Tiny Tots School Fees Management System


Introduction
This document describes the Tiny Tots School Fees Management Desktop Inference System, which
automates administrates student fee tasks of school management for smooth running their day today
activities and provides accurate information as required.

Usage
Staff and administration team will be using this system, Along with chosen data entry operators.

Project Details
A Brief Description of the project

This software is built to enhance students Fees Info and hence to improve the overall Financial
performance of the School.

This software is used by staff and administration of school.

The main Feature of the Software

It helps in Keeping track of students Fees throughout his/her stay in the School.

It maintains the data of every student in the School in terms of his/her Personal Info, class
related info, Fees Info.

This software helps the administration to know dues of every student.

How it works

The Desktop software will be presented in principle Tiny Tots school office.

Login Id and password will be given.

Staff and administration of school will be maintaining and updating the information.

Fees Management Software Modules:


Data Entry Model

Class Setup Module:


Admin/staff of School will add total classes in class setup module.
He/she can also apply CRUD operations on class setup module.

Student Setup Module:


Admin /staff of School will add Personal Info of each student.
He/she can also apply CRUD operations on class setup module.

Fee Setup Module:


Admin/Staff will add monthly fee of every student in each month.
Other Fees will also be added in timely manner by Admin/Staff.

Report model
The Report Module includes the following reports:

Dues Details Report:


The dues details report displays the reports regarding dues of every student as
summary.

Receipt Report:
The receipt report displays the Fee of every student which will be paid in bank
in receipt format

Fees Management Software Simulation:


Data Entry Model

This model contains three modules: Class Setup; student setup; fees setup.
Class setup for class information with CRUD Operations
Student setup for Student Personal information with CRUD Operations
Fees setup for School fee info with CRUD operations

Simulation:

These three modules are handled with Double Click Event


After Double click to any modules, following interface will be opened
It contains two main buttons Add Record and Modify Record
Add Record Contains only add and View operations (grid view)
Modify Record Contains Update, Delete and View operations

Class Setup Module:


Class setup is used to record class information with CRUD Operations
It Contains two modes: Adding and Modify Mode

For Adding Mode:

It contains only one Textbox for entering only class name


In adding mode only two operations are allowed which is adding and viewing
Grid view shows list of added class

Steps for adding class information:


Enter class name in textbox class name
Click on add button

Record will be add and shown in data grid-view

For Modify Mode:

It contains only one Textbox for updating only class name


In modify mode three operations are allowed which is update, delete and view
Grid view shows list of added class

Steps for modify class information:


Enter class name in textbox class name
Click on edit button
Update record will be shown in data grid-view
For deletion
Select class from data grid-view which you want to delete, information will be
present in class form field.

Click on delete button


Record will be delete and will not be shown in data grid-view

Student Setup Module:


Student setup is used to record student personal information with CRUD Operations
It Contains two modes: Adding and Modify Mode

For Adding Mode:

In adding mode only two operations are allowed which are adding and viewing
Grid view shows list of added student

Steps for adding Student Personal Info:


Select class name from combo-box
Enter GRNO of length 4, only integers values are allowed.
Enter student name
Enter students father name
Select date of birth of student
Select gender from combo-box sex
Enter Address of student home
Enter Contact Number
Select admission date
Select on from checkbox at label active. If active checkbox is on, then record
of student will be automatically added in fees module for adding fees, so check
when admission date is expired.
Finally click on add button student information will be added and will be shown
in grid view.
Alternate:

If student is added in grid view and you want add new record of same student
for new class, the click on the student record from grid view, students
complete information will be shown in student form field. E.g if student is
added in class ONE and you want to add in class TWO for newt year class, then
select student record from data grid-view, information will be present in fields,
then change the class from ONE to TWO.
Note: In grid view student id show the unique identification of each student thought
the stay in school ,that is combination of GRNO and admission date. So be careful
when selecting admission date.
For Modify Mode:

In Modify mode only three operations are allowed which is update, delete
and view and view
Grid view shows list of added student

Steps for modifying student personal Info:


Select student record from data grid-view which you want to update,
information will be present in student form fields
Now you can change any of the field except class name, if you have
added wrong class name, then only solution re-add the record by
deleting it first
For deletion
Select student record from data grid-view which you want to delete,
information will be present in student form fields
Now you can click delete button, selected student record will be deleted

View section:
View section is presented in both modes: adding and deleting.
It includes two operations: viewing and searching
For viewing:
It shows list of added students of current year, you can view it by scroll
down
You can view all the students by select on view all radio button(by
default), student record will be shown of current year
You can view records of student by class wise, by first check on radio
button, then select class from combo-box
For searching:
you can search student with unique student id
enter student id at check box type student id
Enter search button

Fee Setup Module:


Fee setup is used to record fees of each student with CRUD Operations
It Contains two modes: Adding and Modify Mode
For Adding Mode:

In adding mode only two operations are allowed which is adding and viewing
Grid view shows list of added student

Steps for adding Fees of Students:


Preconditions:
Some of the fields are already filled in Student Fee Form of each student
which is added in in student personal info form, which are shown in data
gird-view.
Fees are set with zeros.
Fees

for first month:


First set the fees of complete year, by click on the unfreeze button.
Now click on the freeze button, fields will be disabled.
Click on the record in data grid-view, Invoice Number, student id, student name
and class fields will be filled in student fees form.
Now click on add button, fees will be added, and will be shown in data gridview.

Fees for other months:


Look at roster label.
Select class of which you want to add fees.

Select year
Select month
Select due date of monthly fees
Click on the create roster button
Student records of particular class are created with some filled fees, which will
be shown in data grid-view.
Repeat same process for each class
Now repeat same process for of first month for each student monthly fee.

For Modify Mode:


In Modify mode only three operations are allowed which is update, delete and
view and view
Grid view shows list of added student

Steps for modifying Student fee:


Select student record from data grid-view which you want to update,
information will be present in student fee form fields
Now you can change any of the field except class name, Invoice number,
student name, and student id.
Click on unfreeze button
Change the fee(s)
Click on the freeze button
Now click on edit button
For deletion
Select student record from data grid-view which you want to delete,
information will be present in student form fields
Now you can click delete button, selected student fee record will be
deleted
View section:

Receipt Report:
The receipt report displays the Fee of every student which will be paid in bank
in receipt format

How

to use it:
Double click on receipt pic
Receipt form will be opened
Look at the left panel
Records will be shown class-wise
Click on any class
Choose the student id, receipt of that student will be shown
If you click on print button, all receipt will be printed out of current year
Export option is also available to export to any f the format, such pdf, docx,
e.t.c

Dues Details Report:


The dues details report displays the reports regarding dues of every student as
summary.

How to use it:


Double click on unpaid students, summary reports will be shown class-wise
Click on any class, you will see summary of that class
Same print and export options are available, which are available in receipt
form
