This report presents a process of talent acquisition, specifically in Aviyana Ventures Private
Limited.
In addition, it describes the goal of the study and methods used in the study report.
It looks the organizational practices aimed at procuring spare parts and relationship marketing
in it. Also its relationship with the vendors and other related regions.
It further explains the overall findings, conclusion and learning experience.

1.1 INTRODUCTION TO THE INDUSTRY
Consultancy can be defined as :
A professional practice that gives expert advice within a
particular field, esp. business or the work of giving such
advice.
ConsultatntA consultant is a professional who provides professional or
expert advice in a particular area such as management,
accountancy, the environment, entertainment, technology,
law(tax law, in particular), human resources, marketing, food
production, immigration, medicine, finance, life management,
economics, public affairs, communication, engineering etc.
Internal Consultant
- someone who operates within anorganization but is available
to be consulted on areas of specialism by other departments or
individuals (acting as clients)
External Consultant
- someone who is employedexternally (either by a firm or some
other agency) whoseexpertise is provided on a temporary
basis, usually for afee. As such this type of consultant generally
engages withmultiple and changing clients.
History Management consulting grew with the rise of management
as a unique field of study. The first management consulting
firm was Arthur D.Little, founded in 1886 by the MIT
professor of the same name and was incorporated in
1909.

Arthur D. Little later became a generalmanagement


consultancy, it originallyspecialized in technical research.
Booz Allen Hamilton was founded by Edwin G.Booz, a
graduate of the Kellogg School of Management at
Northwestern University, in1914 as a management
consultancy and the first to serve both industry and
government clients.
From the 1950s onwards consultancies not only
expandedtheir activities considerably in the United States
but alsoopened offices in Europe and later in Asia and
SouthAmerica.
Work carried out at McKinsey, Boston Consulting Group,
ATKearney, Booz Allen Hamilton, and the Harvard
BusinessSchool during the 1960s and 1970s developed
the toolsand approaches that would define the new field of
strategicmanagement, setting the groundwork for many
consultingfirms to follow.
In 1983, Harvard Business School's influence on
theindustry continued with the founding of Monitor Group
bysix professors.
The industry experienced significant growth in the
1980sand 1990s, gaining considerable importance in
relation tonational gross domestic product. In 1980 there
were onlyfive consulting firms with more than 1,000
consultantsworldwide, whereas by the 1990s there were
more thanthirty firms of this size.

CURRENT STATE OF T HE INDUSTRY Management consulting has grown quickly, with growth
rates of the industry exceeding 20% in the 1980s and
1990s.
Consulting remains highly cyclical and linked to
overalleconomic conditions.

The consulting industry shrank during the 2001-2003


period,but grew steadily until the recent economic
downturn in 2009.Since then the market has stabilized.
Currently, there are three main types of consulting firms.
Large, diversified organizations, Medium-sized
management consultancies and Boutique firms which
have focused areas of consulting expertise in specific
industries, functional areas, technologies or region of the
world.

As the above figure (Figure No.4) shows, Strength and Opportunity factors are
Positive factors. Whereas, Weaknesses and Threats factors are Negative factors.
In this, the strengths and weaknesses are the factors which are internally affected

RESEARCH
(a) Research Problem:Study on spare parts procurement process and relationship marketing in
SCI.

(b)

Objectives:To study the existing procurement procedure and relationship marketing.


To suggest some changes.
To identify the need and areas of improvement.

(c) Scope:Scope of the study is limited to the spare parts procurement in T&OS (OSONGC) division in SCI.
(d) Methods of Data Collection:Primary and secondary method, both has been used to collect data, with the
tools and techniques mentioned below.
(e) Tools & Technique: Primary; meetings with the managers, their interviews.
Secondary; literature reviews, case studies, manuals, annual reports, internet.
(f)

Limitations:No previous experience to handle such type of project.


Long time horizon for delivery of materials, over 4-5 months.

(A) PROCUREMENT
Procurement at the SCI covers a variety of activities for the following departments:
1) Purchase & Services

Purchase: Supply of bunkers, stores and spares, provisions, office stationery, etc.

Services: Appointment of agents, co-ordination for agency work, stevedoring, etc.

Insurance: Arranging for insurance cover and settlement of claims for:

a. Hull & Machinery Insurance


b. Protection and Indemnity (P&I) Club (Cargo, Pollution, General Group
Insurance, etc.)
2) Information Technology

Procurement and supply of spares to the vessels in time plays a vital role in ships
operation.
Care must be taken to supply in time with right spares and quantity.
It is advisable to procure the spares from original equipment maker (OEM).
Procurement of Non OEM items carried out in two ways depending on value of
spares. Spare value less than two lacks, three party quotation is Invited and the
spare is procured from L1party.
If the spare value is more than two lacks, the spare is procured through the Tender.
The inquiry is uploaded to SCI and Government website respectively and spare is
procured from L1 party.
SCI guide lines to procure the spares through OEM and Non OEM parties to be
followed strictly.

