Bharat Heavy Electricals Speeds up Project Delivery Times, Slashes CAD Software Costs

BHEL manufactures equipment used to generate electricity and renewable energy. It sells 180 products to companies in more than 70 countries in the power generation and transmission, transportation, telecommunications, defence, and renewable energy sectors. BHEL’s Transmission Business Group (TBG) is involved in a range of electricity substation/switchyard, high voltage direct current (HDVC), and reactive power compensation projects across India and worldwide. Each project involves the creation and handling of thousands of documents comprising specifications, design documents, project layout drawings, equipment drawings, and other project-related information. At any given time, BHEL manages around 65 projects and a principal project engineer is often assigned to multiple projects and has to work on documents with several agencies and sites. Prior to 2006, project collaboration at BHEL was an entirely paper-based and manual process with thousands of hard copy documents being dispersed among multiple agencies, which led to high costs, inaccuracies, and a poor level of document control across the group’s project sites. To automate the document management process, BHEL’s Transmission Business Group has deployed a Web-based document management solution, which was provided by Wrench Solutions Pvt Ltd (India). The company also deployed Oracle’s AutoVue Enterprise Visualization, a solution that allows the company’s project managers to digitally view and collaborate on any document type stored within its document management

system, including 2D CAD, 3D CAD, and Microsoft Office documents. “AutoVue3 D Professional is a key part of our document management environment, allowing project managers and other team members to view and collaborate on the thousands of design and engineering documents required for each project,” said Gautam Chaklader, additional general manager, TBG, Bharat Heavy Electricals Ltd. Fast Document Retrieval Speeds Project Delivery Times AutoVue allows project managers across all BHEL departments to retrieve and view design and construction documents immediately. “Our work is no longer hampered by poor document control,” said Chaklader. “Once drawings are created at our head office in Delhi, they are passed across to the various customer sites. Using AutoVue, engineers can view the most up-to-date document, and any changes that have been made. Being able to review documents on screen is a much better way of maintaining control and making sure our projects are delivered on time to customers.” Issues related to projects across individual sites can be solved faster, which helps speed project delivery times. According to Chaklader, the time it takes to sort out a project issue may be reduced by five days due to the new automated document management and visualization process. “It depends on the complexity of the issue, but in most cases if it only involves the engineers, not customers and equipment suppliers, we can solve problems a lot quicker than we could in the past,” Chaklader said. The introduction of AutoVue has also enabled BHEL’s transmission business group to eliminate the cost of purchasing additional CAD software licenses across its various sites. “We have saved about US$99,666 (5 million rupees) for these licenses,” said Chaklader. Document Management Costs Reduced BHEL is saving US$5,105 (250,000 rupees) per annum by reducing the need to send hard copy documents via fax and through the post between the company’s 49 site offices.

“It can take up to seven days for documents to reach the intended recipient through the post,” said Chaklader. “AutoVue 3D Professional has enabled us to significantly reduce costs associated with mailing paper documents throughout the business network and has significantly accelerated document access through the Web portal. “No one carries around rolls of paper or sends anything in the mail anymore,” he said. “The latest documents are simply viewed online by everyone that needs to see them across the organization.” Why Oracle? BHEL was introduced to AutoVue solution in 2008 when the company was looking for a way to improve document control across all sites. “We have been using our digital document management system since 2006 and knew that AutoVue would integrate well with our Web-based document management system,” said Chaklader. “It is certainly the best solution to retrieve and view documents in any format.” Implementation Process BHEL began deploying Oracle’s AutoVue across the business in late 2008 as part of a project to expand its digital document management capabilities. Wrench Solutions (India) worked closely with BHEL’s internal IT team to implement the solution.
