INTRODUCTION
THIS IS A GUIDELINE FOR DIRECTORS AND CONVENORS TO HELP YOU GET
STARTED. THERE ARE ONLY A FEW HARD FAST RULES. YOUR TENT WILL MOSTLY
REFLECT YOUR OWN INTERESTS AND PERSONALITY; HOWEVER, THIS GUIDE BOOK
SHOULD BE AN AIDE AND REFERENCE FOR OLD AND NEW DIRECTORS ALIKE.
ETIQUETTE
1. BE ON TIME AND HAVE YOUR TENT SET-UP DONE BEFORE THE GAMES OPEN FOR THE DAY. IF YOU
CAN DO THIS THE DAY BEFORE, THIS IS EVEN BETTER SINCE YOU DON’T HAVE TO WORRY ABOUT
GETTING YOUR VEHICLE OFF THE GAMES FIELD BY A SET DEAD-LINE.
2. BE FRIENDLY, COURTEOUS AND POLITE TO ALL GAMES ATTENDEES. REMEMBER YOU ARE
REPRESENTING THE DAVIDSON SOCIETY. WE HAVE AN EXCELLENT REPUTATION AMOUNG THE
OTHER CLANS FOR BEING FRIENDLY AND HELPFUL.
3. DO NOT LEAVE THE TENT UNATTENDED AT ANY TIME.
4. IF YOUR TENT IS IN A SECURE AREA THAT IS BEING SUPERVISED, OR YOU HAVE 2 OR MORE
PEOPLE AT YOUR TABLE, PLEASE TRY TO HAVE SOMEONE ATTEND THE KIRKIN O’ THE TARTAN ( IF
IT IS HELD ON SITE AND IN CONJUNCTION WITH THE GAMES) TAKING YOUR CLAN TARTAN
BANNER WITH YOU.
5. YOU NEED TO HAVE AT LEAST 1 REPRESENTATIVE IN THE TARTAN PARADE, CARRYING YOUR
NAME BANNER, AND IF YOU HAVE OTHERS TO MARCH (THIS IS A GOOD WAY TO GET NEW CLAN
MEMBERS INVOLVED) TAKE THE TARTAN BANNER, OTHER FLAGS, SWORDS, ETC., ( AND YES IT
MAY BE BORING). THIS WILL LET OTHER ATTENDEES KNOW THAT THE DAVIDSON CLAN IS
ACTIVE IN THE AREA.
6. OFFER TO HELP OTHER CLAN TENTS, IF NEEDED ( IT WILL COME BACK TO YOU). YOU ARE NOT IN
COMPETITION.
7. A KILT IS NOT NECESSARY, BUT IF YOU DO HAVE ONE PLEASE WEAR IT. IF NOT, TRY TO HAVE
SOMETHING WITH THE DAVIDSON TARTAN OR CLAN CREST, I.E. SASH, PIN ETC. PLEASE BE
APPROPRIATELY DRESSED FOR THE EVENT.
8. IF YOU ATTEND A RECEPTION, PLEASE DRESS ACCORDINGLY, AS INDICATED BY THE GAMES
COMMITTEE. ALWAYS REMEMBER, HOWEVER, THAT OVERDRESSING IS WORSE THAN
UNDERDRESSING. WEARING FORMAL EVENING WEAR TO A DAYTIME AFFAIR IS GENERALLY NOT
RECOMMENDED. ON THE OTHER HAND, IT’S ALWAYS OK TO WEAR DAY-WEAR TO AN EVENING
EVENT, IF THAT’S THE BEST SCOTTISH ATTIRE YOU OWN.
9. OBSERVE LOCAL LIQUOR LAWS AND CUSTOMS.
10. KEEP YOUR TABLE FREE OF DRINKS AND FOOD.
Regardless of how cute you think they are, leave your pets at home...
most Games venues do not allow pets on the field.
TABLE / TENT PLANS
1. DO NOT BE AFRAID TO START SMALL. MOST BEGINNING CONVENORS HAVE VERY LITTLE IN THE
WAY OF SUPPLIES AND EXTRAS. WE NEED YOU AT THE GAMES, HOW MUCH STUFF YOU HAVE IS
NOT IMPORTANT. AS YOU PROGRESS YOU WILL INDIVIDUALIZE YOUR TENT AND ACQUIRE MORE
THINGS. A WINNING SMILE AND FRIENDLT ATTITUDE OUTWEIGH A SPIFFT SET-UP EVERY TIME!
2. PICTURES ARE A VERY BIG DRAW TO ALL ATTENDEES. TRY TO HAVE SOME ON DISPLAY. OFTEN
PEOPLE WON’T OPEN A BOOK, BUT WILL LOOK AT DISPLAYS. SO USE PICTURES YOU ARE FAMILIAR
WITH. IF YOU NEED SOME, PUT OUT A REQUEST TO THE SENNACHIE.
3. PLEASE MAINTAIN POLITICAL NEUTRALITY, PER CLAN DAVIDSON POLICIES - NO POLITICAL
