To create Project Calendar


ToolsChange working timeNew, type name of the calendar. Select Make copy of
standard and click on Ok.
To set a Non-working day into a working day (make Saturday working), Click on the label of
Saturday and select Non-Default working time
To change the working times of the day/s: Select the days by clicking on the day labels, and edit
the From and To times. (From 9:00 am, To 6:00 pm, lunch break from 1:00 pm to 2:00 pm)
To set the holidays in the calendar: Select the day in a month of a year and click on Nonworking
time. Diwali Holidays: 13, 14, 15 November, Christmas: 25th December, 26th January
Set the changes in option: Set the same start and end times as that of calendar. Set the hours per
day and hours per week based on the calendar times.
Assign the calendar
Assign project calendar to Project: ProjectProject Information, Select the calendar in
Calendar option.
Assign the project calendar to Bar Chart: FormatTime Scale Non-working time, select the
calendar in the Calendar option. (Other option to open the time scale: Double click on time
scale, right click on time scale)
To set the project start date: ProjectProject Information, Select the project start date in the
Start Date option.
To change the Date Format: ToolsOptionView, Select the desired date format form the
Date Format option.
To set the general information of the project: FilePropertiesSummary
Exercise 1: Create Project, Calendar, Assign Calendar and Set Project Start date and general
information
Create a new project with following details
Calendar
Name: roadcal
Working days: 6 days, Monday to Saturday
Working Time: From 8 am to 5 pm, No lunch break
Hours per day = 9 hours
Hours per week = 54

Assign RoadCal to Project Information and Gant Chart.
To Create the Work Breakdown Structure (WBS)
The WBS can be created using the outline tools such as Indent or Outdent. Every summary item
is a WBS and the last level items under a summary item are the tasks.
To add sub task/wbs: keep the cursor below the task. InsertNew Task or press Insert Key on
the key board. Type the name of task in the blank rows, select the task and indent using Indent
Outdent tools on the Format tool bar or. ProjectOutlineIndent or Outdent.
Linking the Tasks
1. Using Task Information: Select the task to which the predecessor has to be assigned,
ProjectTask Information Predecessor, Select the preceding task from the list.
Relationship type (FS, SS, FF, SF), lead/lag can also be added here.
2. From the Bar Chart: Point the preceding task to get a 4 head arrowed cursor and drag
and drop the chain on the succeeding task. Point the relationship line between the tasks
and double click to open the Edit Relationship dialog box and edit the relationship.
3. From the table: Enter the task ID under the predecessor column for a task with the
relationship symbols such as FS, SS, FF, SF. Put a comma between tasks IDs for
multiple predecessors.
Critical Task, Floats, Forward and Backward Schedules
1. To format the task bar to show critical tasks: FormatGantt Chart Wizard Next
Critical Finish Format Exit
2. Critical tasks will be changed into red color and normal tasks will remain in blue color.
3. To view schedule and floats: ViewTableSchedule
Project Network
To view the network: ViewNetwork Diagram
To customize the information to be displayed on the boxes of the network: FormatBox
Styles, Select the type of tasks from Style setting for list and apply the data template from Data
template list
To create a new data template: FormatBox StylesMore templateNew. Set the number of
rows and columns up-to 4 from Cell Layout, and select the data fields to be displayed from the
Choose Cell(s) table.

Working with Resources
To create Resource Sheet: ViewResource Sheet
Max. Unit is the availability of work type of resources per day. It can be entered in decimal or
percentage.
To change the Assignment unit for Max. Unit type: ToolsOptionsScheduleShow
Assignment unit as, select the Assignment unit (decimal or percentage)

To change the currency type: ToolsOptionsCurrencySymbol, type the desired currency


symbol.
Assign the Project Calendar to the resources: Select the Calendar under the Base Calendar
column in the resource sheet.
Assigning Resources
Open the Gant Chart view. Split window: WindowSplit. Select a resource in the top view
and assign the resources from the resource list in the bottom view. Enter units (quantity) for each
resource and click on Ok.
To view the cost of (project, wbs, task): ViewTableCost
The fixed cost can be entered in Cost table for project, wbs or task.
Dealing with over allocation of Resources
To open the Resource Graph: ViewResource Graph, Right click on the graph to plot different
information (work, cost, peak unit etc.)
Leveling Resources

To level the resources: Open Gant Chart View. ToolsLevel ResourcesLevel Now
To clear the leveling: ToolsLevel ResourcesClear Leveling
To plan the different resources with time: Open Resource Graph view. Identify the over
allocated time for a resources. ProjectResource InformationGeneral. Enter the
Available From and Available To dates in the Resource Availability table.
5. Replacing the over allocated resource with an available resource on the task. Check the
over allocated time and units of over allocated resource. Check the availability in units of
another resource during the same time. Select the task on which the over allocated
resource is to be replaced. Select the resource to be replaced from this box.
ToolsAssign ResourceReplace. Select the Resource from Replace Resource dialog
box and click on Ok.

Organizing the Project using Custom Fields, Filters and Groups.


Create custom fields: Department, Responsibility and Phase: ToolsCustomizeFields.
Select task to create custom fields to be applied to task or select resources if the custom fields are
to be applied to resources. Select the data type of field from Type list. Rename the field to your
required name.
To assign the values of custom fields created above: Insert the above fields using
InsertColumn before task Name in Gant Chart view. Assign the values for each field for a
corresponding task.
To organize the schedule based on the above fields using Group By (Phase, Responsibility, and
Department): ProjectGroup ByMore GroupsNew, enter the name of group, and select
the fields to group under Group By fields table.
To Customize the WBS code
To create WBs structure: ProjectWBSDefine Code. Select the appropriate structure for
project and each WBS level with a separator.
To create separate schedules on separate WBS, department, responsibility, phase etc. using
Filter:

3) Arch and Admin Department
Creating Custom Table
Create Bill of Quantity (BOQ) table: The BOQ table has fields such as, Item, Quantity, UOM,
Rate and Amount. Item is the tasks name, Quantity, UOM, Rate and Amount are to be created
using custom fields.
To create custom table (BOQ): View->TableMore TablesNew. Type the name of the table.
Select the fields that are needed to be included in the table.
Exercise 4: Organizing the project using Custom fields, filters, groups and customization of
WBS code.
(Note: Continue the Road project in Exc. 3)
Customize the WBs code in the Road project. Create the WBS structure of two levels with
following details.
1. Structure for 1st level: uppercase letter ordered, Length: 2 characters.
2. Structure for 2nd level: Number ordered. Length: Any
3. Assign the appropriate code value for each task.
Create the custom fields such as, Phase, Department. Assign the following values of custom
fields to the tasks.
1. Phase: Phase I to tasks of Site Clearance and Excavation
2. Phase: Phase II to tasks of Construction of Embankment, Construction of Subgrade with
approved material, Construction of WMM, Construction of DLC, Construction of
Bituminous coarse, Construction of Culvert

4. Department: Admin to the tasks number 1 to 4 and 25 to 28
5. Department: Civil to the tasks number 5 to 14 and 29
