STEP 1 Invite Associates to Join Your Network
To get started with Referral Key, first identify those associates you’d like to exchange referrals with and invite them to join your Referral Key network. Once associates have accepted your invitations you can use Referral Key’s automated tools to share referrals with just a few clicks. Referral Key makes it fast – and easy – to quickly build a profitable referral network that provides you with an ongoing stream of high-quality referral leads. 1. Invite associates to join your network by clicking ‘Add More Associates’ in the left-side navigation menu. 2. You can either type in associates’ names individually OR import contact lists from other programs like Outlook, gmail, or AOL. 3. A standard invitation will be sent to each of your associates OR you can choose to create a custom invitation. Click the orange ‘Continue’ button at the top or bottom of the page to send your invitations.
STEP 2 Make Sure Your Business Profile is a Standout!
Every Referral Key member creates a profile in the Referral Key Member Directory! This valuable benefit lets you showcase your unique business offering to other professionals seeking to establish new referral relationships and can also help your business get found on popular search engines like Google and Yahoo. 1. Click 'My Profile' in the top navigation menu. 2. Fill in your business address and contact information. 3. Select ‘yes’ in the ‘Profile Viewing Options’ section to show your Profile in the Business Directory. (You can change your Profile Viewing Options at any time to hide your profile) 4. Include your business biography or company profile. Your Profile should summarize your capabilities, qualifications and work history. What particular benefits will your product or service offering provide? What differentiates your offering from others in your field? Be sure to include your unique value proposition to promote the distinctive qualities of your brand and separate your Profile from the pack! 5. If you have a business-related video posted on YouTube or other media, you can easily add it to your Business Profile. Simply add the 'Embed Code' in the box specified. 6. Remember that your Profile is your ‘public face’ on Referral Key. It
will be viewed by associates in your network, professionals seeking new referral partners, and by potential prospects seeking the products and/or services you provide. Be sure to complete all fields and keep your listing up-to-date to boost your credibility and attract more interest.
STEP 3 Send Referrals to Associates in Your Network
Once associates have accepted your invitations, you can begin exchanging referrals! Here’s how to send referrals to your associates: 1. Click ‘Send Referrals’ in the left-side navigation menu. 2. Choose a recipient from the drop-down list. 3. Enter the name and contact information of the lead you wish to provide. 4. Add any pertinent comments. 5. If you wish, ask your associate to contact you prior to contacting your referral by selecting ‘Yes’ in the final section of this page. 6. Click ‘send’! Your associates will send you referrals in the same manner.
STEP 4 Receive Feedback from Your Associates – How are you Doing?
You’ve referred leads to your associates and now you want to know how things are going! With Referral Key, you can quickly and easily view feedback for all referrals you’ve provided, including ‘status’ (did the referral lead to a sale), personal comments and rating scores submitted by your associates. 1. Recent referral leads you’ve sent appear on your ‘Homepage’ when you log in. You can also view all referral leads you’ve sent over time by clicking ‘View Referrals Sent’ in the left-side navigation menu. 2. You’ll see the date you sent the referral, the associate to whom the referral was sent and the name of the person you referred. Also listed here are the ‘Status’ and ‘Referral Quality’ ratings your associate has assigned to each lead. a. ‘Status’ lets you know if the referral led to a sale (or if a sale is expected). b. ‘Referral Quality’ sums up the overall lead quality based on a number of different criteria. 3. Click the name of the referral lead to view ‘Status’ and ‘Referral Quality’ details, and to read any additional personal feedback your associate may have provided in the ‘Comments’ section of this
STEP 5 Review & Contact Referral Leads from Your Associates:
You’ll receive an e-mail notification when an associate sends you a referral. Take note if your associate wishes to be contacted before you contact your associate’s referral! With Referral Key, you’ll have contact information at your finger tips, so getting in touch with your associates and your referrals is quick and easy. 1. When you log in to Referral Key, any new referrals you’ve received will be listed on your ‘Homepage’. You can also view all referrals you’ve received over time by clicking ‘View Referrals Received’ in the left-side navigation menu. 2. You’ll see the date the referral was sent to you, who sent the referral, and the name of the person being referred. Also listed here are ‘Status’ and ‘Referral Quality’ ratings which you’ll assign later. 3. If your associate would like to be contacted before you contact the referral lead, simply click your associate’s name to view his/her profile including phone number and email address. Click the email address to email your associate right out of Referral Key. 4. If your associate does not wish to be contacted, you can contact your new referral lead immediately using the phone number or email address provided. Click the email address to send an email right out of Referral Key. 5. To view more details about the referral lead as well as any comments from your associate, click the name of the referral lead. This will take you to the ‘Referral’ page where you can also: a. Update the Referral’s contact information. b. Enter the date you first contacted the referral. c. Provide feedback to the associate who sent you the referral lead…
STEP 6 Provide Feedback to Your Associate – How are Referral Leads Stacking Up?
You can use Referral Key to quickly and easily provide feedback to your associate(s) regarding the quality of referral leads you’ve received. Your feedback will help your associates understand which leads work best for you and ensure you receive referrals that will most likely to lead to sales. To Provide Feedback: 1. Click the name of the referral in the ‘Recent Referrals Received’ area of your ‘Homepage’ OR on the ‘View Referrals Received’ page to navigate to the corresponding ‘Referral’ page.
2. Here you can enter the date you contacted the referral and the sale date if the referral leads to a sale. 3. In the ‘Comments’ section, you can respond to comments made by your associate as well as add your own comments and feedback regarding the lead at hand. 4. You can also make a ‘Status’ selection to indicate whether or not the lead led to a sale (or is expected to lead to a sale). 5. Finally, you can rate the quality of the lead for various criteria, which will result in an overall rating of the lead.
