FACTS ABOUT KS SECURITY

KS SECURITY confirms to all the norms laid down by the Government. These include
regulations regarding minimum wages and applicable DA rates, stipulated contributions of
ESI/PF and other statutory payments.

Daily Visits: The Area Managers conduct daily visit to check and monitor satisfactory conduct of
daily work and to handle special day-do-day instructions from the client. They also ensure proper
attire and conduct of guards, correct procedures being followed and the vigilance of the security
personnel.

Night Visits: The Area Manager will conduct night checks on alternate days. These will be at odd
hours after 11.00 p.m. in the night.

Surprise Visits: These are carried out at random at least twice a month, by the CEO of KS
SECURITY.

Training Schedule: Training in Fire Fighting Techniques, Life Saving Skills, First Aid is
imparted On Weekly Basis.

POST AND SITE INSTRUCTION

INTRODUCTION

All Standing orders are issued under the authority. All security Personnel who are
deployed in these premises to have read and understood the orders.

 The security handbook is a restricted and accountable document stipulating the
standing orders pertaining to this office.
 As and when the need arises, any additional amendments or cancellation to any
standing orders can only be effected with the written authority of the
management.
 All the new and relieve guards should be briefed by the security supervisor on the
standing orders and ensure that they are complied and implemented.

GENERAL INSTRUCTION

All security personnel deployed at this facility will ensure that they are fully conversant
with client’s business activities and its related security requirements. Hence the security
staff will observe / ensure the following:

FACILITY LOCATION AND LAYOUT

 They will understand the location in relation to the surroundings i.e., whether it is
peaceful, or violent or crime prone area and accordingly take necessary
precautions.
 Any damage or loss to the property if seen or found at any time will immediately
be reported to the management.
 They will always endeavor to protect the unit’s assets and property.
 The security staff will know the location of fire fighting equipments, fire alarm
system and main control panel (power supply) and will also be fully familiar with
their operations.

CODE OF CONDUCT:

The security staff will strictly observe that they:

1. Are always smartly turned out and vigilant.
2. Are punctual and arrive 15 mins before the shifts duties.
3. Take charge of their duties properly and thoroughly.
4. Perform their duties with honesty and sincerity.
5. Read and understand their site and posts instructions strict compliance.
6. Extend respect to all the managers and staff of the unit.
7. Do not speak or listen against own or clients organization.
8. Shall not drink on duty or come drunk to report for duty.
9. Will not gossip or chitchat while duty?
10. Will leave the post only after being relived.
11. Will not leave duty post without having been properly relived.
12. Will immediately report if any untoward incident / misconduct or misbehavior to
the security in-charge and control room.
13. Will never sleep or slumber on duty post.
14. Endeavor to develop the ability to:

 Remember important telephones nos.
 Identify cars of keys personnel by their make, colour and registration
numbers etc.,
 Recognize maximum number of managers and employees.
 When in doubt approach concerned security in-charge / Field Officer /
General Manger –ops immediately.

CONFIDENTIALITY

1. The Location and movement plans of Directors and Managers will not be
divulged to anyone.
2. No information about residential address and telephone nose will be given to
anyone. If someone comes to reception and asks for information about the
managers, he will be politely directed to security in-charge.
3. The following information about managers should not be divulged to any one:
 Car make, colour and number
 Telephone number / any other information
 Location and conference schedule
 Meeting and conference schedule
 Visit programme of VIPs.
 Site plan of the premises.
 Travel itinerary of managers.

TELEPHONE RELATED DUTIES OF SECURITY PERSONNEL

1. Be always polite, helpful and professional in answering the phone from reception.
2. Should know the extension numbers readily or be able to refer to list for the same
placed at the reception.
3. All messages left with security to be recorded carefully. The message should be
politely reconfirmed after recording with the caller. To ensure accuracy.
4. Should be confident in transferring / receiving instructions on.
5. Extra care to be taken when receiving overseas calls.

