HSO Officer Position Descriptions

The President: Term Length is One Academic Year Provide leadership Represent the Organization to the College and the community Preside at all meetings of the Organization Call special meetings of the Organization Maintain contact with Organization sponsors Serve as a spokesperson for the Organization Serve as HSO representative at Student Senate - able to delegate to other officers Initiate class activities and programs Develop strategies for strengthening the Organization Regularly meet with all HSO officers and is responsible for ensuring that all officers are fulfilling the duties of their office Responsible for coordinating communication between HSO officers and may use letters, phone calls, email, or regularly scheduled officer updates for this purpose. Serve as contact person for HSO membership; another HSO officer may serve as the membership contact, however the HSO president must be informed and play an integral part in the program. Monitor ALL HSO meetings, events, participations, fundraising and memberships. Communicate regularly with the HSO Co-Sponsors, Mrs. Nidia Hassan and Mrs. Nancy Rangel the status of the Organization, and is responsible for seeking help if the Organization is experiencing any problems Communicate the success of HSO programs and strategies with TJC, as other HSO groups will benefit from this knowledge Perform other duties as directed by the President and HSO Sponsor(s) The Co-Vice President (Freshman): Term Length is One Academic Year Assume all responsibilities of the presidents office in the absence of HSO president Has the primary responsibility of assisting the president in planning and implementing Organization programs and activities May be required to run organization meetings, and facilitate communication among Organization Serve as HSO representative at Student Senate - shared responsibility with President Coordinate solicitations Represent organization at official functions Perform other duties as directed by the President and HSO Sponsor(s) The Co-Vice President (Sophomore): Term Length is One Academic Year Assume all responsibilities of the presidents office in the absence of a HSO president Has the primary responsibility of assisting the president in planning and implementing Organization programs and activities May be required to run organization meetings, and facilitate communication among Organization Serve as HSO representative at Student Senate - shared responsibility with President Coordinate solicitations Represent organization at official functions Perform other duties as directed by the President and HSO Sponsor(s)

HSO Officer Position Descriptions


The Secretary: Term Length is One Academic Year Facilitate communication among HSO officers Maintain a formal structure for HSO Organization Keep a record of all members of the Organization Keep a record of all activities of the Organization Keep a record of all HSO Points for Student Senate Prepare an agenda with the President for all meetings Maintain attendance at all meetings Responsible for Roll Call at each HSO meeting/event. Takes minutes of HSO meetings and distributes these minutes to all HSO officers and HSO Sponsors Charged with maintaining the HSO constitution Work closely with Event and Community Service Coordinator Officers in documenting important events and changes in the Organizations history Represent organization at official functions Perform other duties as directed by the President and HSO Sponsor(s) The Treasurer: Term Length is One Academic Year Familiar with accounting procedures and policies Collect Organization dues and gives to HSO Sponsor(s). Prepare all budget requests for funds Advise members on financial matters (i.e. vendors, ticket selling procedures) Coordinate fundraising drive Coordinate solicitations Monitor Organization funds and expenditures Keep officers and members informed about class finances Represent organization at official functions Perform other duties as directed by the President and HSO Sponsor(s) The Public Relations (PR): Term Length is One Semester Coordinate and supervises all publicity of HSO activities and programs, and disseminate information to members and nonmembers. Responsible for creation and approval from Center for Student Life and Involvement office for publicity flyers for meetings, activities and events. Responsible for maintaining HSO Facebook page and creating public announcements or events page. Collect and store a written and pictorial account of class events, officer succession, mailings, etc. Work closely with the Organization to communicate the importance of the archive and ensure that records, photos and other memorabilia of all class events (both on and off campus) are preserved Develop appropriate display of Organization history and content Represent organization at official functions Perform other duties as directed by the President and HSO Sponsor(s)

HSO Officer Position Descriptions


The Events Coordinator: Term Length is One Semester Responsible for coordinating all HSO academic and social events planned by the Organization and acting as the project manager to execute these events (i.e. six flags, homecoming, Dia de Los Muertos, Hispanic Heritage Month, etc.) Work with president and VP to understand the requirement and objective of the event being planned Recruit volunteers for executing the event plan Determine the appropriate location and ensure that all necessary reservations of space and equipment for events (work with HSO Sponsors) Acquire the resources needed for the event either through personal involvement or delegation. In case of delegation the event coordinator shall be responsible for monitoring the event Advertise the events with the help of PR officer Setup event presentations Be present at all planned HSO events and manage the logistics of the event Represent organization at official functions Perform other duties as directed by the President and HSO Sponsor(s) The Community Service Coordinator: Term Length is One Semester The Events Coordinator shall be responsible for coordinating all HSO community service events planned by the Organization and acting as the project manager to execute these events (i.e. TJC, East Texas Food Bank, PATH, Meals on Wheels, etc.) Work with the president and VP to understand the requirement and objective of the event being planned Recruit volunteers for executing the event plan Determine the appropriate location and ensure that all necessary reservations of space and equipment for events (work with HSO Sponsors) Acquire the resources needed for the event either through personal involvement or delegation. In case of delegation the event coordinator shall be responsible for monitoring the event Advertise the events with the help of event coordinator officer Setup event presentations Be present at all planned HSO community service events and manage the logistics of the event Represent organization at official functions Perform other duties as directed by the President and HSO Sponsor(s)
