We can’t manage it, increase it, decrease it, speed it up, slow it down, save it or lose it. It marches on relentlessly day after day, year after year at exactly the same speed, no matter what we do. Time is a constant, and it is one of the few things in life totally unaffected by the use we make of it. No matter how well we spend our time today, we’ll still only get 24 hours tomorrow. And fortunately, no matter how badly we may waste our time, it won’t bear a grudge; we’ll still get our 60 minutes in every hour tomorrow. Sometimes, on a really bad day, I like to remind myself that I am only going through exactly the same number of minutes and seconds as I did on the best day of my life, and I’m going through them at exactly the same speed. They just FEEL longer! So if we can’t manage time, why do so many books and management courses feature time management? Well, what we do manage (or unfortunately more often than not, don’t manage!) is the use to which we put our time. Every time we choose to do one thing, we are also choosing not to do something else. Cause and effect. So wise choices about what we spend our time on are vital to achieving what we need to get done in time. In reality, Time Management is actually simple. Do the right things, in the best way possible. Only 2 questions apply: Is this the best thing for me to do now? Am I doing it in the best possible way?
PLAN & PRIORITISE
Plan your work, then work your plan. You need both the big picture and the details. Set long term and short term goals. Create a master list, a daily list, and a project list. Making detailed organized plans of action are a great time saver. Each time you make your planning schedule be sure to include some activity that works toward your long and short term goals. Finally give up the old FORWARD goal setting method. People who achieve, do it BACKWARDS - they begin with the end in mind, and just imagine they've already achieved their goals; then they 'look back' to see how they did it! Let your conscious and unconscious work TOGETHER to support you.
A - ACTIVATING YOUR ATTITUDE
Move from 'I must', 'I should' 'I ought' to 'I can', 'I will'. Learn to ask yourself the kinds of questions that lead to getting the results you want. Remember every action or inaction involves choice. Do you want to really spend your time moaning, or would you prefer to learn to ask yourself the questions that move you to your outcome?
R - REPEAT SUCCESS
Just think about the last time you went away on holiday, and how you got so much done in those few days before you left. What strategies and techniques did you employ that made you so effective and focused? Can you repeat them? Alternatively, imagine you are going away tomorrow and work through today accordingly. Very important, when you do complete a goal, remember to celebrate it and reward yourself.
F - FOCUS
Get clear on your task: "What am I attempting to achieve? How am I attempting to achieve this? Is there a better, easier, more FUN way?" When you are done with your task put it away. Self-discipline is the ability to make yourself stay focused on only those things that are important. Practice makes perfect, so work on managing your time everyday. It is the key to your future success. And by the way "DON’T think of a purple striped giraffe". When you read those words, what did you do in your head? I’ll bet you thought of a purple striped giraffe, right? THE MIND DOES NOT UNDERSTAND THE NEGATIVE! In order to make sense of the words, our brains have to recall an experience of the very thing that it’s being asked NOT to do, and put ‘DON’T’ in front of it…… by which time it’s too late! You can only think of that purple striped giraffe! Telling yourself or someone else not to worry can CAUSE worrying! Instead of saying what NOT to do, say what TO do, such as: "Enjoy your afternoon!"
I - IMPROVE YOUR WORK-LIFE BALANCE
Live your life your way. You have to make time for play and dreams. After all, you have to feed your soul, just as much as you have to feed the bank account! Find some balance in your life and enjoy it. And schedule personal activities too, so you make time for family, friends, your health and fun; because having a balanced life reduces stress and increases energy levels. V - VALUES ALIGNED
You know what you want to do. But what moves you? It's your values - what's important to you - that moves you. So start today to discover your values, and check that your goals are aligned with them.
E - EMOTIONAL FREEDOM
You're in the supermarket, and at the checkout someone in front wants to change every single item, and 5 minutes feels like an hour! Or you meet an old friend and start chatting, and you look at your watch and wonder where all the times gone! TIME IS A PERCEPTION AND AN EMOTION. Think about all those things you have been putting off. Just imagine what would be a better emotion to undertake those tasks. Perhaps change your pictures in your head, or your inner voice; or just breathe faster or slower, or move your body, to change your feelings. Go on... take some time, and try it!
S - SAY NO
Learn to say no. Watch out for those 'time thieves', choose to do the right thing not to do things right! Don't let your mouth overload your back. And learn to delegate! It's tempting to do something yourself when you think you can do it faster and better. But consider the long term - delegation now will save time in the future, and if done appropriately can motivate your staff, boost their confidence and help them develop their skills "What is the most important thing I could be doing right now that would have the greatest positive effect in the long term?"

In your time log. photocopy half-a-dozen copies and carry it around with you filling in a row every time you change activity. an hour spent debating the leaving present of a colleague is waste. allocate time (start as you mean to go on) to reviewing this log. The most common are social: telephone calls. Before we start on the future.

