`Y In the Offer Letter Format, the format so prepared by the Admin, will be used. When the HR will
add fields in the Format , then all the data will be stored in a table and then in the UI side, that
data will be called on a Screen and in from this screen the Offer letter͛s PDF will be generated
and from here the it can be downloaded, printed etc.
`Y he Offer letter can be updated till the Acceptance / Declination is not marked
`Y he Update Offer letter button will appear till the Reply for the Offered job is not entered in the
system

`Y Leaves should not overlap. So the system should check that the days that are already applied for
the leave should not be requested again. If it is done so then the System should prompt for the
Overlapping.
`Y If there are no leaves in the Employee͛s account, and still he wants to apply for a leave, then in
that case he shall be prompted by the system about 0 leaves in his account and that leave will
be considered as͟ LWP͟ i.e. Leave Without Pay
`Y If the Leave is partially approved and partially rejected, then in that case the Leave Status will be
͞PARIALLY APPROVED͟

`Y When the Employee Applies for LWP, (since he has zero leaves left in his account)then the
Leaves Remaining Will appear as negative
`Y [rediting Leaves : By the End of an year / Month as the case may be , the Leaves will be credited
in each employees account

`Y he Supervisor can check the Leave Summary for all his subordinates

`Y If an Employee has applied for any leave and it has got approved then in that case, the
Electronic attendance sheet will be updated as ͞L͟ against all those days which are being
approved by the Supervisor. (Data taken from LMS)
`Y If the Employee is not present and has neither applied for any leave, then in that case the Status
of the Employee͛s Attendance will be marked as ͞A͟(Absent)

`Y It will counted as LWP (leave without pay)

`Y A graph can be generated on the Leaves and Attendance ratio from this data

`Y If the Employee switches from one project to another and the Performance Appraisal
announcement is made in that ime Period, then in that case also the Appraisal will be made by
the [urrent Project Owners only

`Y he Appraisal Period is configured by the Admin. In this ime Period all those projects that the
employee has taken, and is still working for, will be considered for his Appraisal. he Appraisal
form will be send to all the [urrent project managers and the Feedback of all the Past Project
Managers is already stored in the Project Info ͞EIM͟ at the ime of Release, so it can be traced
from there.

`Y he Status of the Appraisal Form is pending initially and when he submits then the status
changes to ͞Submitted͟

`Y he Appraisal͛s three levels self; Super visor and HR are not fixed. hey depend on company to
company and thus the forms will depend on their process of Appraisal

`Y he Forms would be called as the levels of Participants are chosen

`Y When all evaluations are submitted, then a button of ͞Submit͟ will appear and know the Entire
evaluation sheet can be submitted to the Department Head for Approval

`Y After ͞Department Head͛s approval͟, the appraisal shall be finally submitted to the HR for
Review and final action

`Y he Average Grade is computed by the HR and is reviewed accordingly

`Y After this a list of the Employees is made as per their evaluation and accordingly the Appraisal
output is generated grade wise

`Y If the Employee, Supervisor or Immediate Head or HR doesn͛t submit the Appraisal form within
the Last date of Submission, then in the HR will manually inform Supervisor/Employee to fill the
form and send ASAP
`Y If any Project Manager is not available at the ime of Appraisal then in that case the Immediate
Head can submit the form without that Project Manager͛s submission also. He will enter a
comment for the same and send to HR

`Y When the Entire Evaluation is done, then the Evaluation details will be stored in the
EIM_Appraisal

`Y he Employee shall not be able to see the Evaluation made by the Heads

`Y Only the Immediate Head / Department Head & HR shall be able to see the Details of the
Appraisal

`Y here will be some employees whose info will be stored in the HRMS Employee database but
they would not be given any access to the HRMS application, so in that case there would not be
any User Account made for them

`Y Only those Users for whom there is an account will have a Send Message option in front of their
name in the Employee Directory

`Y here is a checkbox for ͞Released from Project͟, which when selected means that the employee
is released from that particular project, then in that case the Project manager will be asked to
enter a feedback for the Employee which can be tracked at the time of Performance appraisal

`Y When the Feedback from the Past Projects is to tracked at that time this info can be used to
evaluate the Employee

`Y Each Employee can view the Employee Directory, and some of the Selective Information related
to the searched employee

`Y he Supervisors can view more information regarding the Employee

`Y he HR can view all employee info

`Y he raining [alendar will be planned by the [entralized HR with the [onsent of the different
locations. he raining shall be Location Specific / centralized.
`Y Different Locations shall be able to see their Location specific & [entralized trainings only and
not of others

`Y Once the raining Plan for the Entire Year is planned in the Yearly [alendar, then all those
trainings that are planned to be in a particular month appear in the Drop down list with the
Month Name. Rest all the other rainings that are planned for the year will also appear(In case
the raining is pre scheduled or post scheduled as per the plan)

`Y Month Wise raining Schedule will be displayed for the Users. If the User clicks on any of the
particular date then, if the Job title of that User matches with that raining͛s Audience Profile,
then he shall be able to see the ͞Participate͟ button otherwise not

`Y Once the User clicks on the Participate Button then the PARI[IPAE button will be replaced by
͞Waiting for [onfirmation͟ link

`Y When the HR sets a raining of different Month in a different Month then a Prompt will come
stating that the ͞<raining Name> is planned to be in <Planned Month Name>. Do you still wish
to Schedule it in this month͟ [Yes]/[No]

`Y he Attendance shall be manually captured by the HR

`Y When the raining is successfully conducted then in that case, in Employee͛s Info in ͞raining
[ourses͟ , the raining Details shall be updated from here

`Y he raining Feedback Form shall appear in the Employee͛s [alendar as the Notification, form
where he can fill in the Form and submit it to the HR
