Guidance For Centres


1 General

1.1 OCR model assignments are issued free to centres on approval and are available to
download from our website: www.ocr.org.uk.

1.2 Centres may choose to:

• use OCR model assignments for formal summative assessment of candidates

• tailor OCR model assignments for formal summative assessment of candidates

• use OCR model assignments as a benchmark for devising their own assignment.

1.3 This assignment has been designed to meet the full assessment requirements of the
unit. Candidates will need to take part in a planned learning programme that covers
the underpinning knowledge and skills of the unit.

2 Before carrying out the assignment

2.1 Candidates should be provided with a copy of the Candidate Information section of this
assignment.

2.2 Candidates may carry out preparations prior to undertaking the tasks; there is no time
limit for this.

3 When completing the assignment

3.1 Candidates should be allowed sufficient time to complete all of the tasks. The amount
of time may vary depending on the nature of the tasks and the ability of individual
candidates. It is suggested that evidence is produced in several sessions.

3.2 Each candidate must produce individual and authentic evidence for each task within
the assignment.

3.3 Centre staff may give support and guidance to candidates. This support and guidance
should focus on checking that candidates understand what is expected of them. It is
not acceptable for tutors to provide model answers or to work through answers in
detail.

3.4 Candidates may use information from any relevant source to help them with producing
evidence for the tasks.

3.5 It is acknowledged that candidates in their responses may refer to situations in the
scenario but as the scenario is fictitious this does not break any rules of confidentiality.
However, candidates must be guided on the use of information from other sources to
ensure that confidentiality is maintained at all times.

4 After completing the assignment

4.1 Candidates’ evidence is assessed by the centre’s assessor against the qualification
specification contained in the Centre Handbook. When grading candidates' work
centres must use the grading descriptors in the unit. For further information about
assessment please refer to the section on Assessment and Moderation in the Centre
Handbook.

4.2 Assessors’ decisions should be quality assured across the centre through internal
moderation. For further information about internal moderation please refer to the
section on Assessment and Moderation in the Centre Handbook.

5 Presentation of work

5.1 Candidates may use the Candidate Checklist provided to ensure that they submit
evidence for ALL tasks. They can do this by using the Candidate Checklist as a
contents page inserting references/page numbers in the boxes provided.

5.2 Centres may wish to discourage candidates from excessive use of plastic wallets for
presentation of their evidence as this may hinder the assessment process. Instead
centres may wish to encourage candidates to present their work so that it is easily
accessible, e.g. spiral bound, stapled booklet, treasury tag.

6 Acceptable evidence

6.1 For guidance on generation and collection of evidence please refer to the section on
Assessment and Moderation in the Centre Handbook.

7 Reworking the assignment

7.1 If candidates do not meet the minimum PASS requirements for the assessment
objectives, further work will be required.

7.2 Tutors may give feedback to candidates to support and guide them in producing
evidence to the required standard.

Notes For Tutors

Introduction to the Tasks

The tasks have been designed to enable candidates to demonstrate their knowledge and
understanding of the use of business communication systems based on standard office software.

The tasks have been designed so that all of the assessment objectives in Unit 1 are addressed.

The scenario states that candidates are working as business advisers for New Solutions for
Business Ltd. During the assignment tutors will assume the role of Managing Director.

These guidance notes should be used in conjunction with the unit specification and Centre
Handbook.

The Tasks

Task 1: Design and create templates for business documents

Assessment Objective 3 is assessed in this task.

Candidates are required to design a housestyle for use in a range of business documents for New
Solutions for Business Ltd. This housestyle will be used when creating templates. There is no need
for candidates to produce specific evidence in part A as their housestyle will be evidenced through
the templates they create.

At Pass and Merit level it is sufficient for candidates to format any text they enter into the
templates. Distinction candidates must create user-defined styles in their templates, for example, in
the report template they might edit the Normal and Heading styles and create a style for bulleted
lists.

The quality, consistency and appropriateness of the housestyle and templates will be determining
factors in the grade awarded for this Assessment Objective.

It is expected that Merit and Distinction candidates will use these templates when creating their
documents in tasks 2, 3 and 5. Tutors should ensure that candidates have sufficient skills in the
packages for which templates are to be developed to enable them to progress these into final
documents.

