1.0. Appraisal Period
Bodhtrees Annual Appraisal cycle is from 01 October to 30 September of the
following year. Ex, for appraisals to be conducted for the financial year April
2007 to March 2008, the appraisal period will cover 01 Oct 2006 to 30 Sep
2007.
The four quarters in a financial year are defined as follows (using FY 07-08
as an example)
Q1 Apr 07 Jun 07
Q2 Jul 07 Sep 07
Q3 Oct 07 Dec 07
Q4 Jan 08 Mar 08
2.0. Eligibility Criteria for Appraisal
Cut off as 31-Dec of the previous financial year. All employees who joined
before 31-Dec are eligible for appraisal. Ex, for the financial year April 2007
to March 2008, the cut off date is 31 Dec 2006.
3.0. Appraisal Effective dates
Revisal in salary and/or designation, if any, will be with effect from 1st
January of the next year . For the example case, the revisions will be effective
from 01 Jan 2008.
4.0. Appraisal Process With Timelines
Each person will receive a mail to let him/her know who their appraiser and
reviewer will be.

4.1. HR shall
Send Self Appraisal Form and Performance Appraisal Form (soft
copies) to employees under review.
4.2. Appraisee shall

Fill the Self Appraisal form and the first two pages of the Performance
Appraisal Form (hard copies).
Hand over the Self Appraisal Form and the Performance Appraisal
Form to the HR Department.
4.3. HR shall
Receive the duly filled Performance Appraisal Forms from the
Appraisees by the 10th of October
Hand over the same to the Appraisers
4.4. Appraiser shall
Fill the Performance Appraisal forms of the Appraisee under review.
Schedule appraisal meetings and notify the Appraisee one day in
advance by email.
Record appraisal findings in the Performance Appraisal form and hand
over the same to HR.
4.5. HR shall
Ensure that they receive the duly filled Performance Appraisal Forms
from the Appraisers by the 21st of October
Review and hand over the same to the Reviewers
4.6. Reviewer shall
In case of any conflict, schedule individual discussions first with the
Appraiser and then the Appraisee. HR shall be involved in such
discussions.
Record findings and comments in the Performance Appraisal forms
and hand over the same to the HR
4.7. HR shall
Receive the duly filled Self Appraisal Form and the Performance
Appraisal Form from the Reviewers by the 1st of November
Prepare final consolidated report of feedback and findings by the 9th of
November
Take approval of Competent Authority for the revisions
Prepare the Salary-hike / Promotion letter as applicable, for all
concerned Appraisees and hand over the same before the 15th
of November.
Communicate the salary particulars to the Finance department by
the 15th of November.

** If any of the above mentioned completion dates falls on a holiday, the
following working day is taken as the completion date.
Intention is to complete the entire review process on schedule and
HR will need co-operation to adhere to the timelines at respective
levels.
5.0. Appraisals for New resources who joined in Quarters
-1, 2 & 4
Please see Section 1.0 Appraisal Period for the definition of the quarters.
Employees who joined between 01-Jan and 30-Sep in any financial year will
be appraised at the completion of 12 months in the company. Any salary
adjustments or designation changes (if any) are effective the immediate day.
In any case, their appraisal process should be completed with the end of the
corresponding quarter. They fall into the normal appraisal cycle from then
on. During the next appraisal cycle, they will be appraised for the eligible
period only.

Ex. Employees who joined on 07-May of the previous financial year will be
appraised by 06-May of the next financial year and salary increment will be
effective from 07-May of the financial year in which the appraisal is done,
with this employees appraisal process being completed no later than 30-Jun
of that year. For the subsequent appraisal cycle, this employee will be
appraised for the period May till Sep end.

6.0. Appraisals for New resources who joined in Quarter - 3
Employees who have joined between 01-Oct and 31-Dec of the previous
financial year will be appraised as part of the annual appraisal cycle of the
following financial year and their salary adjustments will be effective from
01-Jan onwards with prorated increments, taking into account the total
period of service from the date of joining to 31 Dec.
Ex. Employee who joined on 02-Nov 2006 will be appraised during the annual
appraisal cycle in 2007. The salary effective will be from 01-Jan 2008 with
prorated increment for 14 months.
