Policy CH PAY FOR EDUCATION, CONVENTIONS & CERTIFICATION


Summary Carondelet Health encourages career growth and opportunity for all employees in a variety of ways including financial assistance for education, training and, in limited cases, certification. Carondelet Health's goal is to provide internal education services to meet mandated requirements, improve patient care, and provide growth opportunities for employees. Payment for these educational programs are made in accordance with the Fair Labor Standards Act (FLSA).

All employees are eligible for assistance in accordance with this section of the policy. There are no employment status or length of service requirements. Carondelet Health leaders are responsible for the continued learning and development of their staff. Leaders should consider internal education opportunities before approving attendance at an educational seminar outside the organization. If an offering is available internally, a like external offering will not be approved for reimbursement. If an educational need is not met with existing inhouse opportunities, it is expected that CH leaders will contact the appropriate internal education resources to determine the feasibility of providing new educational offerings before approval of a seminar outside the organization. Prior to attending any convention or educational opportunity requiring travel, a Request for Travel form should be completed and approved. For approved education and conventions, expense reimbursement is made only according to the CH Expenses Reimbursement Policy. DEFINITIONS: Required (Mandatory) Education: Programs/classes which are directly related to job performance, regulatory and accreditation standards, mandated cross-training, mandatory credentialing or those programs developing skill/knowledge considered essential to remain in the job or perform it successfully. The CH leader will request appropriate verification of course certification/completion and submit to be recorded in the employees education transcript. Optional (Not Mandatory) Education: Programs/classes that teach skills to enhance performance. The content/skills are not critical for safe and successful completion of a job duty. 0R Programs/classes which teach skills designed to move an employee along a designed/ defined

career path, job performance enrichment, elective cross-training, etc. These skills are valuable to the employees development but are not required for their current job. Certification: Programs/classes which fulfill requirements of specific standards in that field of endeavor; i.e., Certified Diabetic Education, Certified Wound Specialist, etc.
PROCEDURE

1. Payment of Course Fees for Required or Approved Optional Education If Carondelet Health requires an exempt or non-exempt employee to attend a seminar or class or obtain specific licensure or certification, the minimum registration/ tuition fee and reasonable travel expenses will be paid by Carondelet Health. Expenses will be reimbursed in accordance with the Expenses Reimbursement Policy. If an employee requests to participate in an optional seminar, class, or professional meeting, Carondelet Health may agree to subsidize the cost. Written approval by the appropriate Vice President or Chief Nursing Officer is required to attend an optional education seminar or class. The CH Request for Optional Training Form should be used for the approval. This policy does not apply to educational assistance provided under Policy, Educational Reimbursement for College Credit Courses. Foundation funds, or funds from other sources, donated for the express purpose of employee education, may be used to pay for approved education. 2. Payment of Fees for Certification/Licensure Financial assistance is not provided by Carondelet Health in obtaining professional licensure or technical certification required by statute or government agency in order to perform the employees current job. In addition, it is considered the professional responsibility of the employee to maintain any licensure or certification needed to perform the employees job. Therefore, financial assistance for expenses incurred or educational requirements needed to maintain these is not provided. Carondelet Health will pay for employee certification in the following situations: a. Initial Certification for new technology or new skills - which would help the organization remain competitive and/or compliant in the marketplace as deemed necessary at the Vice President level. b. Certification for specific development for individuals with high potential - as deemed necessary at the Vice President level in order for the organization to grow and retain its valued leadership. Foundation funds, or funds from other sources, donated for the express purpose of employee education, may be used to pay for approved education. If the employee leaves employment of the Health Center within one year following completion of the certification/licensure, the employee is responsible for repayment of such monies. The amount to be repaid is pro-rated in twelfths, according to the number of months employed after completion of the certification. If an employee is certified or licensed in states other than those in which they practice for Carondelet Health, continuing education requirements of that licensure/certification are not the responsibility of Carondelet Health. 3. Payment for Attendance at Required Education or Optional Education Programs For required or approved optional education offerings relevant to the employees job, the employees salary will be paid appropriately during their attendance at the class.

In addition to paying for attendance for approved education, non-exempt employees will also be paid for travel and preparation as hours worked in accordance with the FLSA. The Director must consult with the Director of Compensation & Benefits in the event that a non-exempt employee attends a seminar out of town. 4. Process The Request for Travel form must be completed if the total cost is greater than $100. (Refer to CH Expense Reimbursement Policy) If the cost of attendance is less than $100, the Business Expense form or Check Request form should be completed. Payment for certification/licensure exams and review/study will only occur one time by Carondelet Health. If the exam or course must be retaken, it would be the employees financial responsibility.
