Sahir helps actuator manufacturer improve collaboration and accelerate revenue.

Castcraft is a manufacturer of hydro-pneumatic actuators. It is a OEM supplier to leading control valve


companies. Manufacturing of actuator is a complex activity involving 26 components going through 17
different processes. These components have to be tracked through 62 stages. It typically involves 9-10
sub suppliers and 2-3 testing and inspection agencies. Collaboration between different departments
handling these processes spread over different locations is a challenging task.

Actuators manufactured by Castcraft are used in critical applications and therefore need to follow
stringent quality procedures. The provenance of various components and test results of the QA process
for every component at various stages is captured & collated in to a 'Passport' for each actuator. The
Passport becomes a important deliverable for the company as a certain percentage of its revenue can
only be realized after the passport is submitted to customer on dispatch.
The Passport contains between 58 and 81 documents (depending on the model) which are
generated/received at various stages during the manufacturing process. There can be one to many (Eg.
PMI certificate for the sheet used in multiple cylinder skirts) or many to one (Hear treatment report for
springs) relationship between test certificates and actuator. Some of the documents are hard copies that
need to be scanned, some are received by email and some information is needed from records captured
in the LOB system. Some certificates need to be received from Vendors and some are created internally.
Collecting these certificates during various stages, Keeping track of them and collating them in time and
accurately for every actuator was consuming inordinate amount of time and resources.

Sahir's BA team spent time with Castcraft management & supervisors understanding the details of overall
business process. The team then created a BRS document detailing the documents involved at every
stage, workflows needed and metadata that can help track the documents. Sahir then suggested using
Sharepoint 2010 as a collaboration & document management system.

Before the implementation of the Intranet, concerned team members received some QA documents by e-
mail on their individual email IDs. These were later saved to a network folder. Other were created by
manually capturing the data in daily log book Excel sheets and later cross referencing with serial number

data from ERP. This process was very time consuming and required a lot of administrative work with
much space for errors and uncertainty.

An intranet portal was created with sub sites for various departments like purchase, machine shop,
fabrication unit and assembly unit. Each site has document libraries xxxxxx

Each time a new PO number is created in the Tally ERP system There are workflows that get triggered
based on various events

The solution provides Castcraft with better control over operations as well as QA business processes,
connects all the departments and people, and centralizes all information, content and documents about
products in one place, an important benefit for the team.

After implementation of the intranet administrative burden was significantly reduced, resulting in a shorter
and more effective QA cycle. The company estimates that the time required to collate all the
documentation and generate the Passport reduced more than 60%. The company also reduced the
number of errors in documentation and is able to increase the speed of revenue realization as the
passport is ready at the time of physical dispatch.
Castcraft plans to extend the solution to their vendors and partners in 2013

through an Extranet.
