Alumni Library Services – Information Sheet

The Library is pleased to offer the following services to alumni with City University of Hong Kong academic awards upon the payment of a subscription fee. (1) Alumni Library Ticket - Reader Ticket holders can access the Library and use its collection (except Library Archive and Telford Library) without borrowing privileges during normal term time. However, no access is allowed during Restricted Access Periods http://www.cityu.edu.hk/lib/about/blackout.htm (under normal circumstances, they are the Revision and Examination periods of Semesters A and B each academic year.) (2) Alumni Library Ticket - Borrower Ticket holders can access the Library with borrowing privileges (7 items for 30 days*) throughout the entire valid period of the ticket. * For circulation books only. As for other library materials, please check with the respective service counters for eligibility and loan period. (3) Alumni e-Resources Service (online application and renewal only. Please see Application and Renewal Methods overleaf.) Remote access to selected Library electronic resources (http://www.cityu.edu.hk/lib/service/alumni/eres.htm). Subscription to this service does NOT include access to the Library. There is a limit on the maximum number of subscribers and subscription is on a first-come-first-served basis. Alumni can choose either Service (1) or Service (2) listed above, but not both. Service (3) can be subscribed on its own or combined with either Service (1) or Service (2). The same Library Ticket is used for Service (1) and Service (2). Therefore, under normal circumstances, a switch between the two services will not involve any issue of new Ticket. The Library will record the selected ticket type in the Library system to grant the appropriate privilege to the Ticket holder.

Important: If you are a to-be-graduate of the current year, please note that the Library has extended your access and borrowing
privileges one month beyond the expiry of your student status to provide you with the convenience to settle outstanding matters with the Library. You may start your subscription to the above services only by then.

(ii) 15% off on fees if payment is settled with valid CityU Credit Card owned by the applicant. This applies to both in person or by mail application or renewal. * Important: Applicant can only enjoy either discount (i) or discount (ii), but not both.

Messages to Graduate Library Ticket Holders:
If you are a Graduate Library Ticket holder, no matter you apply for Alumni Library Ticket - Reader or Alumni Library Ticket Borrower now, we will not issue you with a new Ticket*. Your Graduate Library Ticket is your Alumni Library Ticket. We will record your selected ticket type (Reader or Borrower) in our Library system to grant you the appropriate privilege. * Exceptions: (a) you have lost your Graduate Library Ticket or (b) your Graduate Library Ticket number is in the format: 01xxxxxxx. The Library reserves the right to adjust the charging scheme and subscription fee(s) as deemed necessary without prior notice.

Application and Renewal Methods
1. Online Application or Renewal (15% off on subscription fees)
i. Access CityU Alumni Page (http://www.cityu.edu.hk/cityu/alumni/index.htm) and select AIMS. Log on as follows: Electronic ID: Your previous student ID (if you forget about this, call DAO at 2788 9986) Password: Your Alumni Email Account password Alumni of year 2001 and Free email account without registration. The password is your previous student onwards: email password. Forget? Access http://email.cityu.edu.hk to reset it. Alumni of years prior to You need to register for the free email account via the following steps: 2001: (i) access http://www.cityu.edu.hk/cityu/alumni/index.htm, and (ii) click “Register Your Free Email Account”.

Select Personal Services and then Personal Data for Communication. Edit and update your personal particulars as appropriate and then click Main Menu on the top of the screen to go back to the main menu. On the main menu, select Alumni Menu and then Alumni Services Menu Click on Alumni Library Services, follow instructions on the screen to complete the subscription procedures and settle your payment online by VISA or Master Card via the HSBC Secure Payment Site. Fill out an Alumni Library Services – Application Form (http://www.cityu.edu.hk/lib/form/alumservices.pdf) and an Alumni Update Form (www.cityu.edu.hk/dao/contact/update_form.pdf) available at the Circulation Counter of the Library. Submit the completed forms together with the necessary documents either in person or by mail.

2. Other Application or Renewal Methods (not for subscription to Alumni e-Resources Service)

When will the Service(s) be Available after Application or Renewal?
1. If issue of new Alumni Library Ticket* is involved, the new Alumni Library Ticket will be ready for pickup at the Circulation Counter of the Library 4 working days (excluding Saturdays, Sundays and Public Holidays) after the Library formally receives the application and all the necessary documents over the Counter or through the incoming mail. However, for students graduated in the current academic year, it may take more than 4 working days (excluding Saturdays, Sundays and Public Holidays) depending on when alumni data of the current academic year are loaded into the Library system.

