet pressure of the filter in the pump station.
v. Check any leakage in the pump station.
vi. Check the functioning of sprayers/sprinklers, bubblers and drip emitters.

3.2 Operational Program

Controller programmes and valve schedules shall be prepared and submitted by the
Contractor for the approval of the Client. These schedules shall be prepared and are to be
submitted one month before the commencement of each season.

Materials

All materials used for maintenance of the irrigation system, including spare parts and
consumables, shall be of the highest quality from one of the leading manufacturers and
shall be subject to the Client’s prior approval.

4. SUPPLEMENTARY WATERING

In case of any failure of irrigation systems or of water supply or in case irrigation water is for
any other reason unavailable to the plants, the Contractor shall immediately make
arrangements for manual watering by water tanker, or by other approved arrangement. All
plants shall be maintained in a well-watered and healthy state at all times. The cost of
irrigation water shall be borne by the Client provided always that the reason for unavailability
of irrigation is not the result of any failure or omission on the part of the Contractor.