STEP 7 Strengthen Your Professional Relationships with Briefs and Private Messages:
'Briefs' and 'Private Messages' allow members to communicate with each other. 'Briefs' are real-time notes that let your entire business network know what you're working on. Conversely, 'Private Messages' are strictly private communications between Referral Key members who are either within or outside of your private business network. Using Briefs to Stay Up-to-Date: 1. Click 'Conference Room' in the top navigation menu. 2. Type a brief in the 'Brief' text box in the center of the page. 3. Click the 'POST BRIEF' button to the right of the text box and your message will now appear within all of your associates' 'Conference Rooms'. Private Briefs: There may be times when you want to 'Brief' one particular associate and not your entire network. To send a 'Private Brief' simply type '@first namelast name' (example: @john-smith) and your 'Brief' will ONLY appear in that associate's 'Conference Room'. Search older 'Briefs' by typing keywords in the search box directly above the 'Brief' button. Using 'Private Messages' to Establish New Relationships: To send a 'Private Message' simply find a member's profile using the Search Bar or Expand My Network and click 'Send Private Message'. To access 'Private Messages' you’ve received, click 'Conference Room' then click the 'Inbox' tab. Within the 'Inbox' tab you can organize and review all 'Private Messages'.

STEP 8 The Referral Generator - the Easiest Way to Get New Business:
The 'Referral Generator' is a unique tool located in the left navigation menu. How it works: The 'Referral Generator' sends you a continuous supply of sales leads from consumers using our Find A Pro portal. Consumers submit a request specifying their location and the services they need. We'll then match you with consumers based on your location and the services you provide and send you the referral lead. Accessing new leads in the 'Referral Generator': In the 'Referral Generator' you'll see two columns. The first column contains the prospects name. To access the contact information of the person being referred, simply click persons name. The second column contains a fraction. The fraction indicates how many members have accessed the lead. For example, if the fraction reads 1/3, 1 member has accessed the new lead. Note: Only a maximum of 3 members can access a new lead. Once the limit reaches 3/3, you will NOT have access to the lead. To access the contact information of the person being referred, simply click the persons name. After you click the person’s name, you can also review their contact details in the 'View Referrals Received' page.
Measure Reciprocity to Keep Your Referral Partnerships Balanced!
When referral relationships are not balanced, they eventually break down. An open and honest dialog between you and your associates will help you stay focused and ensure your referral relationships are reciprocal. To let your associates know how you feel about your referral relationship, simply click 'My Referral Associates' in the left navigation menu, and then choose the 'Relations' tab. Here you'll see a "relationship slider" for each of your associates. You can move the slider to the position which best matches your current view of the referral relationship; your associate will do the same. The color of the indicators, either 'red' or 'green', will let you and your associate know if you are in 'agreement' or 'disagreement' as to how you currently view your referral relationship. A green dot indicates that you and your associate are in agreement about your referral relationship. An agreement is when:
a. you and your associate both claim that your referral relationship is balanced. b. you believe that more referrals should be sent to you and your associate claims the same. c. you believe you should send more referrals to your associate and your associate claims the same. A red dot indicates a disagreement. A disagreement can happen when: a. you claim that the referral relationship is balanced but your associate claims that it is not. b. you believe that your associate should send you more referrals, and your associate claims the exact opposite. c. you believe that you should send your associate more referral, and your associate claims the exact opposite. A red dot is an indication you should consider contacting your associate to discuss your current referral relationship and what can be done to get it on track.
Expand Your Network!
You can use Referral Key to extend your network beyond professionals you already know. You can search Referral Key’s entire 'Member Directory' for new referral partners or search your own existing network to find potential partners in your associates’ networks. Search all of Referral Key's Member Directory to Expand Your Network: 1. There is a fixed 'search box' above the top navigation menu. This can be accessed on any Referral Key page. 2. Choose to search 'people', 'companies' or 'keyword' from a dropdown menu adjacent to the search box, type in what you’re looking for, and click 'Search'. 3. You can also click 'Advanced' directly to the right of the 'Search' button for an even narrower search. 4. To view a member's profile, click 'Learn More About [Member Name]'. 5. Click 'Invite to Exchange Referrals' to send an invitation to that member. You can also click 'Send a Private Message' to initiate a dialogue. 6. Alternatively, you can click 'Expand My Network' in the left
navigation menu and choose "Search All of Referral Key". To Search Your Existing Business Network: 1. Click 'Expand My Network' in the left navigation menu and choose 'Search Your Network'. 2. On the 'Search Your Existing Business Network' page you will see a list of all of your referral associates, the number of connections they have as well as a grand total of all of your potential connections. 3. You can view your associate's connections by clicking the number in the 'Connections' column. 4. You can then view the profiles of these secondary 'Connections' and either 'Invite to Exchange Referrals' or 'Send a Private Message'.
Reward people who send you referrals with digital gift cards
There's no better way to say thank you than by sending friends and colleagues a special gift. With Referral Key, you can easily create effective referral reward offers to encourage people to send you leads. Here's how to keep the referrals coming your way: 1. Click ‘Referral Rewards’ in the left-side navigation menu. 2. Select ‘Create Reward Offers’ in the left-side navigation menu. 3. Follow the steps to create your offer. 4. Automatically send your reward offer to participants (you can automatically import contacts from your email and add them as participants). 5. Follow up with referrals as they come in and try to close the sale. 6. Click the "Send Gift" arrow in the referral to automatically email a digital gift card to your participants. It's that easy!
