Keypad

The numeric keypad with the keys 0 to 9, *, and # is used to enter digits and letters.
Depending on the operating mode, different actions can be performed (see the table below):

• Entry of digits only (e.g., when dialing a phone number)

• Typing in letters and digits by pressing the keys repeatedly (similar to a cellular
phone), etc.

Use the MENU key to call up the menu. To cancel actions or input, use the Exit key . The
ENTER key confirms actions, selections and inputs. For navigation, use the large round
navigation key in the middle.

The four keys located below the display are context-sensitive function keys. Their current
mapping is depicted with symbols in the bottom line on the display.

The three keys on the right with LEDs / next to them are the programmable function keys onto
which different functionalities can be mapped.

Additionally, the following functions are available:

Dialing

There are two methods to begin a call from the idle state of the phone. You can either dial
with the handset resting in the cradle and then pick it up or press , or you can pick up the
handset or press and then dial the number. In the latter case, press to indicate that the
number is complete and dialing can commence. The phone shows the current communication
status in the display.

Terminating a call

End calls by placing the handset on its cradle, or pressing cancel. The phone will terminate
the call and return to the idle state.

Accepting a call

Picking up the handset or pressing Hands-free will accept the call. The phone is now in a call.

Park

To “Park” a call is to put it on hold in a place that anyone else can retrieve it. While in a call
press the button labeled “PARK”. Wait for the system to tell you which extension the call is
parked on (71, 72, …).

Retrieve

To Retrieve a parked call you dial the number the call is parked on (71, 72, …). Then press
the button and you will be connected to the parked call. NOTE: If the call is parked on 71, the
third button on the right of the display will be flashing. You may pick up the call by pressing it.

Hold and resume

When a call is in progress, pressing puts the call on hold, i.e., neither party can hear the

other.

Pressing the resume key will reconnect the call. While a call is on hold, you can establish
another call by dialing the desired number. When more than one call is on hold, the following
appears on the display:

Transfer SWAP Conf Cancel

Select Conf to conference with both parties, SWAP to change the party you are talking to, and
Cancel to end one of the calls. If you are conferenced, pressing Cancel will end both calls.

Transfer

Direct Transfer

During a call, press the transfer key to put the connected party on hold, then dial the number
to which the call is to be directly transferred. Then press transfer, the phone will disconnect
from the call and transfer the held party to that number.

Transfer Call to a different extension’s Voicemail

To send a call to another person’s voicemail, press the transfer key and then dial * then the
person’s extension number. Then press , the phone will transfer the held party to that number.

Conference

For your extension and two other calls:

If the phone is connected with two calls, one on hold and one active, you can connect all
three phones in a conference by pressing Conf. By pressing Split, the conference is
disconnected and the calls are all put on hold.

For more than three parties:

While in a call press the Transfer button , then dial 800 and then press to transfer that call into
a conference room. Do this for each caller to be added to the conference call. To join the
conference call from an office phone just dial 800 to join the call in progress. If there is only
one caller in the conference room music will be played until another caller joins.

Message Waiting Indication (MWI)

If you did not answer a call and the mailbox recorded a message for you, the idle screen
shows that a recorded message is waiting for you and the Message Light will be solid green.

To connect to your mailbox, press Message. You will be asked for your password. See the
administrator for your password. After logging into the voice mail system for the first time
please change your password by pressing 0 then 5 then follow the prompts.

Accessing Voicemail from out of the office

Call your direct line and wait for your voicemail message to start and then press the *9 keys
then enter your extension and password.

Phone book

The phone contains an internal phone book that can be accessed from the phone’s idle state
by pressing directory.

Call Lists

The phone maintains lists of missed, received, and dialed calls that can be accessed by
pressing the “History” key from the idle state.

Adjusting the volume

In the idle state or while making a call, you can use the keys to increase or lower the volume.
The audio device (casing speaker, handset, headset) that you are currently using can be
adjusted.

Mute / Unmute

To mute the microphone during a call, press the soft key “Mute” or . Press the soft key
“Unmute” or to enable the microphone again.

Handset / Handsfree / Headset

The phone supports calls made using the handset or the handsfree capability. During a call, it
is possible to switch between both modes by pressing the Speaker key on the upper-left side.

When a headset is connected and the audio output is set to headset, the phone will treat the
headset as the output device for calls, which is indicated during a call by a small headset
symbol on the bottom line. When the phone is used in a call center environment, the
connected headset will usually be the default setting for speaking on the phone. The key is
therefore used to accept incoming calls.

DND is short for “Do Not Disturb”. If this mode is activated with DND, incoming calls will no
longer come through to the phone and you will be completely undisturbed by the phone. If
there is a mailbox set up for you, the call is redirected to this. In idle mode, “ DND active!” is
displayed on the screen when DND is activated.

Call Forwarding

To enable Call Forwarding dial *72.


Enter your extension number then press #
Enter the phone number or extension number to forward all calls to then press #

To disable Call Forwarding dial *73

«Ext_». To begin using your phone, please follow these steps to setup your Voicemail.

1. Pick up the handset.


2. Press the Retrieve button .
3. Enter the default password .
4. Press 0.
5. Press 5 and then follow the prompts to change your password.
6. Press 1 and then follow the prompts to record your Unavailable Message.
Example: (You’ve reached «Name», I’m away from my desk. Please leave a message and I
will get back to you as soon as I can. Thank You.)

7. Press 2 and then follow the prompts to record your Busy Message.
Example: (You’ve reached «Name», I’m on the phone. Please leave a message and I will get
back to you as soon as I can. Thank You.)

8. Press 3 and then follow the prompts to record your Name.
