1. Login Questions
1.1 How to Login into Disha
Below is the Login page for Disha: Enterprise Human Resource Management System
URL: disha.maxindia.com
Enter User ID and Password and click on Sign In to login and view the homepage
Note: Login credentials are case sensitive

1.2 How to Change my Password


To change password, Click on Change Password in main menu.
Note: Password has to be of minimum 6 characters in length. In case of 5 failed logins the account gets
locked. You would need to contact your HR Team in such a scenario.

1.3 How to set hint question


Click on Change or set up forgotten password help to set password reset question.

Select a question and set response. This is a MUST for using the Forgot Password functionality.

1.4 How to use Forgot Password


Click on Forgot Password? on the login page. Enter the User ID and click on Conitnue.

Answer the question that has been set and click on Email New Password

Mail is received by the user with the new password. Use this to login to Disha.
This mail is not sent in the below mentioned scenarios:
a) Questions to reset password have not been set by the user
b) Email ID has not been updated for the user

2. General Questions
2.1 How can I add a page to the list of My Favorites
Navigate to the desired page, click on the Favorites menu and then click on the Add to Favorites link. Clicking
on the Add to Favorites link will pop up a window which allows the user to name the Favorites link.
NOTE: The default name will be the Page Name found in the navigational information. As favorites are linked
directly to a user, the user can enter ANY unique description they choose; as long as it is no more than 30
characters long (a space is considered a character for the purposes of this character limit)
Once the user has entered the desired name, and clicked the OK button, a secondary confirmation window
will be displayed which indicates that the favorite has been saved. If the user clicks the Cancel button, the
Add to Favorites window will be closed and the user will be taken back to the page.

2.2 How to change language setting in respective desktop/laptop


Issue: Some specific employees are facing language error while login to Disha.
Resolution: This is related to the location setting of the respective desktop/laptop
Steps need to be followed:
Go to Control Panel

Select Region and Language link

Now Go to Administrative TAB


The Language should be English (United States)

3. Core HR
3.1 Where can I view my personal details
Personal information full name, phone number, address, email address, Date of Birth, Marital status, PAN
number can be viewed in the Personal Information Summary page by navigating to Self Service> Personal
Information> Personal information Summary

3.2 As a manager, what all personal details can I view for my team
Navigate to Manager Self Service> Job and Personal Information> View Employee Personal Info. Here the
manager can view the address, email address, birthday of the team members. Also, the manager can view the
joining date, department, location, job title of each team member.

3.3 I have added the personal data of an employee and generated the Employee ID.
However, I have not added the job data. How can I do so
Navigate to Workforce Administration> Job Information> Add Employment Instance to add the job data of the
employee.
Navigate to Workforce Administration> Job Information> Add Contingent Worker Instance to add the job data
of the retainer. This is applicable only for Max Healthcare.

3.4 How can the Address change, marital status change and name change requests be
approved by HR
Navigate to Workforce Administration> Self Service Transactions to view the requests for each. Search can be
refined by providing the effective date.
Supporting documents can be viewed in Workforce Administration> Self Service Transactions> Status Change
Document Upload.

3.5 How to use Upload Utility for Hiring the new person in Disha
1)

Input File format Users are deleting the columns from the input file due to which staging fields are
not populating.

2) Unique Constraint Error Most of the time, users are not deleting the staging data from the page.
Due to which unique constraint error is coming. We have provided the DOWNLOAD and DELETE
button to keep the backup of the staging rows and then delete it.
3) Person ID No. Users are getting confuse with employee ID and Person ID No. in the upload utility
page. Actually, S No is just a simple number used for generating the Employee ID.
4) Pages Differences We need to save/delete/submit the data in three pages of Hire Upload utility
component. Actually, users are only saving/deleting/submitting data for one page say Personal Data

and then expecting to load the data for other pages also say Job/Compensation data. We need to
submit the data in all the three pages.

3.6 How to use Job Update Utility for existing person in Disha
Users are populating all the values in the input file where as they only need to provide the updating value. Say
If there is a change in supervisor ID of the employee.
Then, there will be one row for employee and have only single updating value (for supervisor ID) along with
effective date and action in the input file.

