Rental Agreement

Securing a Date
If a representative of Infinity Events & Catering informs you of the availability of a date, there
is no assurance that the date will remain available without receiving a signed Rental Agreement
and a Security Deposit in the amount of one thousand dollars ($1,000.00) plus sales tax.
An initial security deposit in the amount one thousand dollars ($1,000.00) plus tax is required
to book the space. No selections for your event will be made until a Credit Card Authorization
form is received by your Event Specialist. The first event deposit of 50% of the total charges
is required sixty (60) days prior to event with a signed Catering Contract. All prices on the
catering contract are subject to change. In order to lock in prices, a signed Catering Contract
must be received but the selections on the Catering Contract be amended up to 14 days prior
to event. Any changes to the Catering Contract will be billed at the current menu price at
time of selection. Event payments include (food and beverage, alcohol, service, rentals, AV,
entertainment, décor, transportation, security, linen, and any other requested item for your
event). For outside services requested by the client which require a deposit, the payment will
be made from client before said service will be confirmed. Final payment must be received ten
(10) business days prior to the event date. Any remaining balances on the day of the event will
automatically be charged to the card on file plus the 3% processing fee.
Any late payments will incur a 10% late fee, and at Infinity Events & Catering’s discretion, may
lead to termination of event and forfeiture of all event deposits.
CC Processing Fees
Any payments or deposits made by credit card will be charged a 3% processing fee.
All cancellation notifications must be submitted via a confirmed e-mail or in writing delivered
by certified mail. If Infinity Events & Catering receives a cancellation notification 6 months
prior to event date, all payments and deposits, with the exception of the Security Deposit
plus sales tax will be refunded. The one thousand dollar ($1,000.00) Security Deposit is nonrefundable. If cancellation notification is received between 6 months and 30 days prior to the
event, all payments and deposits are non-refundable, which includes all payments made Infinity
Events & Catering and any vendor contracted on your behalf by Infinity Events & Catering.
If cancellations occur less than 30 days prior to the event, all contracted payments to Infinity
Events & Catering are due whether or not the event takes place. If cancellation occurs per
Infinity Events & Catering, all payments, deposits, and security deposit will be refunded.

The Harding House has many different rental options regarding amount of time the space be
rented. Please speak to your Event Specialist about which package would best suit your event.
Standard times:
9:00AM to 2:00PM
4:00PM to 10:00PM
All Day
9:00AM to 10:00PM

Insurance and Liability
The Harding House maintains liability and personal property damage insurance insuring The
Harding House Inc., Infinity Events & Catering, and any employees, contractors, and contracted
vendors against all bodily injury, property damage, and personal injury. The Harding House and
Infinity Events & Catering are not liable for any damages that its Insurance carriers fail to cover.
Losses arising out of Client’s use, Client’s occupancy of the premises, or any guest of the Client
will the responsibility of the Client. You, the Client, are personally responsible for the actions
of your guests and all vendors. The Harding House and Infinity Events & Catering is not
responsible for any loss, interruption, or disturbance of event.
Event Insurance
It is strongly encourage that the client obtain private event insurance. For more

If alcohol is to be served, The Harding House suggests that the policy includes Liquor Liability
coverage to protect you against alcohol-related accidents, as you are ultimately liable for the
safety of your guests.

Items Associated with Renting The Harding House
**In Addition to Venue Rental Price**