Only for alumni who are not holding a Graduate Library Ticket or an Alumni Library Ticket with the Ticket No. in the format: xxxxxxxxA (where xxxxxxxx is the old student ID no. and A is the alphabetical suffix) - including those who have actually lost the Ticket.

If NO issue of new Alumni Library Ticket is involved, corresponding library privileges will be activated in the Library system for you 2 working days (excluding Saturdays, Sundays and Public Holidays) after the Library formally receives the application and all the necessary documents over the Counter or through the incoming mail. You can start using your subscribed service(s) as appropriate by then - (a) Remote access to selected electronic resources (http://www.cityu.edu.hk/lib/service/alumni/eres.htm) according to the guide to remote access (http://www.cityu.edu.hk/lib/service/alumni/eres.htm#access) and/or (b) use the Alumni Library Ticket (or the former Graduate Library Ticket) you currently hold to use the Library as a Reader or a Borrower whichever applicable.

Important Notes to Users

The Library reserves the right not to offer Alumni Library Services to an individual based on his/her past conduct in the Library. Subscription fees are calculated on a pro-rata basis according to the subscription month and expiry date of the privilege. For details, refer to our payment schedule overleaf. All fees paid are non-refundable and non-transferable. Switching from Alumni Library Ticket - Reader to Alumni Library Ticket - Borrower before the former expires will result in automatic forfeiture of the fee balance left for the former and under no circumstances can the fee balance be transferred and used for the subscription of another service. The Library reserves the right to adjust the charging scheme and subscription fee(s) as deemed necessary without prior notice. Alumni Library Ticket (or the former Graduate Library Ticket) is not transferable to another user. The same Library Ticket is used for both Alumni Library Ticket - Reader and Alumni Library Ticket - Borrower. The selected ticket type is recorded in the Library system to grant the appropriate privilege to the Ticket holder. It is your responsibility to take good care of the Alumni Library Ticket (or the former Graduate Library Ticket) because, under normal circumstances, no new Library Ticket will be issued to you again when you apply for or renew your reader privilege or borrower privilege in the future, if you have been once issued with an Alumni Library Ticket (or the former Graduate Library Ticket with the Ticket No. in the format xxxxxxxA). Loss of the Alumni Library Ticket (or the former Graduate Library Ticket) must be reported immediately to the Circulation Counter of the Library. You can apply for a replacement ticket at the cost of HK$50.00.

10. If you have a CityU Alumni Email Account, the Library will communicate with you via that account unless instructed by you otherwise. 11. Personal data collected by the Library in the service subscription process will also be passed to the Development and Alumni Relations Office to update their alumni records for the purpose of developing alumni services and relations. Personal data will be kept confidential. If you want to change your personal data in the future, please access the CityU Alumni Page (http://www.cityu.edu.hk/cityu/alumni/index.htm), log on, select Personal Services and then Personal Data for Communication to make necessary amendments. Amended data will be passed back to the Library by the Development and Alumni Relations Office. 12. Alumni subscribing to the Alumni Library Services must observe the Library Regulations (http://www.cityu.edu.hk/lib/about/libreg/regulat.htm).

Submit your application either in person at the Circulation Counter of the Library or by mail to the address given below together with the documents in the following check list as appropriate. Check list of documents to be supplied (a) a completed Alumni Library Services – Application Form duly signed by you (b) a completed Alumni Update form (c) the original and a photocopy (send in the photocopy only if application or renewal is submitted by mail) of the VISA or Master Card that you have authorized us to settle the subscription fee with (if you choose to pay by VISA or Master Card). (d) a cheque with the correct amount of subscription fee (if you choose to pay by cheque). Please remember to mark at the back of the cheque the required personal particulars mentioned above.

If (i) you are not holding a Graduate Library Ticket or an Alumni Library Ticket with the Ticket No. in the format: xxxxxxxxA (where xxxxxxxx is the old student ID no. and A is the alphabetical suffix), or (ii) you once held the Ticket but have now lost it, submit the following as well because we need to issue you a new Ticket.

a recent photo (1" x 1.5") a self-addressed stamped envelop for us to send you the ticket collection slip by mail. Please present this ticket collection slip to pick up your Alumni Library Ticket in person at the Circulation Counter of the Library.
