1.1 Introduction

In the world of business, sales and inventory report has one of the biggest

role in the field of business industry. Recording data from day to day transaction.

The Gunzone Point of sale and inventory system will the owner to be out of the

manually recording of the data and manually computation. This system will be

the big help for the business specially in storing data, for example in manual

computation, you need to calculate it one by one and somethings you didn’t know

that you have a mistake in calculating the amount of the product.

Most of today’s independently owned retailers are familiar with the term of

“POS” or Point of Sale system. Some have never heard of POS System, so we

as the developer of this project we want to introduce this system to the people

Is in the field of business. Especially if you have big business manual monitoring

is difficult for and time consuming in our system the all the information of your

business is in the tip of your finger.

Our project entitled “Gunzone Point of Sale with Inventory System”. By

using our system, users can analyze inventory records, and figure it out how well

all the items in the shop sell. Also, they can maintain and review sales histories

easily.

1.2 Background of the study

Founded In July 27 2006 when LTC Fran Mananquil and lea Manaquil,

Started their business the Gunzone. As time goes by he manage to make it

successful, it became a big business and it has lot of costumers

The business uses a traditional way like Microsoft Excel where they put their

transaction and sales also the billing cannot be handled in a faster way except if

two persons or more handle different tasks and cannot provide an official printed

receipt for almost 14 years they are using this ways.

1.3 Purpose and Description

We the proponents proposed the Point-Of-Sale with Inventory System for

Gunzone is because while we are conducting our interview we found out that our

client are having difficulties in sales transactions because they only have

calculator for the cashier and they only have microsoft excel for their inventory

records

The proposed system provides the following features stated below:

 Automated billing transaction

 The system provides product management.

 User Account Management

 The owner/admin has full access to the system while the Cashier

has at least minimal access to the system like to input the customer

order and process the order of the customer and printing of receipt.

In figure 1.4.1 shows that the input of cashier is taking customer’s

order details, indicating of the products purchased from the shopproduct name,

customer name, address, quantity, and price. The process is the manually writing

the order details to paper and computation of the payment using calculator then

the staff will get the products from inventory based on the customer order details

list. The customer pays the total amount indicated in the customer order list. And

the output will be the receipt indicated the product nameand input the quantity of

purchase on the Microsoft excel

In figure 1.4.2 shows that the input of the proposed system is taking

orders details from the customer, indicating product name, customer name,

address, quantity, and the amount of the product. The processing Gunzone point-

of-sale with inventory the system is automatically computing of the amount of

purchased product and automatically saved every transaction on the shop. The

output will be the inventory and sales report that will receive of the cashier that

encode for item information and will print official receipt.

1.5 Statement of the Problem

The proponents conduct an interview, and found out that the Gunzone are

having difficulties in their sales transaction and inventory

The main problem of this study is they don’t have a computerized system

to process quickly and manage the daily transaction in an effectively and reliable

way in keeping the inventory records that stored in database.

This study aims to develop and assist the staffs of Gunzone on to

processing quickly and manage the daily transaction of the store

an efficiently, effectively way.

1.7 Scope and Limitations of the Study

The study primarily aimed to design a Point-of-Sale with Inventory System

for Gunzone. The system focuses on the business processes which includes;

Point-of-Sale, automatic computing of sales for the day and Inventory report.

 The admin/owner has the full access in the system such as managing

items/products, user accounts, inventory and payment transaction.

Point-of-Sale – retail point-of-sale system typically includes a cash register

(which in recent times comprises a computer, monitor, cash drawer, receipt

printer, customer display and a barcode scanner) and the majority of

retail POS systems also include a debit/credit card reader.

Microsoft Visual Basic 2010 – is an Integrated Development Environment (IDE)

from Microsoft. It is used to develop computer programs for Microsoft Windows,

as well as web sites, web apps, web services and mobile apps.

Microsoft Access – is an information management tool that helps you to store

information, reporting, and analysis. Microsoft Access helps you analyze large

amount of information, and manage related data more efficient.

Standalone – a capable of operating independently of a computer system.

