Hosting a Meeting in a Conference Room


Purpose: To inform conference room users on the proper actions to complete before and after
using that room for a video call, voice call, or face-to-face meeting.

Before:

Step 1: Schedule the meeting through Outlook; Add Attendees and


select a room. Make sure your meeting does not conflict with the
attendees calendars and that the room youve selected is available
at that time.

Step 2: Arrive five to ten minutes early.

Step 3: If using the screen or projector, make sure theyre on. Log into
your EWI account on the collaborative computer.

Step 4: See the document [Instructional] Performing a video call for a


tutorial on establishing a video call.

Step 5: See the document [Instructional] Performing a conference call


for a tutorial on setting up a conference call.

After:

Step 1: If you signed into the collaborative computer, sign out.

Step 2: Erase the whiteboard using the eraser, and then wipe it down using
the spray and cloth provided in the room.

Step 3: Clean up the room, throwing away or recycling all papers and
other items used in the meeting.

Step 4: Push in the chairs.

Step 5: Turn off the lights and shut the door behind you.

Saving Battery Life on an Android Phone


Purpose: This is the purpose for this documentation. Its optional to include, as the
title might explain everything.

Step 1: Dim the phones screen brightness. Travel to


Settings>Display>Brightness.

Step 2: Run the Advanced Task Killer program. Go to the Android Market,
search for the Advanced Task Killer, and download it. Run the
application.

Step 3: Add the Power Control Widget to your home screen. Select and
hold an empty space on your home screen until a menu appears.
Select Widget. Locate Power Control and add it to the home
screen. This will allow you to turn Wireless, GPS, Bluetooth, and
Email Auto Sync on and offthe more these functions are off, the
slower the phones battery will drain. Additionally, the Power
Control Widget allows you to adjust the screen brightness.

Step 4: (Optional) Set email to sync every 15 minutes instead of Auto


Sync. Instead of constantly checking for new emails, the phone
will instead only check for new emails every 15 minutes, therefore
saving the phones battery life.

Archiving Emails in Outlook


Purpose: This guide will show you how to create and fill an email archive in Outlook. Any
emails in this archive will be stored on your workstation and removed from your Outlook
account.

Step 1: Create a new data file.

a. Click the Home tab

b. Select New Items

c. Click More Items

d. Click Outlook Data File

e. Set the file name to


Archive mm-dd-yy
(e.g. Archive 07-05-16)

Step 2: On the left-side menu, you should see a new section titled with the
name of the archive. Right-click the section and click on New
Folder In the screen that appears, enter Inbox into the Name:
textbox. Click OK.

The default folders are Inbox, Drafts, Sent Items, Deleted Items,
Junk Email, Outbox, RSS Feeds, and Search Folders. If you have
any additional folders to archive, create new folders in the archive
by the same name.

Step 3: Travel to your main inbox. Select the emails youd like to archive.
To select multiple emails at a time you can:

a. Hold CTRL and click multiple emails to select them all


or

b. Click one email and SHIFT + click another email to


select every email in between them

Right-click one of the selected emails, select Move, then click on


Other Folder Click on the folder youd like to move these
emails to in the archive. Then click OK.

Continue this process for all the emails you want to archive. Once
youre finished, the emails youve archived will be removed from
your Outlook account and, instead, on your workstation under
\Users\*YourUsername*\My Documents\Outlook Files. They
will also be accessible from the left-side menu in Outlook, under
the section titled Archive mm/dd/yy.

Quick Guide to Setting up Audio/Video for A


New Computer
Purpose: Change computer, Avaya, and Skype settings so microphones, speakers,
and webcams all function correctly during Avaya and Skype calls.

Computer Settings:

Step 1: Click the Start button (the Windows logo) in the bottom left
corner of the screen.

Step 2: Click the Control Panel from the list on the right margin of the
menu that appears.

Step 3: Click on Hardware and Sound. Click on Manage Audio

Step 4: Right click on your desktop speakers and make them your Default
Device.
Step 5: Right click on the Jabra (or your headset) and make them your
Default Communications Device.

Avaya Settings:
Step 1: Open Avaya.

Step 2: Click on the button circled below, then click Settings.

Skype Settings:
Step 1: Open Skype.

Step 2: Select Tools.

Step 3: On the left sidebar menu, click Video Device. Select the webcam
you want to use from the drop-down menu.

Step 4: On the left sidebar menu, select Audio Device.

Step 5: In the dropdown menu at the top of the window, select either your
headsetJabraor the default setup of your computer (which you
set earlier.

Use Microsoft Remote Desktop to Connect to


the EWI Network
Purpose: This document will serve as an instructional guide to using Remote Desktop Protocol
on any Windows-based computer. It will allow a computer from a remote location to access the
EWI network as long as remote privileges have been provided.

Step 1: Click the Start button (Windows logo) in the lower left corner of the
screen. Click All Programs in the menu that appears. Click on the
Accessories folder that appears. Scroll down until you find the application
Remote Desktop Connection.

Step 2: In the window that appears, find the drop-down menu/text box
next to Computer:. Enter or select the computer youd like to
connect to.

Step 3: Once you hit connect, you may be asked to input your login
credentials. Fill out these credentials with your EWI computer
username and password.*

*Note: If these credentials do not work, enter ewidom\ before your username and
try again.

Salesforce.com User Setup

Step 6: Travel to Salesforce.com and login.

Step 7: Click your name in the top right corner of the screen. Then click
Setup in the drop-down menu that appears.

Step 8: In the sidebar menu to the left, find Administration Setup. Below
Administration Setup, click Manage Users. In the drop-down
menu that appears, select Users. In the top right corner of the table
that appears, select New User.

Step 9: Complete the fields shown (name, email, username, etc.). The
options in the User License form are:

1. Chatter Only: These users can only create Work Orders


and Purchase Requisitions

2. Salesforce: These users have full access to all items.

The options in the Profile form are:

1. Chatter Only Custom: For Chatter Only users

2. Standard SSO: For full-access users

Step 10: When youre finished filling out the forms, click the save button
above the forms. Done!

Scan ITAR Documents from EWIPRT01


ITAR documents cannot be electronically transmitted (i.e. emailed) from the Canon
copiers. However, scanned documents from EWIPRT01 can be sent directly to the
U drive, and afterwards moved to another location. No other copiers can be used
for ITAR documents!

Step 1: On the Canon copier, select the Send option.

Step 2: Choose File.

Step 3: In the drop-down menu that appears, choose Windows (SMB).

Step 4: Select Host Name. Type in \\ewiitar01\temp and hit OK.

Step 5: Type in your EWI network username, then hit OK.

Step 6: Type in your EWI network password, then hit OK.

Step 7: Hit OK when you are finished.

Step 8: Scan as usual.

The scanned document will be placed in U:\Scanned Documents as a PDF. This


document can then be moved into another folder on ITAR.
