KM Diagnosis and Audit: With a problem in hand, the next step in the implementation plan of KM system is KM Diagnosis and

Audit. Our objective in this phase was to understand the general activities of the research centre so as to kick start our KM project. As a part of our analysis to perform the KM Diagnosis and Audit, we chose interviews to gain the knowledge. We interviewed the Assistant Director Mr. Victor Horodincu and the Finance & Business Administration Manager Ms. Siti Masrura. The interview with the director and administration manager gave us the broader perspective of the overall functioning of the organisation and also its day to day activities. Both of them were very co-operative and answered our questions with higher clarity. The questions for the interview were decided after a brief active-brainstorming session amongst ourselves. There were random ideas thrown initially on the different kind of questions which can be put forth to the people concerned. We arrived at a conclusion on the best suitable questions that were pertained to our requirement and used it for the interviews. The questions that were asked to them are included in Appendix A. We carried out the interview in a sequential manner. To explain it further, we started with the factual questions to know the general functionality of overall centre and also the individual units within it. The following are some of the areas related to which we put forth our questions General information about the centre Organization hierarchy Work culture/environment Facilities in the centre

We then asked questions that were related to the kind of knowledge transfer process followed when a person is newly recruited to the centre. We also asked them about the IT infrastructure support and IT systems support in the centre. Knowledge Transfer Process IT infrastructure and systems support

The interview was conducted for the duration of thirty minutes. The interview was followed with an internal tour around the centre. During this tour, we got a chance of observing the various places in the centre where there were specific tasks carried out. The following were the observations we made during our internal tour The first observation each of us made was on the seating arrangements in the centre, which provided better chance of interactions among the staffs. We also noted that the labs were very well secured, which here means security in terms of access to the labs as well as security from bacteria or any dust which would affect the growth of cells/tissues under study. The next major observation was on the kind of equipments used for their research within the centre. The equipments used were all technically sound and also more recently developed microscopes. The next observation we made was that there were meeting/discussion rooms in the centre. The final observation was on the servers used for data storage/transfer which was also a technically sound one.

Appendix A: What is the general functionality of the centre? When it was established? What are the techniques practiced to train the new hire? How the organisation is classified? What are the various resources in the centre? How is the organisation classified? Where is the information from the various researches stored? How the knowledge is pertained when a person is leaving the organisation?