4. Comp and Benefits


1.1 How do I see my compensation
Please navigate to Self Service->Payroll and Compensation->Compensation History
Click on Date of change to view the Breakup of salary.

1.2 Why do I see multiple lines in Compensation history page


If you want to track history of your compensation over a period of time. Compensation changes due to Annual
increment promotion etc can be tracked from here.

2.0 How do I see my Dependent Details (Only applicable for MHC, MLIC and MBHI)
2.1 Navigate to Self Service->Personal Information->Dependent Information.
Click on View Details To view the all the dependents on the same page

to view details of dependent one by one.

3.0 How do I see my benefit summary


Navigate to Self Service->Benefits->Benefit Summary to view your Benefit summary details.

5. Absence Management
1.0 How can I enter my Leave or Attendance Regularization Request
Leave and Attendance Regularization both can be done from the same page. This application page is
available at 2 places:
a. Disha Home Page under 'Quick Link Employee'.
b. Navigation: Main Menu >Self Service >Time Reporting >Report Time >Leave/Regularization
Request
Select the required Leave/Regularization Name and complete rest of the information on the page and
then Submit. This will trigger email to both employee and manager.

2.0 Can I cancel my Leave/Regularization Request


Leave/Regularization request can be cancelled by employee using below navigation:
Navigation: Main Menu >Self Service >Time Reporting >View Time >Leave/Regularization History
>Click on Edit and then Cancel.
Depending on the status of request, the workflow will behave differently.
If request in submitted status is cancelled, it will directly cancel the request, remove the pending
approval from manager queue and send a notification to both manager and employee.
If request in approved status is cancelled, it will again route to manager for approval. The request will
get cancelled only post manager's approval.

3.0 Entering a Leave and getting error A Leave/Regularization already exists with the
same Start and/or End dates. Please modify your Start and/or End dates.
This means that a Leave/Regularization request already exists covering this duration. Follow below
navigation:
Navigation: Main Menu >Self Service >Time Reporting >View Time >Leave/Regularization History
>Click on Edit and then Cancel.
If a Leave/Regularization already exists in Submitted or Approved status for this duration, then no
other leave can be entered unless this is cancelled. For cancellation, follow point 2 above.
If the Leave/Regularization request is in Cancelled, Denied or Cancellation Approved status, click on
Edit and make the required modifications and submit the request.

4.0 What are the actions available to manager once leave is submitted
Manager can either Approve or Deny the leave request.

5.0 How manager can approve/deny Leave/Regularization request?


a.

If the Leave/Regularization request is submitted, manager can perform this action from either
email or by login into Disha.
b. If the Leave/Regularization request was approved and then submitted for cancellation, manager
need to login into Disha to perform the required action.

Approval Using Email:


NOTE: If the action is taken using email, it will take around couple of hours before the respective
action get reflected in the system.

Click on Approve or Deny. Below is a sample email:

Approval Using Disha:


NOTE: If the action is taken using Disha, the respective action immediately get reflected in the system.
Login to Disha and the pending approvals will appear on the Disha Home page under Pending
Approvals. Select them one by one to take the required action.
These transactions awaiting approvals are also available at below navigation in Disha.
Navigation: Main Menu >Manager Self Service >Time Management >Report Time
>Leave/Regularization Request.

6.0 How can employee view their leave balances


Employee needs to follow below navigation to view balances. Select the As of Date and then required
Leave/Regularization Name. Individual leave balances can be viewed by selecting respective
Leave/Regularization Name; or, 'Leave Balances' head can be selected to get consolidated view of all
leave balances. After selecting the name, click on Check Eligibility.
NOTE: Balances will reflect values basis the As of Date selected.

7.0 Can any Leave/Regularization functionality get delegated and to whom


Yes, Leave/Regularization Approval, Leave/Regularization Request and Cancellation request can be
delegated to either your Direct Manager or Peers or your reportees.