System- it is an independent group of items forming a unified whole number

system.

This chapter presents the literature and studies relevant to presentation

2.1 Foreign Related Literature

The proponents propose a system that will process fast automated

transactions and every transaction that the shop made its automatically saved

According to Hold (2010) article, “Inventory refers to stocks of

anything necessary to do business”. The U.S Small Business

Administration publication describes what constitutes successful

inventory management balancing cost versus benefits of inventory,

including: Maintaining a wide assortment without sacrificing service; Keeping

stock low without sacrificing performance; Obtaining lower prices by making

volume purchases; and Maintaining an adequate inventory without an excess of

obsolete items.

The proponents propose a system that will create accurate and

informative sales and inventory reports pointing out to the products that needs

stock and the products that needs to lower stocks. . In this citation it says that

monitoring of sales is essential in every business. Without proper monitoring a

business may fall apart because of unreliable sale and revenue report.

2.1 Local Related Literature

According to the study of Anna Marie Beltran, Distor of Proposed Sales

Monitoring System issued 1995, the accelerated work structure of the company

proper monitoring is essential in order to keep track of the company’s sales

activities. Her system aims to come up with an efficient, and accurate mechanized

system of preparing invoices that will keep sack of the daily transaction and

generate reports. Important information will be provided by this study in order to

prove that the computerization of the company’s operation and achieve a more

reliable and efficient means of monitoring day to day Activities , Her System

focuses on the analysis and design of the sales monitoring system which will

monitor the stacks inventory of the sales departments.

This system of hers is somewhat related to our study but our system

focuses more on the inventory monitoring system of an Appliances Store.Reports

are more timely and accurate. Computers have large capacity to store data and

tremendous speed to manipulate and recall data.

“Inventory controls are key to dissuade employees from stealing” states that:

“Computers can only do much, but coupled with inculcating honesty among staff

and instituting the appropriatedeterrents, they can work very well in minimizing

losses and pilferages. “

As we conclude, now a day we can’t trust anyone specially when it

comes to money like what that citation said, so we the proponents created a

system that has a security features where the owner/admit has the ability to

access all in the system to avoid losses and pilferage on the money or stocks.

2.3 Foreign Related Studies

The Korean Red Ginseng Enterprise Sales with Inventory System

(2011) a proposed system by Gail Lavielle, the proponents came up with a

computerized sales and inventory system. The proponents used database to easy

access of files and for easier and faster processing of the selling and inventory

transactions. The program was designated to generate reports such as daily,

weekly, monthly and yearly sales report and inventory reports.

This chapter discusses how the researchers will gather the

necessary data and information that will be use in the entire study. It describes

who will be the respondents and focus of the research. This also shows the

procedure of data collection and instruments used.

3.1 Data Gathering Procedures

The proponents use different tools and ways to gathering information

needed to our proposal project.

Internet – The proponents researched on various websites to gather data, ideas

and information relevant to the study. To create a more effective system specially

related in our proposed system.

Interview – The proponents set an interview to the client regarding to the

system.

Survey – The proponents conducted a survey with survey questionnaire to our

colleagues to gather some opinions and ideas and that we can use to improve

system.

3.2 System Methodology

The proponents made a SDLC method and this model type is a project

implemented a step by step in accordance with the precise sequence.

Asses Needs. In this phase, the proponents conducted an interview to the client

about the processes and transactions happening inside the Gunzone Store to fully

understand their business transactions and the problems they faced. Currently

the Gunzone is facing a problem such as: Manual Transfering to Microsoft Excel

when it comes to documenting, they encounter inaccuracy and they cannot track

products, transactions and sales records in their shop. They only use calculator

when it comes to payment computation from the customer.

The Gunzone needed an accurate and automated inventory system which

will provide quick, efficient and reliable results so as to maximize time lessen

errors due to human intervention for their products and transactions

records.

The proponents suggested a Point-of-Sale with Inventory System for

Gunzone that would help to lessen their paper manual transactions to provide

accuracy on the transactions happening in the shop.