Task 2: Business use of communication technology

Assessment Objective 1 and part of Assessment Objective 4 are assessed in this task.

Candidates are required to investigate a range of existing business communication systems. It is


expected that candidates will carry out the research themselves although teachers may suggest
appropriate resources such as the internet, personal experience and/or visiting speakers.

Candidates will use this information to produce a formal business report which should be formatted
appropriately.

Candidates may consider including the following sections in their reports:

• Introduction
• Summary of research
• Main findings
• Conclusion
• Bibliography/Resources.

Assessment Objectives 1 and 4 will be assessed separately. Therefore, it is possible for


candidates to achieve differing grades for each assessment objective.

The grade candidates are awarded for Assessment Objective 1 will be largely determined by the
quality, level of detail and range of appropriate examples that they have included in their report.

Although Assessment Objective 4 is assessed within this task, tutors must ensure that all
tasks where Assessment Objective 4 is assessed are considered when awarding a grade for
this Objective.

Task 3: Effective communication in business

Assessment Objective 2 and part of Assessment Objective 4 are assessed in this task.

It is expected that the speaker’s notes will contain the more detailed explanation and examples,
and the slides will be used to highlight the main points of the presentation.

If candidates have not created a template it is sufficient for them to format the presentation using
the housestyle they created in Task 1.

To achieve higher levels in Assessment Objective 4 candidates should use the template they
created in Task 1.

When assessing Assessment Objective 4 tutors should consider the quality, appropriateness, and
near professional standard of the candidates’ presentation.

Although Assessment Objective 4 is assessed within this task, tutors must ensure that all
tasks where Assessment Objective 4 is assessed are considered when awarding a grade for
this Objective.

Task 4: Effective use of email

Assessment Objective 5 and part of Assessment Objective 4 are assessed in this task.

In these tasks, candidates will be asked to use specific features of email software. It is acceptable
for tutors to amend any of these tasks to suit the software available at the centre. However, tutors
must ensure that opportunities are given for candidates to provide evidence of an equivalent range
of features. Reference should be made to the Knowledge, Understanding and Skills section of the
Unit Specification.

For Part F of this task tutors will need to create and save the following two documents. Electronic
versions of the documents can be downloaded from the OCR website, but tutors will need to insert
additional information as indicated:

Task 5: Digital security in the workplace

Assessment Objective 6 and part of Assessment Objective 4 are assessed in this task.

The content of the text produced in Part A provides evidence for Assessment Objective 6 whilst
candidates completing Part B will produce a fourth document to be assessed in Assessment
Objective 4.

Many Pass candidates may wish to attempt Part B allowing the tutor to choose the better quality
documents when assessing Assessment Objective 4.

Task 6: Use standard ways of working

Assessment Objective 7 is assessed in this task.

Candidates need to provide evidence to show how they have organised and made secure their
files during the completion of this assignment. Some evidence could be in the form of annotated
screenshots and/or provided electronically. However, a tutor witness statement may be the best
way of confirming the appropriateness and consistency of the working practices employed.

Q Do I have to pass this assignment?

A Yes. You must pass this assignment to achieve the full qualification.

Q What help will I get?

A Your tutor will help you when completing the OCR model assignment and will make sure that
you know what resources/facilities you need and are allowed to use.

Q What if I don’t understand something?

A It is your responsibility to read the assignment carefully and make sure you understand what
you need to do and what you should hand in. If you are not sure, check with your tutor.

Q Can I copy other people’s work?

A No. The work that you produce must be your own work and you may be asked to sign a
declaration to say that the work is your own. You should never copy the work of other
candidates or allow others to copy your work. Any information that you use from other
sources, eg books, newspapers, professional journals, the Internet, must be clearly identified
and not presented as your own work.

Q Can I work in a group?

A Yes. However, if you work in a group at any stage you must still produce work that shows
your individual contribution.

Q How should I present my work?

A You can present your work in a variety of ways, eg hand-written, word-processed, on video.
However, what you choose should be appropriate to the task(s). For some work, eg
presentations, coaching sessions, role-play, work experience, you will need to provide proof
that you completed the task(s). A witness statement or observation sheet could be used for
this. If you are unsure, check with your tutor.

Q When I have finished, what do I need to hand in?