8.0 How to perform delegation as mentioned in point 6


Employee needs to Select 'Manage Delegation' either from the Home Page or follow below navigation.
Navigation: Main Menu >Self Service >Manage Delegation >Click on Create Delegation
a. Select the date range for which you want this delegation to happen.
b. Select the required transaction to be delegated from Delegate Transactions and click on next.
Leave/Regularization Approve - Approval Delegation (should be selected only by managers)
Leave/Regularization Request - Leave/Regularization Request Delegation
Leave/Regularization History - Leave/Regularization cancellation and history view delegation.
c. Choose Delegatee from the available list and click on Next
d. Submit

9.0 Will delegation automatically happen once the steps as per point 7 are followed
No, the delegatee needs to accept the delegation request. Unless this happens, the delegation process
will not get completed and delegatee will not be able to perform the required actions.Delegatee needs to
Select 'Manage Delegation' either from the Home Page or follow below navigation.
Navigation: Main Menu >Self Service >Manage Delegation >Click on Review My Delegated
Authorities >Select the transaction and Accept or Reject the delegation request.
If rejected, delegation will not happen. If accepted, delegation will activate effective 'From Date' from
which the manager has raised this delegation. On the completion of delegation, delegatee can perform
the required activity.

10.0 Can the delegation be revoked


Yes, delegation can be revoked either by the person who has raised the delegation or by HR Admin.
Delegation can be revoked at any point of time before end date of delegation is reached and is
independent on whether the delegatee has accepted or yet to accept the delegation. Delegator needs to
Select 'Manage Delegation' either from the Home Page or follow below navigation.
Navigation: Main Menu >Self Service >Manage Delegation >Review My Proxies >Select the
Transaction >Click on Revoke
NOTE: While raising delegation, From and To dates are selected. If steps 7 & 8 are followed, delegation
will automatically start on 'From' date and ends on 'To' date.

11.0 What happens when an employee applies leave by which time the manager is already
terminated
System Behaviour: In such a scenario PeopleSoft delivered AWE automatically routes the transaction to
the manager (supervisor) of the inactive manager, provided the manager of the inactive manager is an
active staff in the system. In case there is no supervisor associated with inactive manager on job data,
PeopleSoft delivered AWE goes into an error step and does a default approval of the transaction.

12.0 Employee applies leave while the manager is still active. However the manager does
not approve / reject the leave and then gets terminated. What should be the course of
action?
Employee should contact their respective HR/HRBP with the details of the situation. HR/HRBP should
contact the Central Support Team to get this resolved.

6. Time and Labour


1.0 How to view/mark daily attendance
You can view your daily Punch IN and Punch OUT time or can mark their daily attendance from below
mentioned link:
1) Disha Home Page under 'Quick Link Employee>> Timesheet'
2) Navigation: Main Menu>>Self Service>>Time Reporting>>Report Time>>Time Sheet
To view attendance for previous week click on Previous week link available on the page.

2.0 How to view Exceptions


Exceptions can be view by:
1) Disha Home page under Exception Dates, dates on which exceptions is generated will appear.
2) Navigation: Main Menu>>Self Service>>Time Reporting>>Report Time>>Time Sheet, under
exception tab you can view your exceptions daywise

3) Navigation: Main Menu>>Self Service>>Time Reporting>>View Time>>Exceptions


4) Navigation: Main Menu>>Self Service>>Time Reporting>>Monthly Time Calendar

3.0 How a manager can view attendance and exceptions for their Reportees
Manager can view the entire monthly and weekly details for their reportees from:
1) Navigation: Main Menu>>Manager Self Service>>Time Management>>View Time>>Monthly Time

2) Navigation: Main Menu>>Manager Self Service>>Time Management>>View Time>>Weekly Time

4.0 How to mark attendance from Disha Home Page for MLIC
1) On Disha Home Page: Under Time Punch Alert>>Mark Attendance button. By clicking on the
button attendance will be marked on Timesheet.

5.0 How can employee view their consolidated monthly snap shot?
To view monthly snapshot details of Attendance, Leave, Exceptions, Holidays, Workdays & Weekly
Off navigate to below mentioned link:
1) Navigation: Main Menu>>Self Service>>Time Reporting>>Monthly Time Calendar

6.0 When will Exceptions get generated


Every Sunday a process will run which generates the exceptions where no attendance or leave will be
marked. To view exceptions in the system please follow Point No. 2

7.0 When will mail get trigger for attendance regularization


Every Monday Employee will get a reminder mail for SYSTEM. The mail content will be the dates on
which exceptions were generated for the employee from past 60 days. The mail will be copied to their
managers for reminder.