Upon identifying and understanding the problems that the shop’s facing,

the proponents identified and created the proposed system’s objectives and

scope that was mentioned on Chapter 1. After gathering information and

requirements, the proponents decided to staff the project/task to each member.

Design Specification. After identifying the problems, the proponents went

through system analysis. Where proponents collect factual data though direct

interview with the owner and staffs, understanding the processes involved,

identifying the problems and recommending feasible suggestions for improving

the system functioning. The problems of the shop are the inefficiency in managing

the inventory and no records of sales transactions. That is why the proponents

develop a point-of-sale with inventory system to monitor and organized the

inventory of the shop.

Design/Develop/Test Software. Designing the recommended system, after a

long period of brainstorming and analyzing the proponents finally came up

designing the recommended system needs. The proponents used Microsoft

Visual Basic as a computer language to develop this system because of it object

oriented approach that is helpful and easy to use for the programmers and the

end-users. The in the system. We also depend the design by the demand of the

client.

Implement System.Developing and documenting software during the system

development the proponents are successfully initiated the development process

for their system and documentation. The coding and testing of the system in this

phase. Point-of-sale with inventory system will be install by the proponents. The

proponents also give a manual to the owner on how the system works and how

to use it. The proponents also teaches and demonstrates to the owner on how to

use the system.

Support Operation. Testing and maintaining the system, when the proponents

are finished developing the system it is the time to test it whether it is functioning

as intended of the proponents or it has minor changes that are needed. The

proponents is willing to develop and enhance the system for improvement, new

changes will be implemented in which will require the system updates. If the user

found an error or bugs, the owner can contact the proponents. The proponents

will usually come to shop to check the system.

The statistical treatment is essential in order to make use of data in right

form and it is only one aspect of any projects.

Weighted mean an aggregated mean for more than one step of scores

calculated to give weight to each set separated mean according to sample size.

In table 4.1.2 and Figure 4.1.3 the proponents conducted a survey in

students. In Table 4.1.2 is shows that the total tally in question number 1, there

are 40 people says that they already encountered a Point of Sale with inventory

system and only 10 people say no. In question number 2, there are 37 people

already tried to use Point of Sale with inventory System and 13 people say no.

In question number 3, there are 47 people think that with the use of a Point of

Sale with inventory system will make the payment procedure faster and 3

people say no. In question number 4, there are 47 people think that point of sale

System will be the alternative solution to improve the manual process and 3

people say no. In question number 5, there are 42 people who is in favor of the

The weighted Arithmetic Mean will be used to determine the performance

and quality of the newly developed prototype according to different criteria,

namely: Efficiency, Availability, Functionality, Usability and Accuracy.

Samples and Sampling methods used

Random sampling is the purest form of probability sampling. Each

member of the population has an equal and known chance of being selected.

When there are very large populations it is often difficult or impossible to identify

every member of the population, so the pool of available subjects become bias.

The proponents used surveys and questionnaires in order to gather the

required information on the subject research and we have come up with the

following result.

Instrumentation

Surveys and questionnaire are implemented in order to gather the


necessary requirements for the implementation and the production of the
system. Below is the format of the thesis questionnaire and survey that was
used in conducting the survey.

Summary, Conclusion and Recommendations

Summary

This system was designed to help our client to make the transaction easy

and fast; knowing the records of the client transaction. Its is more reliable and

easier to track client details and transaction. The system was designed as per

the client recommendation and request to have a history in the system including

the date, viewable transaction, and receipt. As well as the design and its

development is in accordance to the client.

In the conducted survey, with 50 respondents, the rating that we received

from our evaluation is an average of 4.78 (excellent) for the 5 criteria that we

used.

Conclusion

We therefore conclude that our system can help out client easily when it

comes to ordering. The objectives that were set were all met. The system

manages to create an order, compute, record and issue a receipt. As per our

client and the survey conducted that shows that our system managed to fulfill its

objectives.

Alsoour system is friendly to be used and less time in making transaction

and viewing transaction monitor the client of he/she has already have a record

so we can easily update and recordthe products.
