Request for Proposal for Professional Photography Services
for Madison County Tourism

Madison County Tourism, a 501(c) (6) nonprofit organization, is seeking to obtain paid services with
a professional photographer to capture photos for use on their website, social media accounts,
promotional publications and advertisements of both candid and posed pictures. This RFP is open to
both Madison County Tourism members and non-members.

Photography Services Overview
MCT is searching for a professional photographer to photograph the people and attractions of the
county in 2014. The organization is looking to take photos at the locations listed below. Please note
the locations, dates and times are subject to change.

Shot List
1. Great Swamp Conservancy, Canastota – Friday August 1, 9am-11am
2. Erie Canal Bicycle Trail, Canastota – Friday August 1, 1pm-3pm
3. Erie Canal Brewing Co., Canastota – Friday August 1, 3:15pm-4:15pm
4. Brae Loch Inn, Cazenovia – Friday August 1, 5pm-7pm
5. Foot Hill Farms, Munnsville – Friday August 22, 9am-11am
6. Drover Hill Farm, Earlville – Friday August 22, 12:30pm-2:30pm
7. Brookfield Trail System, Brookfield – Friday August 22, 3:30pm-5:30pm
8. Peaceful Pines B&B, Hamilton – Friday August 22, 6pm-8pm.

Projected Timeline
July 11, RFP issued
July 17, Submissions due
July 22, RFP awarded
July 24, Contract to be signed to services

RFP Requirements
Submissions should include a portfolio of work, whether through the photographer’s website or other
methods to provide examples. Preferred photography style is candid and/or event photography.
Having relationships with and/or an understanding of working with the media is an advantage.

Please indicate:
 If your rate is hourly or by event
 Whether these rates will apply to any possible future photo-shoots
 If you offer a reduced nonprofit rate
 An estimated timeframe for MCT to receive photos after each shoot.
Please note:
 All photographs taken will become property of MCT
 All photographs taken will be supplied to MCT
 A minimum of 20 edited photographs of each location on the shot list will be provided to
MCT; and, these photographs will become property of MCT
 Photographs must be supplied to MCT in JPG format with file sizes of no less than 1mb each
 At least two duplicate master copies of the final images (on CD or flash drive) in JPG format
will be provided to MCT
 MCT will pay a flat fee; incidentals, meals and mileage will not be reimbursed
 MCT is open to the possibility of an ongoing relationship for future photography.

A contract will be signed between MCT and supplier that will outline the services required, fees
charged and payment schedule.

RFP Submittal Procedure & Questions
Please submit proposals and portfolio information to Executive Director Scott Flaherty at by 10am Thursday July 17, 2014. The Marketing Committee of
MCT will recommend three final candidates to the Board of Directors, which will select the candidate
to be awarded the contract.