DUTIES AND RESPONSIBILITY OF SECURITY OFFICERS & SECURITY
SUPERVISOR

1. To understand that the spearheads “security “of the organization and is “pro-
active” customer friendly and committed to his responsibilities in keeping with
the culture and image of the company.
2. To be overall in-charge of all security at building.
3. He will report to facilities every morning and provide all information concerning
security similarly he will take all instructions from facilities and ensure their strict
compliance.
4. To ensure that all guards are properly turned out and deployed at duty post as per
instructions given from time to time.
5. To ensure that he finds out what instructions have been given to the guards in his
absence and that they are strictly followed / implemented.
6. To ensure that he carries out proper handing / taking over during shift changes of
guards.
7. On all Sundays and holidays, he will train and brief guards on previous weeks
feedback / duties properly as well as provided any assistance that they may
require.
8. He will visit posts regularly during his duty tenure to ensure that guards are doing
their duties properly as well as provide ant assistance that they may require.
9. To ensure that the crowd of visitors does not gather at the reception waiting area
and take suitable measures through facilities to quickly see that they are attended
to.
10. Attend the visitors politely and confirm their appointment with the concerned
staff. Do follow the procedure such as issuing the pass, badge and making entry in
visitors register.
11. To ensure he has all knowledge about instruments and fire panel functioning at
that he knows the fire fighting procedure along with his team of guards.
12. When informed in advance about important visitors, he will ensure that he briefs
his guards in time and is also himself present to oversee reception and escorts of
the visitors if required.
13. He will ensure locking and opening of all entry and exit points in the premises in
accordance with timings given by the management.

METHOD OF PATROLLING TO BE FOLLOWED BY SECURITY OFFICER &
SECURITY SUPERVISORS

1. Patrol the building to the different route plan.
2. Keep a watch on the activities of the contractors / casual labours / house keeping
boys.
3. Check all lights, toilets doors windows, water taps after hours.
4. Check all fire exits, fire extinguishers, break glass / manual call points, main fire
alarm panel and other fire fighting equipments in the building.
5. Report any defects of cleanliness in the common areas that he comes across to the
supervisor / house keeping person for immediate action.
6. Ensure that unauthorized movement of persons during holiday and Sunday within
the premises.
7. Ensure that all fire exits, passenger ways and staircase are clear from obstructive
and fire hazards.
8. Ensure that electrical room door, electrical DB cabinets, server room, UPS room
are locked and are available only for authorized personnel.
9. Ensure that all fire exit doors of staircase are closed at all times and not kept open.
10. Ensure that garbage disposal contractor / housekeeping persons do not litter while
transporting garbage.
11. Record all the findings and observation during his tour and report to the
supervisor along with the handing / taking over register.

DUTIES AND RESPONSIBLITIES OF SERVICE DESK CORPORATE GUARD.

1. He will record all incoming and outgoing material after through verification of the
documents.
2. He will control the contractors / vendors movements by making necessary entry in
the proper register.
3. He will carry out frisking and checking through contractual person while moving
out of the premises. To ensure all material is allowed out only after checking of
gate pass and validating the challan / gate pass with the items physically.
4. He will ensure “high visibility” and “proactive” security presence in this area to
deter any pilferage by vendor or other staff.
5. Will at random check all garbage / waste material going out, using a poking stick
or spreading the waste to ensure no pilferage is taking place. This is to ensure that
nothing is hidden it and being taken out of the facility.

EMERGENCY PROCEDURES:

1. INCASE OF THEFT:
 Do not let the person escape.
 Detain him with stolen items.
 Detain the vehicle if involved in theft.
 Inform control room / Field Officer / GM-ops & the client contact person.
 With clients discretion informs police.
 Investigate the matter / case and gather all possible information.
 Prepare an incident report and submit the same to the client and send one copy to
GM-ops, for necessary action.

2. INCASE OF FIRE:
 Controllable fire – try to extinguish the fire.
 Uncontrollable fire – call FIRE SERVICE ON 101
 Switch off main power supply.
 Raise FIRE ALARM.
 Inform control & the CLIENT.
 Note down the time of incident and prepare an incident report and forward the
report to GM-ops, & THE CLIENT.

3. INCASE OF BOMB THREAT CALL:

Immediately report the matter to SECURITY IN- CHARGE / OFFICIALS.

The security person will take the following action.

1. Inform the POLICE ON 100 & nearest POLICE STATION on
2. Informs BOMB DISPOSAL SQUAD ON 2212743 – extn no. 50/55.isolate the
area suspected and identified immediately.
3. Assist the employees in EVACUATION through staircase.
4. Record of the BOMB threat calls and prepares an incident report and submits
one copy to the client & another copy to KS SECURITY.
