O NLINE S ERVICES
1. Web Service to add a prospect #4027 Requirement: A web service which will allow the inclusion of contacts registered through a web form or email as a prospect. Proposal: A web service will be made available which will collect the relevant fields, such as Name, Address, Email, etc. The data will be processed and made available in the Legend Sales application. The new record will be checked for duplication and will update the existing record and return a status code of OK if updated or Created if it was a new record. When a prospect is created and an action will also be created for a user. Implementation: Please contact your Account Manager or the Legend Support team for more information on using this web service and for the technical documentation. 2. IE9 CMS updates #4186 Requirement: To use the full feature set of CMS in Internet Explorer 9 and above. Proposal: To update CMS and make required changes to allow users of IE9 and above to access all features in the Legend CMS, instead of the small set of features currently available in IE. Implementation: There are no changes required to use the CMS in a browser, CMS currently accepts all the latest version of the major browsers, Chrome, IE (9 and later), Firefox and Safari. 3. Amended emails not showing in CMS #4319/TM #101414 Issue: When viewing the sample online services emails and changes to those emails they sometimes do not show due to hierarchy issues in the CMS. Fix: The email samples can now be seen at individual locations, in the same way the online services works. For example, http://domain.legendonlineservices.co.uk/enterprise/emailsamples or http://domain.legendonlineservices.co.uk/yourlocation/emailsamples. 4. BACS email not correctly selected from hierarchy - #4513/TM #103640 Issue: When a confirmation email is sent on a new registration the email template that is selected is the first which was entered in the system and the hierarchy is not respected. Fix: The hierarchy is now respected and the correct email is selected and sent to the member for confirmation of their registration. 5. Include membership number in BACS confirmation email #4512/TM #102847 Issue: The BACS reference number in a member registration confirmation email is incorrect, it should be the membership number (as per the Legend applications) but it used an ID number with no association to the member number. Fix: The correct reference number (membership number) is now selected and entered into the confirmation email. 6. CMS Alerts #4185/TM #102082 Issue: When attempting to add an alert or notice using the Legend CMS the site would show a generic error message before diverting the user back to the CMS home page, thus making it impossible to add an alert or a notice to a CMS hosted website.

Fix: The issue has been identified and resolved allowing for the creation of alerts and notices in CMS. 7. Vision meter which reports the availability of kiosks #2380 Requirement: To have access to meters in vision so that staff can be alerted as to the availability level and lack of availability of kiosk facilities, allowing the increase of transaction processed on kiosk and hence increase customer service efficiencies overall. Proposal: To create a new vision meter to gather the data from the kiosks and make this available to be added to the home page views. Implementation: The kiosk meter will be available to be added to home page views. Ensure the kiosk URL is set up correctly with domain.co.uk/location/kioskmode/, otherwise the tracking of usage will not be recorded. Note: The exact structure of the URL, including the forward slashes, is important.

FOH
1. Online profile invitation from FOH #2940 Requirement: For FOH staff to be able to see if a member is registered online so that they can then choose to invite them to join via an email which will help increase the online community. Proposal: This feature will add to what was released in FP13, invitation from NMW. An event will be created against members who are not online users and staff can either choose to send an invitation or remove the event. Implementation: This feature is enabled in the same way as the NMW part of this feature was enabled, through CRM. Once in CRM navigate to Configuration > Online Profile Everywhere and then use the navigation tree and the settings on the right hand side to enable the feature. The feature can be enabled through the hierarchy and can also inherit the setting from above. The email the member receives is also customisable in the same way by selecting the required email from the list of emails. Once the feature is enabled an event will show in the event window (in member control) if they are not a registered online user. If the user has the relevant security token associated to their user group, FOH_CAN_SEND_OPE_EMAIL, they can select the event and choose to either send an email or state that the member is not interested in using the online services. The event shows the status of the members email address (if they have one it will show, if they dont it will state they dont have an email address) and if they are cleared to send emails via the members communication preferences. Upon clicking the event the user can change the members email address or add one if it doesnt exist, this is saved against their account, and then click on Send Invite. This will remove the event and send the member the invite, once complete an event will be raised against the members account stating the invite was sent. If the member is not interested in using the online services the user can click the Not Interested button which will also remove the event, this will not send the member an email and FOH will no longer show the event.

2. Prevent Double Booking #3511 Requirement: Currently a customer can book into more than one activity occurring at the same time or which overlaps. As a member cannot attend more than one activity at a time this takes up space which could otherwise have been utilised and also makes usage figures incorrect. Proposal: This functionality will spread further than FOH and into the Legend Suite and the online services. A new setting will be introduced to enable the feature, once enabled the system will check, at the time of booking, if the member already has a booking at the same time (or one that overlaps) for a resource where Disallow Double Booking is turned on. Implementation: This feature requires the resource in question, a class for example, to have the setting Disallow Double Booking (Member) enabled. This setting is located on the General tab of the resource form. When attempting to book a member into a booking or course and the member already has a booking at the same time (or overlapping) the user will be shown a message which details that they cant make the booking and will be shown the booking which causes the clash. If the user has the security token BK_CAN_OVERRIDE_DOUBLE_BOOKING_RULE_FOR_MEMBER then upon booking a member they will be shown a warning message which states that they are already booked into something at that time. If the user selects Yes then the booking will be confirmed and created, if the user selects No the booking will not be created. If "Exclude from Double Booking Rule" in Bookings Tab of Control Panel is unchecked then bookings made to block booking will also be considered to be checked for the above rule otherwise block bookings will just ignored and confirmed as normal. 3. Administration of Waiting lists - #3511 Requirement: Legend currently allows members of a club to be added to a waiting list and then be added to the class when the space becomes available. The request is for two changes to this functionality, firstly to be able to remove the member from the waiting list and secondly specify whether they have been contacted when the space becomes available. Proposal: There will be a new button on all the waiting lists to be able to remove a member, the button already exists in the Bookings Application, but will be copied to FOH as well. The second will allow for a communication flag to be added to a member on a waiting list, along with the outcome of the communication. Implementation: A button is now located in FOH to remove highlighted members from the waiting list, simply select a member and once the button is clicked the member will be removed from the waiting list. The second part of this change allows the communication against a member, the first stage of enabling this feature is to set up the communications reasons. This can be done in the Control Panel > Data Menu > Member > Waiting List Communication flags. These can be edited and created as required. In the waiting list a new column has been added, named Communicated which is also backed by a button labelled Set Communication Flag. Pressing the button allows the communication status to be set against a member.

