Minutes for February were read by Peg and minutes were approved as read Unanimously. Jeff informed us that he’d met with the City Parks & Rec officers Bob Stallings and Amy Crittenden. Great meeting, and the contract will be run past legal one more time and will be signed before the end of the month? No Update Arena updates: Basic work is complete. Were at first concerned about slope, 3’ drop and drainage. Plans are being made to deal with the open erosion around the drainage. Bonnie Decker asked about the surplus “dirty” sand if it could be used to fill the holes around the V-ditch drainage. Bob and Jeff discussed putting waddle lines to help with erosion. Jeff said that Parks and Rec is learning about the drainage and maintenance of the Equestrian Park, and they had suggested putting wood planks around the perimeters to aid in erosion. Bob said there are some new materials that are plastic-based that would be a better solution. City Parks & Rec are bringing us two replacement picnic tables and also replacement for the older bleachers. It was proposed that we check on allowing one of the members of the Board to keep the old green and take them home as they are the only thing left from the original Trancas arena grounds. Motion made for Harper Latta to be appointed Membership Director for 2010. Motion seconded by Bonnie Decker. Motion voted on and passed unanimously. Jeff made a motion to create a position Show Director who would be in charge of all shows account. Shari Latta made a motion to nominate Bonnie Decker as Show Director with a backup officer standing in if the Director is unable to attend a given show. Motion was seconded by Peg. Motion voted on and passed unanimously. Bonnie Decker presented a good Judges Agreement, which Peg the secretary will digitized and create an electronic version to use. Bonnie also brought up the need for an inventory to be made of all show equipment and repair parts or replace whats necessary. Bonnie announced the location of the campout for Millie Decker’s 90th birthday in May21-23 at Decker Camp with overnight camping and campfires. Bonnie put June 27th on calendar for Western/English shows. Anne and Emma are mostly ready for the Hunter Equitation shows but informed us that they needed to make sure there was enough jumps, poles and standards for the show. Both Brian Flanagan and also Bonnie have jumps to contribute. We need two canopies for the shows. Bob Kirby presented a Western Horsemanship clinic series from Jeremy Dunn. Bonnie proposed having the Annual Horse Fair in the How’s parking lot. This motion was tabled until a mid-month meeting at Starbucks. Emma Blackwood volunteered to help coordinate the Banquet. Malibu west Center was proposed as possible location. Nancy Bishop is member of HOA for Trancas Canyon Homeowners. Harper Latta nominated Emma Blackwood for Banquet Director, Bob and Peg seconded. Motion passed. Rod Bergen gave the numbers for the new Lost Hills Traffic Director who should be contacted for motorized vehicles on Park property. All rogue vehicles like the black truck, should be reported but not confronted. The reports are very important to keep the pressure on for Park safety. Rod also said that we should check with the City to make sure they unlock the big yellow gates in the mornings on a more regular basis. Shari Latta suggested we create asset list and inventory. Shari complete her report. She said the budget for this year is “ambitious”.All gifts and awards must be approved by the board. There will be two signatures on each check and no blank checks given. We are not insolvent as of yet, but this year we need to be ambitious and promotional with members and show attendance. We cannot let show managers spend “willy-nilly” anymore. Discussions of various advertising opportunities for classes within shows, for space in shows, etc, and the possible pricing structure of these advertising opportunities. We need to file taxes for 2009 and she has correct books from March of 2009 to Dec 31. She and Jeff went to the bank to get Online banking so that the remaining records will be available, but they are working on getting that up. 2008 was prepared incorrectly, but the suggestion is to just file 2009 and if there’s a problem with any tax issues with the IRS we will deal with them then. On Mar 11, 2010 an Addendum Meeting was called at Trancas Starbucks at 8:00AM. Mtg called to order at 8"20 Jeff opened the meeting by alerting everyone of a procedural issue from the last meeting regarding the first order of business: Which was that we needed to elect a board before any business could be done. A list of volunteers was read and each one was presented as a Motion and Seconded, then Voted in by the Elected Officers and then the Board. Next it was brought to the attention of the Board that it was necessary to go over the Minutes from the last meeting and to Re-vote on matters of business that had been made Motion and voted on before the Board was officially appointed, included re-voting on various positions that were voted on prior to the official election of an Executive Board. Re-voting of positions that were nominated, seconded and passed were: Show Director - Bonnie Decke Membership Director - Harper Latta Banquet Director - Emma Blackwood Then we had some New business - Shari Bernath-Latta brought up the fact that the sign in Malibu City Center does not include Trancas Riders and Ropers which is the oldest club in Malibu. We would like to ask the City about TR&R having our plaque included in that signage. Motion to inquire of the City what the procedure is, and to have a design of the plaque done before we approach the City. Bob seconded, Motion passed. Motion to ask Wendy Wessel to help design this plaque, as well as a poster for TR&R about our upcoming events that can be laminated and updated in various locations. Motion passed.