POSTERS OR SYMBOLS, NO MILITIA INFORMATION, NO CONFEDERATE FLAGS.
4. DISPLAYS MUST BE CLAN DAVIDSON OR SCOTTISH CULTURE/HERITAGE ORIENTED.
5. TRY TO DISPLAY CLAN NAME BANNER AT THE FRONT OF YOUR TENT WITH MAXIMUM VISIBILITY.
6. FLAGS USUALLY ARE AT THE FRONT OF THE TENT, THESE SHOULD BE NEUTRAL, IE, SCOTTISH,
AMERICAN, DAVIDSON, CANADIAN, NEW ZEALAND, WALES
7. HAVE BOOKS ON GENERAL NAMES, SEPTS AND GENEALOGY AVAILABLE. PEOPLE OFTEN ASK
QUESTIONS OF ANYONE WHO SEEMS FRIENDLY. MOST GAMES WILL HAVE A SOCIETY OR
GENEALOGY TENT TO WHICH YOU CAN DIRECT IN-DEPTH QUESTIONS.
8. HAVE APPLICATIONS, OLD COPIES OF THE SPORRAN, A SIGN IN SHEET, DAVIDSON HISTORICAL
INFORMATION SHEETS, THE TULLOCH CASTLE PICTURE, MEMBERSHIP BENEFITS AND OTHER
GAMES FLYERS DISPLAYED ON YOUR TABLE. REQUEST APPLICATIONS AND COPIES OF THE SPORRAN
FROM THE SENNACHIE, AT LEAST SEVERAL WEEKS AHEAD OF TIME. PLAN AHEAD!!
Larry Davidson, former Regional Director for Region 14 (MO, KS, IA, NE) mans his Davidson Tent. Larry’s act is
simple yet very neat and complete. This is a good example of a tent set-up with a minimal amount of stuff which
needs to be carried, packed, etc. Note the tent’s side walls which offer protection from bad weather, hot sun or
strong winds. Larry also has a small card table behind him under the Lion Rampant banner and a comfortable
blue folding chair. While it’s not shown, I suspect Larry has a cooler tucked up under the table.
STYLES/ORGANIZATION
1. RESERVE SITE AT GAMES AS EARLY AS POSSIBLE (MONTHS IN ADVANCE).
2. TRY NOT TO HAVE YOUR TABLE BE TOO CLUTTERED.
3. PICTURES OF SOME SOCIETY CLAN TENTS ARE INCLUDED IN THIS GUIDE. SOME ARE SIMPLE, SOME
ARE NOT. DEVELOP YOUR OWN STYLE AND WORK WITHIN YOUR OWN COMFORT LEVEL, AS WELL AS
AVAILABLE CAR AND STORAGE SPACE. AS YOU MAKE YOUR PLANS, REMEMBER YOU MAY BE BY
YOURSELF... YOU HAVE TO LOAD, SET UP, TAKE DOWN AND RELOAD YOUR CAR. DO NOT KILL
YOURSELF.
4. SOME PEOPLE SET OUT CANDY OR TREATS, OTHERS THINK THIS IS TOO MUCH TROUBLE. THIS IS
STRICTLY OPTIONAL.
5. IT IS OKAY TO “BORROW” IDEAS FROM OTHER CLAN TENTS. WALK AROUND AND LOOK AT THE
OTHER TENTS TO HELP YOU DETERMINE YOUR OWN STYLE AND GET NEW IDEAS.
6. IN GENERAL, SALES OF GOODS NOT SPECIFICALLY RELATED TO THE CLAN DAVIDSON IS
DISCOURAGED. REMEMBER, YOU ARE REPRESENTING CLAN DAVIDSON, NOT AMWAY OR
TUPPERWARE!
7. AND, PUH-LEEZE, LEAVE THE POLITICKING AT HOME. POLITICAL POSTERS, HANDOUTS AND
BUTTONS DO NOT BELONG UNDER THE CLAN DAVIDSON TENT.
This more complex set-up is the handiwork of Elaine Davidson. Elaine (in the Davidson Tartan skirt) is the
Society’s Secretary/Treasurer and Region 8 Director (NC & SC). Note the reverse crenulations on the Davidson
Tartan over the table. The photos below show close-ups of this class act. Note the materials on the table in the
lower right photo. While this set-up is more complex than Larry’s, it also takes a lot more work packing and
setting up.

