Executive Director job description

I/ Key job tasks of Executive Director

1. Planning administration

• Provide leadership and vision to the organization by assisting the Board and staff
with the development of long range and annual plans, and with the evaluation and
reporting of progress on plans.
• Oversee preparation of an Annual Report summarizing progress on short and long
range plans.
• Research and write discussion papers, analysis documents and proposals as
needed to assist the organization in determining and meeting its long and short
term goals.

2. HR management

• Recruitment and contracting of company and project staff;


• Employee development, and training;
• Policy development and documentation;
• Employee relations;
• Performance management and improvement systems;
• Employment and compliance to regulatory concerns and reporting;
• Company-wide committee facilitation including planning, production, staff and
• Board of Directors, including arranging meetings and agendas, attending and
minuting meetings;

3. Marketing and PR:

• Manage advertising opportunities in other theatre program, press and at venues.


• Organize the availability of company members for media/PR events as necessary.
• Oversee content, production and distribution of all marketing and publicity
materials (posters, program, flyers, mail outs, brochures etc) with director,
designer and project manager.
• Manage press development;
• Co-ordinate the invitation of potential future promoters and supporters of the
company.

4. Communications management
• Publicize the activities of the organization, its programs and goals.
• Establish sound working relationships and cooperative arrangements with
community groups and organizations.

• See that the board is kept fully informed on the condition of the organization and
all important factors influencing it.

• Represent the programs and point of view of the organization to agencies,


organizations, and the general public.

5. Budget and finance management

• Jointly, with the president and secretary of the board of directors, conduct official
correspondence of the organization, and jointly, with designated officers, execute
legal documents.
• Be responsible for developing and maintaining sound financial practices.

• Work with the staff, Finance Committee, and the board in preparing a budget; see
that the organization operates within budget guidelines.

• Ensure that adequate funds are available to permit the organization to carry out its
work.

II / Job specification of Executive Director

1. Educational and experience preference is high school graduate with at least 5


years of secretarial and/or clerical work experience and good grasp of English
usage, spelling, grammar and punctuation.
2. Knowledgeable and proficient use of personal computer.
3. Practical experience with Microsoft Word, Excel and Lotus Notes.
4. Candidate must be very organized and able to prioritize tasks.
5. Ability to perform secretarial and clerical duties with deliberate speed and
accuracy without immediate and constant supervision.
6. Candidate must be friendly, personable and able to build harmonious working
relationships with clients, co-workers and the general public.
7. Ability to exercise good judgment in recognizing scope of authority and
protecting confidential information a must.
