CHAPTER I

INTRODUCTION

Background of the Study

The Online Service Records Management is a computer-based system for maintenance of the employees of Capiz State University Pontevedra. The details pertaining to personnel, postings, qualifications, departmental tests passed, training attended, family details etc are stored in this system. Retrieval of information is possible based on any individuals or on collective information grouped by certain categories namely designation, retirement, length of service, place of working etc. Addition and updating of personnels profile is the main goals of the system to store a big amount of information and to updates the personnel information if theres any changes on his/her personnels profile. The system has its own menus that is created to make the system efficient and users friendly this menus includes the File, Transaction, Reports and System User menu. Personnel service records of each personnels will be safely stored in the system, it can easily retrieve of the users using the Search function. Personnels personal information data is also keep together with the service records of each personnel.

Objectives of the Study

The main objective of the study is to improve, design, develop, and implement the Online Service Records Management. Specifically, the system has its following objectives: 1. To incorporate features that will enforce security on personnels personal

and service record from any unauthorized access. 2. To determine features that will enable the software add new personnel

information as well as update the existing personnel profile. 3. To identify means that will allow the software provide valuable

information of and keep track, employees personal and service records and calculate employees number of years in the service for the Human Resource Officer. 4. To recognize and incorporate ways that will facilitate storing and updating

of different personnel appointments with their corresponding salary grades. 5. To identify functions and/or processes that will facilitate assignment of

employees appointment and generation of employees service record. 6. To identify mechanisms that will enable the software generate various

important reports such as generation of Personal Data Sheet (PDS), List of Employees as categorized to Teaching and Non-Teaching, employees Service Record, and List of Employees as to the Number of Years in the Service.

Scope and Limitation of the Study

This system will cover the personnels personal information of the Capiz State University Pontevedra. It will also include the service record of each personnel which is

composed of the personnels date of appointment, designation and salary grade within a specified date. The system will only be composed and/or include one user only which will serve as the administrator, the Human Resource Officer. The administrator is responsible to add new and update existing employee, update the salary grade of the different appointments.

Significance of the Study

This software project will be beneficial to the following: Administration and Human Resource Officer: The system will beneficial to Administration since the use of this software will facilitate storage of employees personal information and service record. The Administration will be assured that all information will be secured from any unauthorized access, finding employee record will be made easy as well as adding new employee record and update on existing records. Production and/or printing of reports as needed by the organization and of the higher management will also be facilitated by using this software as well as the calculation of the length of service of each employee and printing of service record of an employee as per requested will be made easy and quick. Personnel/Employee: The system will beneficial to personnel because their data will be stored and will be secured at all time. Time spend in waiting for a transactions to be facilitated will only require minimal amount of time especially in Service Record requests.