CRM
1. Allow per location email templates and settings for online profile invitation #3478 Requirement: To allow users to create email templates per location that the online profiles feature is enabled on. This then allows different locations to use different email templates. Proposal: To change the hierarchical tree structure to support the setting of email templates at different locations rather than one per enterprise. Implementation: Using the hierarchy tree structure inside the online profile everywhere section of CRM now allows email templates to be set at each location, previously only one email could be used across the enterprise. Selecting a different location in the tree will show the email associated to the location and feature. 2. SMS in CRM #3841 & #4026 Requirement: To be able to bulk SMS members to drive communication campaigns. Proposal: To add to the existing email functionality in CRM and provide an a process to send ad hoc or template SMS messages that include mail merge fields. Implementation: This feature works in the same way as bulk emailing members through CRM. In the Data Wizard module of CRM there are two new SMS options, either ad hoc or by a predefined template. Upon selecting one option start a new task and select the relevant scope to search for members and run the report. The report will return the selected set of members, a new column has been added to the report to include mobile number, and this column can be used to filter member accounts which do not have a mobile number associated. Once all relevant members have been filtered the SMS can be written (or if using a template, checked) and then set the From parameter. This parameter will show on the users phones in place of where the number or contact will show. If the preview is ok click send. The campaign can be saved and used again if required. Once the send option has been selected the SMS list will be added to the mailer queue and sent out automatically. A template can be created in CMS for the SMS in the same way as the emails are created, please note that any images, html or styling will be removed. When saving the template prefix the name with sms_ so the CRM application understands that this is a plain text message and not for use with the email system. M EMBERSHIP M ANAGEMENT
1. Opt out of online invitation in New Member Wizard (NMW) #3826 Requirement: To see a clear indication of email entry required when the online invitation functionality is enabled, this is to differentiate between this feature, which requires an email address, and the general error/warning messages that are found in the New Member Wizard.

Proposal: To change the contact part of the NMW to not allow the user to skip the stage without acknowledging the fact that the functionality is enabled, this will be done by disabling the next button until an action has been completed. Implementation: When the online invitation functionality is enabled the NMW will now show a notification next to the email field stating that the functionality is enabled. The user will not be able to go past the new contact details part of the wizard without either entering an email address or ticking the Do not capture email address (no invite to online services) flag. Once either of these options is completed the next button becomes available and the user can continue with creating the new member. Both the checkbox and the email cant be used at the same time, so the user can either invite the member to online services or choose to not capture that information. 2. Assigning payment in MM uses incorrect GLProcessType #3660 Issue: When payments are allocated in MM anything on the course tab is allocated against standard courses, since the integration of external courses and the new development of sports courses these payments need to be allocated against a different GLProcessType. Fix: Each transaction is now processed individually to accommodate for multiple charges of different types, the correct GLProcessType is now allocated, which future proofs assigning payments for future releases of external courses and sports courses.

P AYMENTS
1. Direct Debit mandates using incorrect SUN ignored in ADDACS #3248 Issue: The ADDACS system of the SUN set up in payments section is not currently used when processing ADDACS. This means that some transactions are processed that shouldnt be due to a different SUN. Fix: Direct Debit mandates using an old Service User Number will be set to 0T (terminated) and thus ignored in future ADDACS runs

P RICE M ANAGEMENT
1. Start Dates incorrectly saved #3811 Issue: When a price scheme was saved the start date of the scheme moved forward 1 day. Fix: The start date remains no longer changes when a new price scheme is saved.

M ISCELLANEOUS
1. Fix Employer Box - #4294 Requirement: Currently the Legend application suite allows the employer name to be entered along with selecting it from a predefined drop down list. The request is to lock down the employer box within the Legend applications so that a user can only pick the employer name from the values available in the drop down list. Proposal: To add a 2 new configuration entries in the Legend Control Panel, one for Sales and one for Membership Management, by default they will be turned off and will be available at

enterprise only. When the configuration is enabled, the two applications will no longer allow free text entry for the employer. Implementation: The two new settings can be found in Control Panel > Global Settings > Additional (2) and are named Disallow Manual Input of Employer in Member Management and Disallow Manual Input of Employer in Sales. Once enabled the user will not be able to input new employer details in but only select from those already in the drop down list. 2. Company name drop down - #4293 Requirement: Legend allows for the capturing of company name while adding member details in Membership Management and Sales, however the enterprise level companies only appear if the user logged in has enterprise access. The only work around for this is to duplicate the companies at every region which is causing duplication of data. Proposal: A new configuration item will be added to the Legend Control Panel; the setting will be accessed at enterprise level and will affect all sites. Once the setting is enabled the company/employer drop down will display the names based on hierarchy, that is, Enterprise, Region and then Club level. Implementation: The new setting can be found in Control Panel > Global Settings > Additional (2) and is named Load employers with Enterprise Access. Once this is enabled the user trying to access the drop down will be able to view and select all Employers/Companies even if they do not have enterprise wide access, if the setting is disabled then the user will only be able to access the information their account allows.