External Appointments The next stage of Personal Time Management is to start taking control of your time. before you waste your time on false assumptions. but where it impinges upon your work and performance you must take the bull by the horns (or whatever) and confront the issue. Your appointments constitute your interaction with other people. Consider what periods in your work log were used to perform tasks that your manager either repeated or simply negated by ignoring it or redefining the task. If you have a task which could be done by a subordinate. too late. then that is waste. but far less that in doing it yourself. in the spirit of an open and harmonious work environment it is obviously desirable that you should be willing to help out . The first problem is appointments. they are better at it than you. try writing a small specification for each task before beginning it and have it agreed. you should deal at the technical level. They often fill the diary. There may be committees where you can not productively contribute or where a subordinate might be (better) able to participate. While you can not tactfully hold your manager to this contract if he/she has a change of mind.Large gains can be made by assigning secretarial duties to secretaries: they regularly catch the next post. Making your manager efficient is a very difficult task. There may be interviews which last three times as long as necessary because they are scheduled for a whole hour. Your subordinate should be told about the missing section and told how (and why) to slant it. be ruthless and eliminate the unnecessary. use the next occasion to start training him/her to do it instead of doing it yourself . In this book you will have (or at least should have) a complete list of all your known appointments for the forseeable future. if you spend a morning checking the grammar and spelling in the training material related to you last project.but check your work log and decide how much time you spend on your own work and how much you spend on others'.you will need to spend some time monitoring the task thereafter. If seemingly random alterations are asked in your deliverables. If the manager is difficult. Now. it will at least cause him/her to consider the issues early on. Publications should do the proof-reading. Eliminate the wastage starting today. they are the agreed interface between your activities and those of others. If you have omitted your regular ones (since you remember them anyway) add them now. Doing the work of Others A major impact upon your work can be the tendency to help others with their's. .seek clarification (is that a one page summary or a ten page report?). they type a lot faster than you. ask for the reasons and next time clarify these and similar points at the beginning. Managing your manager may seem a long way from Time Management but no one impacts upon your use of time more than your immediate superior. There may be long lunches which could be better run as short conference calls. For instance. Now. Start with a simple appointments diary. that is their job. If a task is ill defined . The remaining problem is your manager.
Scheduling Projects The most daunting external appointments are deadlines: often. Some people.The next stage is to add to your diary lists of other. The single most important type of activity is those which will save you time: allocate time to save time. An impossible deadline affects not only your success but also that of others. this is common sense. use Personal Time Management. always allocate time to time management: at least five minutes each and every day. a stitch in time saves days. the handover of deliverables. the competition will have advanced warning. Even if the latter is unclear before the event. you have a chance to do something about it. And most importantly of all. consider. The customers will be dissatisfied or even lost. you must still allocate time to review the outcome and to plan the resulting action. when the time comes.
One defence tactic is to present your superior with a current list of your obligations indicating what impact the new task will have on these. consider the alternative. then the outcome is your assured failure. Finally. There is no reason why you should respond only to externally imposed deadlines. Long term . Thus. Thus by allocating time to quality review. and ask him/her to assign the priorities: "I can't do them all. Of course. This will quickly develop into a source of valuable data and increase the accuracy of your planning predictions. This critical appraisal may even suggest a different approach or method so that the time matches the task's importance. which should I slip?". and this should be done in the same planned. Planning projects means not only allocating your time but also the distribution of tasks.allocate time for "fitness for purpose". monitored and reviewed manner as your own scheduling. if you agree the task for Tuesday. Beware of perfection. support and motivation of his/her work-team. particularly with regard to the development. the same sort of review might be applied to the product at each stage of its development so that errors and rework time are reduced. particularly your subordinates. deadline and you accept it. it takes too long . Another tactic is to keep a data base of your time estimates and the actual time taken by each task. Thus you should ensure that each task is concluded with a deliverable (for instance. and this is all part of project planning supported and monitored by your time management. Any delegated task should be specified with an (agreed) end date.so move your personal deadline forward and allow yourself the luxury of leisured review before the product is shipped. If you have an imposed. for each activity you should estimate how much time it is worth and allocate only that amount. Wednesday should have an entry in your diary to check the deliverable. This simple device allows you to monitor progress and to initiate action as necessary. The slightly shoddy product which you hand-over after the last minute rush (and normally have returned for correction the following week) could easily have been polished if only an extra day had been available . a memo to confirm completion) . Taking this a step further. but unobtainable. then stop. there is a fifth option: move to a company with realistic schedules. Long term Objectives There are many long term objectives which the good Manager must achieve. As a Manager. Personal Time Management does not solve your problems. Personal Time Management is a systematic application of common sense strategies. yet it promotes efficient work practices by highlighting wastage and it leads to effective use of time by focusing it on your chosen activities. Of course if the factory is on fire. the manager may have to re-allocate this time in a particular week . and provides a structure to implement and monitor solutions. but without that deliberate planning it will not be achieved. Some quiet weekend. it is worth using some of that control to augment your own career.how you use it is then up to you. then simply designate the second Thursday (say) of each month and delegate the choice of speakers. Once you have implemented Personal Time Management.objectives have the problem of being important but not urgent. Concluding Remarks. If you do not plan where you want to go. The actual time spent in managing this sort of long term objective is small. this time should then become sacrosanct and always applied to the same. time may be allocated to staff development and training. they are distant and remote. Clearly a balance must be struck. a manager might decide that one hour a week should be devoted to personnel issues and would then allocate a regular block of time to that activity. you are unlikely to get there. . As you would any long term objective. The beauty of Time Management is that the balance can be decided objectively (without influence from immediate deadlines) and self-imposed through the use of the diary. they do not have deadlines. Simply.but barring such crises. or World War III is declared. So if one afternoon a month is deemed to be a suitable allocation. Similarly. allocate time to the necessary sub-tasks and monitor your progress. it reveals them. it is all too easy to ignore them in favour of the urgent and immediate.
