Introduction University Management System (UMS) is a large database system which can be used to manage, maintain and secure your university’s day to day business. the latest technology the world is moving towards multidirectional force in order to achieve, to give the best solutions to the people in a short period of time. UMS is the latest generation university automation system. UMS provides all the features to execute wide range of Academic, Student, Administrative, Security, Services and maintain all from a single database.

Scope of project The university management system is well integrated division wise as well as departmental wise. It is a web based automated module that works towards handling the daily activities. In this system all the modules are custom made for each university. As the size and functionality differs in every university, the system is modifies accordingly. There are separate planning and scheduling modules to make the yearly, monthly, weekly or even daily plan and time table.

EXISTING SYSTEM: The system starts with registration of new staff and students. When the subjects are to be allocated to the faculty, the Head of the Department should enter everything in the Excel sheets. Then the staff enters corresponding subject’s attendance and marks of a student then those must also be entered in the Excel sheets and validations are to be done by the user itself. So there will be a lot of work to be done and must be more conscious during the entrance of details. So, more risk is involved.

PROBLEMS IN THE EXISTING SYSTEM: Storing and accessing the data in the form of Excel sheets and account books is a tedious work. It requires a lot of laborious work. It may often yield undesired

results. Maintaining these records as piles may turn out to be a costlier task than any other of the colleges and institutions

ADMISSION, ACADEMICS AND EXAMINATION: Admission, Academics and Examination (AAE) module covers student's entire academic cycle beginning from registration and admission, taking them through regular attendance, exams and results and ending with issuance of the degree/certificate. Besides managing course programmes and modules as well as the administration of students from point of admission to conferral, it also helps the university in optimum utilization of its resources like academicians and other support staff. Major Objectives:

Provides faculty, staff and students with user-friendly, customizable, selfserve access to real-time data. Builds a foundation for student systems that can be easily expanded to include the eventual implementation of Admissions, Academics and Examination. Provides workflow to improve and streamline business process flows with consistency and efficiency. Creates a single source for an integrated university-wide data repository through the centralized database for reporting and data analysis capabilities thus promoting information sharing across the university. Maintains a robust, reliable infrastructure for sustaining all university services and supporting growth for new services. Accurate conversion of data to ensure the integrity and maintain the confidence in administrative applications.

Human Resource Management System (HRMS) Human Resource is an organizational function that deals with issues such as recruitment and selection, training, appraisal, compensation and performance management of the employee. HRMS module is web based system to provide HR Staff Managers, Business Line Managers and Employees to collaborate and manage their responsibilities effectively in line with organizational Goals and objectives. Major Objectives:

Automate the workflow of human resources management and provide 'single window' services to employees. Provision for timely & reliable management information relating to human resources for effective decision making within an organization. Enhance Information Exchange and Sharing. Facilitate Planning and Training of Human Resources. Effective Feedback on Training/ Knowledge Acquisition.

File Movement System File Movement System automates file movement within the different departments of an organization thus introducing a transparency in a system where volume of files generated is very high. This system provides instant tracking of any new file generated on the basis of date, subject, file number, section, location etc., and it also generates a single register for the reference of the individual section Major Objectives:  Automation of the File movement with an organization  Tracking of files  Monitoring of inward/outward of all files.

Advanced Search on various Parameters (Date, File no, Section, Title, File Created By, Status, Party, Physical location). Find out file in case the file is misplaced.

Benefits  Improve decision making with real-time metrics and role-based Dashboards.  Advanced search on various parameters can be done.  Complete file life cycle is available online, hence Management can always keep hold of response time.  In the case of adverse situation, like a file is on hold or escalated for some reason, information is stored along with the comments of the authorized officer.

Economical feasibility: The role of interface design is to reconcile the differences that prevail among the software engineer’s design model, the designed system meet the end user requirement with economical way at minimal cost within the affordable price by encouraging more of proposed system. Economic feasibility is concerned with comparing the development cost with the income/benefit derived from the developed system. In this we need to derive how this project will help the management to take effective decisions. Economic Feasibility is mainly concerned with the cost incurred in the implementation of the software. Since this project is developed using ASP.NET with C# and SQL Server which is more commonly available and even the cost involved in the installation process is not high. Similarly it is easy to recruit persons for operating the software since almost all the people are aware of ASP.NET with C# and SQL Server. Even if we want to train the persons in these area the cost involved in training is also very less. Hence this project has good economic feasibility. The system once developed must be used efficiently. Otherwise there is no

meaning for developing the system. For this a careful study of the existing system and its drawbacks are needed. The user should be able to distinguish the existing one and proposed one, so that one must be able to appreciate the characteristics of the proposed system, the manual one is not highly reliable and also is considerably fast. The proposed system is efficient, reliable and also quickly responding.


E-Notice Board UMS acts as an Electronic Notice Board and displays all important information and announcements made at the University level. The current happenings and achievements are also displayed on UMS. Login Details The UMS will be accessed through the UMS Login available on the University website by logging in using the Username (student Registration Number in case of students and parents; and Employee ID in case of staff) and the Password. For first time login:

The students should enter their Registration number as Username and the password as given to them at the time of admission. The Staff should enter their Employee ID as Username as well as the default password.

 

The users can change their passwords at any time as per their requirement This portal can be accessed as long as a student or a staff member

remains enrolled with the University.

Time Table Under the Time Table section of the UMS, the schedule of classes along with details where the classes will be held, the block number and room number, is available. Attendance The Attendance Section of the UMS helps the students and staff to keep a regular track of their attendance. The student can check his/her up to date aggregate attendance as well as course wise attendance as and when required. The parents can also view and check their ward's attendance status on regular basis.

Results Under the Results Section of the UMS, the grades and marks scored by a student in every semester and the final CGPA till date can be viewed by the parents and the students. The marks/grades of previous semesters are also available for the continuous reference.

INPUT AND OUTPUTS: The major inputs and outputs and major functions of the system are follows: Inputs: University Administrator enter his user id and password for login to authenticate in this system University Administrator creates the college . Registered colleges and staff need to submit their log in information for change their password. For searching College details guest need to choose the colleges or search college option for user interface. For searching a college a guest can choose search college option. For upload their deatails a college must login to their profile For display they have to view the reports. Outputs: Administrator can have his own home page. Colleges ans staff and student have their own home page after completion of the authentication process. Admin get all colleges and staff and course details. The registered user’s data can be stored in centralized database through the system user interface. Various types of information can be displayed to the users like colleges,

courses and course subjects etc After successful submission of log in information users can got their new password. Profile can be update by the users individually.

ERROR AVOIDANCE: At this stage care is to be taken to ensure that input data remains accurate form the stage at which it is recorded up to the stage in which the data is accepted by the system. This can be achieved only by means of careful control each time the data is handled.

ERROR DETECTION: Even though every effort is make to avoid the occurrence of errors, still a small proportion of errors is always likely to occur, these types of errors can be discovered by using validations to check the input data.