A You need to hand in the work that you have completed for each task. Do not include any
draft work or handouts unless these are asked for. When you hand in your work make sure
that it is labelled, titled and in the correct order for assessing.

Q How will my work be assessed?

A Your work will be marked by an assessor in your centre. The assessor will mark the work
using the assessment objectives and the grade descriptors in the qualification specification.

You have recently started working as a business advisor at New Solutions for Business Ltd. The
organisation provides advice and support for small and medium sized businesses throughout the
United Kingdom. The firm specialises in offering advice to new firms, and people thinking of setting
up a new business.

Your job role is to work with clients to produce a range of business support materials; the
documents are to be produced and distributed using ICT. Some documents are to be printed whilst
others are to be viewed on screen.

New Solutions for Business Ltd has a policy for working with electronic files.

The company policy states that:

• Safe working practices, complying with Health and Safety legislation, must be employed at all
times

• work must be organised using an appropriate folder/file structure that makes it easy for a third
party to locate files

• version numbers must be included in filenames, where appropriate

• backups of files to a removable medium must be created regularly

• files must be password protected, as appropriate, to prevent unauthorised viewing and/or


editing

• documents that contain confidential information should be protected by the use of


permissions.

Tasks

Task 1: Design and create templates for business documents

Assessment Objective 3 is assessed in this task.

New Solutions for Business Ltd would like to update its corporate image. You have been asked to
design a new housestyle, and create a range of document templates.

To achieve Pass level you need to complete Parts A and B. To achieve the higher levels you also
need to complete Part C. To achieve Distinction level you also need to complete Part D.

A Design a housestyle that can be used in a range of business documents, e.g. business
letters, business reports, slide-show presentations, web pages, email messages, invoices
and flyers.

You should consider, for example, fonts, colours and position of graphic elements e.g. logo,
lines and borders.

B Using the housestyle you designed in part A, create three templates using word processing
software. These should be for:

• a business letter

• a business report

• one other business document of your choice

To achieve Pass level you need to set the style of text and some paragraph formatting.

To achieve the higher levels you also need to include page layout and graphic elements. To
achieve Distinction level you must also create user-defined styles in your templates.

C Using the housestyle you designed in part A, create a template in presentation software for
New Solutions for Business Ltd. This must include text style, paragraph formatting, page
layout and graphic elements.

D Using the housestyle you designed in part A, create a template in a different type of software
application from those already used. This template is to be used to provide information for
clients of New Solutions for Business Ltd. The template should include appropriate user-
defined styles, page layout and graphic elements. Suitable templates might include a leaflet
in desktop publishing or a web page in a web authoring package.

Thoroughly check your work to eliminate errors and ensure the document is fit for purpose.

The grade you are awarded for Assessment Objective 1 will be largely determined by the quality,

Task 3: Effective communication in business

To achieve Pass and Merit level you need to complete part A. To achieve Distinction level you also

The purpose of the presentation is to explain the factors which can help or hinder effective
verbal, written and multimedia communication.

You must research the topic, find appropriate examples of each factor, and create the
presentation.

If you created a presentation template in Task 1, it should be used in this task.

Thoroughly check your work to eliminate errors and ensure the presentation is fit for purpose.

The detail of your explanation, and the number and appropriateness of the examples you
include will be determining factors in the grade awarded for Assessment Objective 2.

sallyt@progress-media.co.uk. Include instructions in your email message explaining how
these files can be extracted. Copy the Managing Director (your tutor) into this email.

Print a copy of the document and the email you sent to Sally.

E Create two folders within your Inbox, one to store emails from the clients, and one to store
emails from the Managing Director.

To achieve Distinction level you should also set up rules to automatically save emails in the
appropriate folder.

F You will receive an email message from the Managing Director (your tutor). Read this email
and carry out the tasks requested.

You should describe potential problems associated with each issue and the methods that
can be used to prevent/minimise these.

To achieve Pass level you need to describe at least four security issues. To achieve Merit
level you need to describe at least five security issues. To achieve Distinction level you need
to describe at least six security issues in detail giving examples.

The grade you are awarded for Assessment Objective 6 will also be determined by the
quality, level of detail and range of appropriate examples that you include in your text.

B Create either a web page(s) or an information leaflet to display the text you have created. If
you created a suitable template in Task 1, it should be used in this task.