Infinity Events & Catering offers a full catering menu as well as custom design menus from our
Certified Executive Chef, Tabor Luckey.
Outside caterers are not permitted.
Bar Services
All alcoholic beverages will be provided by Infinity Events & Catering. Please speak with your
Event Specialist to select the bar package of your choosing.
Charitable donations of alcohol are permitted. They must be provided from a licensed
distributor and sent to The Harding House with an accompanied invoice. The Infinity Events &
Catering Outside Alcohol Donation Form must be submitted a minimum of 14 days prior to the
event in order for donated alcohol to be provided.
Event Management
The rental of The Harding House includes the optional use of Infinity Events & Catering’s event
coordination services. The Event Specialist can coordinate every detail of your event from
design, menu, lighting, entertainment, and any additional services you may need.
Outside Event Specialist/planners are welcome to hold any event at The Harding House.
Flowers and Décor
The Event Specialists are available to help you with all of your floral and décor needs. Our Event
Specialists work with a selection of talented florists and décor providers who can help ensure
your event will be everything you imagined. Outside Event Specialists are welcome to use the
vendors of their choosing provided they meet the Outside Vendor Requirements specified by
Infinity Events & Catering.
Equipment Rental/Lighting/Sound
Your Event Specialist will coordinated all equipment needed for your event.
Other Electrical Needs
Any special electrical needs must be submitted for approval by Infinity Events & Catering,
especially any live music needs. Any outside power source required for event will be an
additional cost to Client.

Rental Agreement
Coat Check
Infinity Events & Catering will provide a coat check at cost to Client when needed. Infinity
Events & Catering is not responsible for lost or stolen materials. Infinity Events & Catering will
hold lost and found items for up to a week after event. The Harding House will do everything
possible to return lost items but will discard said items after seven days post event date.
Transportation and Parking
Parking is available at Belle Meade Plantation. Your event specialist can reserve valet services
for your guests at your request. All valet services will be provided at client’s cost.
Operational Policies and Procedures
Operational Cost
All food and beverage provided by Infinity Events & Catering is subject to 20% operational cost.
Service Charge
Infinity Events & Catering will determine the appropriate amount of staff required for your
event. The client is responsible for all service charges.
A Harding House facility manager will be required at a cost of $200.00 per event.
Deliveries and Load In/Out
All deliveries and load in/out must be coordinated through your Event Specialist. All event
related items brought in must be removed from the building by the conclusion of the contracted
rental time.
Entry and Exit
Designated entry and exit to The Harding House will be assigned by the Event Specialist based
on the needs of your event.
Use of Glue/Tacks/Nails/Tape, etc.
The use of glue/tacks/nails/tape is not permitted within The Harding House.
Candles, Confetti, and Fireworks
Candles are permitted within The Harding House but must be in a container deemed acceptable
by Infinity Events & Catering. The use of confetti is not permitted within The Harding House.
The use of fireworks or flame-ignited effects are not permitted within The Harding House.

Rental Agreement
All housekeeping is provided by Infinity Events & Catering. All items brought to facility
by Client must be removed at completion of event. Infinity Events & Catering will not be
responsible or liable for any items left on the premises.
Responsibility for Behavior of Guests and Vendors
All Clients agree that their guests will comply with all City, County, State, and Federal Laws. In
addition, any damage or litigation resulting from the actions by guests or outside vendors will be
the liability to the signed party of this rental agreement.
Smoking in not permitted inside The Harding House. Smoking is permitted on exterior patios
of The Harding House.
Live Animals
Live animals are not permitted within The Harding House. In compliance with the Americans
with Disabilities Act, trained service animals will be allowed to provide assistance to an
individual at The Harding House.
Use of Name/ Promotional Material
Any use of Infinity Events & Catering or The Harding House’s name, logo, or image depicting
Infinity Events & Catering or The Harding House must be approved, via e-mail or in writing, by
Infinity Events & Catering and The Harding House.
City, County, State, and Federal Laws
Client agrees to comply with all applicable city, county, State, and Federal laws and shall conduct
no illegal act on the premises. Client shall not sell alcohol on premises at any time. Client may
not serve alcohol to minors on the premises at any time. Client agrees, for everyone’s safety, to
ensure alcoholic beverages are consumed in a responsible manner. Infinity Events & Catering
reserves the right, in its exclusive discretion, to expel anyone who in its judgment is intoxicated
or under the influence of alcohol or drugs, or who shall in any manner do or participate in any
act jeopardizing the rights, use permit, or insurability of Infinity Events & Catering, or the safety
of its staff, guests, or building contents.
Final Guest Count
A final guest count must be received 14 days prior to event.
