During this meeting everyone who was expected to be present, attended and therefore the meeting started at 8:45 as planned in the agenda. 2. Project Scope of H10 Hotels At the start of the meeting I outlined the project has I had previously done in my project proposal meeting, however I went into more detail and insured that everyone had a chance to ask questions as I presented the project. In this meeting I explained about the proposed objectives which have been put forward. My client agreed with the objectives that I put forward and was impressed with the objectives that have been proposed. Also in this meeting I explained about the constraints and possible risks. I also explained how each of the people who sat in on the meeting would help contribute towards the project. 3. Question/Discussion On the Project Scope In the project meeting I gave each of the people present at the meeting a chance to ask any questions about the project. Below are the questions which were asked along with the replies which were given. Have you got the cost for the project? Currently we do not have an overall cost. There are many things which we need to take into account before we estimate an overall cost, such as photos and a video which will have to be taken of the hotel. Also we will have to plan how much it will cost to distribute the presentation on CD rom. Have you got a date for the end of your project? Yes we have a hand over date for the project. It is the 27/01/2009. This will be when the project is handed over to Daniel Gilbert (client); this will be once all improvements have been made. Have you left time for risks? Yes I have left a total of 18 days contingency time in my project plan. This will allow for any illness that arise and also will account for if the computer goes wrong or breaks down.
4. Initial Plan In this meeting I explained how I have organised time in my plan and how I have split the time up to allow me equal time for each of my scenes. I also explained about contingency time which I have left in my plan to allow for illness and computer break downs. I also explained how I will leave appropriate time in my plan for meetings and putting the comments which I have received in meetings in action. 5. Question/Discussion On the Initial Plan During presenting the initial plan I left time for my client and stakeholders to ask questions. Below are the questions which I was asked along with the replies which were given. Where have you left the contingency time in your plan? I have left two gaps of 7 days each in the prototyping part of my plan; I have then also left a further 4 days in the summative testing part of my plan. This will insure that if any persons fall ill in any part of the project there will be sufficient time for them to recover as I have allowed for it in my plan. Have you left any time for training in your plan? As of yet I haven’t left any training time in my plan however I plan to put some in so in the next plan meeting we can review that I have put in sufficient time for training and review the plan. When will you have your review meetings for the plan? I plan to have them every 2 – 3 scenes on my prototype part of my plan. So once I have completed 2 or 3 scenes I will call for another meeting to be held and inform all persons here of it. Actions which I will take on my behalf before the next meeting will be. I will create a new agenda for the next meeting which will be the first updated plan meeting. I will type up the minutes of the previous meeting. I will update the plan so that it fits more with the actual time. I will also make progress with the flash presentation. 6. Things to complete before next meeting Before the next meeting I will type up the minutes of the previous meeting. I will then show these minutes to everyone present at the meeting to ensure that they give a true account of the discussions which took place. I will write out an agenda for my next meeting. This will be distributed amongst the stake holders in the H10 presentation group. I will update the plan which I currently have to make it fit better with the actual scale of the flash presentation.
I will also make progress with the flash presentation so that I can show my client the progress which I have made with it at the next meeting. 7. Date and time of next meeting In the meeting which was held we disused the date and time for the next meeting. The next meeting will be held on 11/11/08 at 11:00.