MEMORANDUM OF AGREEMENT AND PAY A MODEST DEPOSIT FOR A REGIONAL DIRECTOR STARTER
KIT. ONCE THE MEMO AND DEPOSIT HAVE BEEN FINALIZED YOU WILL HAVE YOUR STARTER KIT
SENT TO YOU.

REIMBURSEMENT

TENT SPONSORSHIP, INCLUDING THE TENT RENTAL, 1 TABLE, 2 CHAIRS, ENTRY TO THE GAMES AND A SPONSOR-SHIP.
2. BECAUSE CDS-USA IS AN IRS-RECOGNIZED 501 C 3 CHARITABLE AND EDUCATIONAL ORGANIZATION, ALL UNREINBURSED
EXPENSES ARE FULLY TAX DEDUCTIBLE AS A CHARITABLE CONTRIBUTION. SOME EXAMPLES OF THESE EXPENSES INCLUDE

Here is a tent set-up from the Stone Mtn HG 1996. Eleanor Davis and her spouse President Emeritus Andy
Davis set this act up more times than they care to remember! Note the “L” shape configuration of the tables.
This is a very handy arrangement.

More Samples Of Tent Set-Ups
As you’ve seen on the preceeding page, there’s a lot of
variation in how different Regional Directors chose to
set-up their tents. Of course, each venue for a Highland
Gathering has its own unique personality, as well.
Being a good Regional Director demands a certain
ability to be - um - flexible when it comes to adapting
your own stuff to fit the occassion.
To the left, witness the tent for the Houston TX HG., set
up by Winston Davis. It’s a free standing affair necessi-
tated by the HG being held inside a large building; can’t
be pounding stakes in the floor here!
Right, the tent set-up by Tom Davisson and Jennifer
Bozeman (R16) at Longs Peak is also a free-stander,
but is also held in place by ropes and stakes because
of the wind. That’s Matt Dawson and Stacey
Chambliss, by the way.
And yet another site-specific ripple, to the left. Shown
is the CD Tent setup by Davis Babcock of Region 11,
at the Glasgow KY HG. Glasgow provides the tent,
and table so you have to make your equipment jibe
with their infrastructure.
It should be noted in all these photos the part that duct
tape and bungee cords play in each. I guaranty that all
those flag poles attached to the tents are held in place
by duct tape, and the Clan Davidson banners are held
in place by bungee cords!
More Samples Of Tent Set-Ups
Wayne and Pam Davis, R14, have a very
attractive set up for their region. The Davises
are not only pipers but also swordsmen (and
women) of some distinction. There are side
panels for this free-standing tent which do
wonders when hard rains and driving winds
blow up, protecting both people and stuff.
15 year old Shannon wears her favorite “big”
sword.
Pat Davis in R8 has a particularly nice Clan
Davidson banner, as shown in this photo taken at the
Greenville (SC) Highland Games in 2010.
In the contest to see which Regional Director has
the tent set-up that is the most difficult to pack,
set-up, and maintain, the winner by a huge margin
is Rich Halliley, CDS-USA President and RD for
R8 with Pat Davis. Rich’s ersatz pseudo-castle is
made from masonite and is a big pain in the
keester to erect and take down! I also suspect it
won’t be too user friendly after it gets rained on a
few times...
By now, you should begin to see that the varia-
tions on the theme of setting up a Clan Tent run
from the very simple (Winston Davis) to the
sublimely complex (guess who?). So which one is
the best? They all are!! Because, when it comes
right down to it, what counts the most are the
people manning the tent, and Clan Davidson is
blessed to have some of the best!

preservation and continuation oI the wonderIul traditions and knowledge oI the Great Scottish Highland Clan Davidson. CDS-USA