(B.1) FROM OEM

Procurement from OEM is done when the critical (important) spare are to be
procured.
Procurement is done either from OEM or from authorized distributor of OEM.

1. Receiving Indent: Vessels give the list of spares with quantity of the spare parts required, along
with the urgency of the requirement.
There are 3 types of indent;
o Six monthly
o Emergency
o Confirmatory
The spare part indent is prepared on the basis of the requirement schedule.
2. Quantity Sanctioning by Superintendent: Each vessel is having its superintendent in offshore, who looks after the
requirements of vessels. He is the person who estimates and sanctions the quantity of
spares for procurement.
3. Receiving Quotation:Once the quantity is sanctioned, the next activity is forwarding the enquiry to
the OEM or other party asking cost of the spares , lead time of delivery , payment
terms etc. And after receiving the quotation, the availability of the budget is checked
before placing the order.
4. Take ONGC Approval: As the vessels are owned by ONGC, it is the most important to take the
approval of ONGC before further processes.
5. Internal Approval: After taking ONGC approval, it is the internal process of management
approval. The quotation is submitted to management for approval.
6. PO (Purchase order):After getting the approvals, PO is prepared. It is prepared on the basis of the
quotation received from OEM/supplier. It includes quantity of spares, price per
quantity, total amount, terms & conditions.
7. Firm Order to OEM: It is given to place the order along with PO.
8. Dispatch Instructions:After obtaining SCI and ONGC approval and placing order, continuous
follow up to be maintained with OEM/supplier for timely supply . Then they
dispatch the offer readiness.
9. CHS (Clearing House Agent):He is appointed agent of SCI, who clears the goods from airport warehouse on
behalf of SCI. He is intimated with necessary documents and payment s towards
customs / octroi to be arranged .He clears the spares from customs and connects the
same to the vessel.
10. Essentiality Certificate for Custom Duty Exemption :EC is for exemption of customs. It is required when the spares are imported.
Because of this the cost of procurement comes down. After month of application,
EC is received. And it is valid for 6 months.
11. Delivery of Spares to Vessel by CHA: After getting EC, clearing agent to clear the spares from customs and connects
the same to the vessel and maintains necessary follow up for delivery of the same.

It is the certificate which states that, the spares are used for the reason for
which it is imported. It is submitted to Director of Hydrocarbon for closing the EC.

L1 Party i.e., the party with lowest bid is selected.

(b) Open Tender


1) Publication of notice inviting tenders is given on SCI website, Government website,
Newspapers, Indian Trade Journal, and Press Advertisement (if the value exceeds
Rs.10 lacks).
2) The technical bids and commercial bids are received form parties (manually or by
post) in a sealed envelope in the given time period.
3) Technical bids are opened in the presence of the parties.
4) The technical bids are compared with the estimated technical terms.
5) The parties who fulfill the technical estimation are called for the opening of
commercial bids.
6) Like the technical bid opening, commercial bids are opened in presence of the parties.
7) The bids are compared with the estimated commercial terms.
8) The party with lowest bid is selected.
9) Approval from DFO and management is taken.

For these timely internal approvals and sanctioning, it has to maintain good relations
with the management.
All the superintends, higher authorities with whom they have to maintain a good
relation.

The two months learning experience was great.


It was like introduction to the workings in Government Sector and was great.
I was working in Technical and Offshore Department.
Two most different and things were tender opening meeting and ship/vessel visit.

Observations in the vessel;-

Recreation room at ground deck and also boarding for trainee cadets and deck people.
Upstairs. It was for upper post people and guests.
At the top, it was control panel, fully digital and computerized. The control panel is
called as Navigation Bridge.
Life saving appliances and fire fighting appliances were there in outside of the
navigation bridge.
The underdeck area of the vessel is having two parts. One is galley and dining saloon
and another is main engine, other control and operating panels.

CONCLUSION:-

SCI is the premier shipping company in India, owned by the Government of India.
Procurement of generic spare is done through original manufacturer or from its
authorized distributors only. This reduces breakdown in vessels.
Fewer breakdowns in vessels increase earning capacity of the vessels.
Fewer breakdowns keep the vessels in operations and hence the productivity of
vessels also increases.
The delay in procurement and delivery of spares is largely due to custom
clearance and delivery.
Delay in delivery of critical spares may affect the sea worthiness and its
operational capability.
