Position Summary: The Administrative Assistant is the welcoming presence in the office and provides general support as needed to keep the staff and board running smoothly. The Administrative Assistant reports directly to the COO, and interfaces with all organization staff. Key Responsibilities:  Oversee reception area, greeting visitors, offering beverages;  Assist with meeting preparation; stay up to date with office meetings calendar  Answer main phone line and direct calls;  Receive, sort, and post mail and packages;  Maintain contacts database;  Coordinate logistics for special events or workshops;  Supervise interns;  Collect and maintain PC inventory;  Maintain inventory, stock, and order supplies; receive deliveries  Maintain cleanliness of office equipment and common areas (reception, conference room, kitchen, bathroom)  Maintain administration files  Research and implement contracts with all outside vendors;  Maintain vendor contacts and files;  Manage vendors, petty cash, liaising with account office  Coordinate equipment repairs Key Competencies:  Effective communication skills, professional etiquette, and ability to establish and maintain effective relationships internally and externally.  Organized, and can martial resources (people, material, support) to get things done; can orchestrate multiple activities at once to accomplish a goal; uses resources effectively and efficiently; arranges information and files in a useful manner.  Computer skills- MS Office, internet tools
