INTRODUCTION

The Global Analytical & Microbiological Services (GAM) provides critical support to Ecolab's customers and our sales and service team.
The analytical and microbiological data can be used to assess the performance and effectiveness of Ecolab treatment programs. When
there are technical issues at a customer site the GAM laboratory service can be used to assist our sales team to troubleshoot and
identify the root cause of the problem. We offer a variety of standard Chemical and Microbiological analyses, as well as targeted and
customised tests to assist in troubleshooting or supporting new business.

LABORATORY SAMPLE SUBMISSION

SAMPLE CONTAINERS All sample containers for Microbiological and Chemistry testing shall be supplied by your District Administrator (DA).
Refer to the ALS Bottle Request Form within this file for guidance.

MICRO SAMPLES All samples with microbiological testing that has been setup with a fixed Billing Arrangement (BA) are set up in the
Laboratory Information Management System (LIMS) as Ready Labels. The information set up in LIMS includes
customer information, site or tower details and required analysis. On a monthly basis, the District Administrator (DA)
prints the labels and sends to the nominated account manager. For labels to be sent to an alternative address, please
email customeranalyticalservices@nalco.com with name and address details. Labels are not printed for samples that
have not been set up in LIMS as Ready Labels.
For all microbiological samples that are sent without a Ready Label, please supply the following details: Customer
Name, Ship to Number, System Name, Submitter Name, Date/Time Sampled and SO (Service Order) Number.

Complete a GAM Chain of Custody (COC) form when submitting samples (refer to Chemistry COC tab).
Alternatively, use the customer specific COC form if available. This customer specific form contains specific ready label
numbers for unique sites and can be setup by the lab upon request (refer to Chemistry Ready Label tab).
CHEMISTRY SAMPLES To request for customer specific COC form, complete and submit the Chemistry Ready Label form to
customeranalyticalservices@nalco.com
Note: Contrary to the Microbiology, the Chemistry Lab does not provide sticker labels.
Ensure samples are clearly label with sample ID and sample date/time.

Supplies of pre-weighed corrosion coupons can be organized through your DA. Part numbers and price lists are

When submitting coupons for analysis please complete details on coupon card that is supplied with the coupons.
CORROSION Charging will be processed from the laboratory system 14 days after the reports has been authorised and released.
Once the amount has been charged, it is official and there are no means of any alteration. It is the responsibily of the
COUPONS sales rep to ensure that the correct testing was requested and tested. This can be done by checking the email that gets
sent from LIMS system (called Scheduler Charge) on the weekend following the lab receiving the samples OR accessing
LIMS Web App Portal.
CHARGING To prevent delays of testing/reporting, ensure a valid Billing Arrangement (BA), Service Order (SO), or Purchase Order
(PO) are quoted on the Chemistry COC form OR Micro Labels. If a PO# has been obtained from the customer for the
laboratory testing, it is the sales rep responsibility to request the invoice to be processed via your DAs.

Samples for Microbiology testing are transported to the lab in prepaid padded satchels. The satchels, con notes, padded
inserts, ice bricks and zip lock bags can be ordered from your District Administrator (DA).
Samples for Analytical testing are transported to the lab in eskies using Toll Priority Online services. Eskies are returned
to the sender. Note: Please ensure your name is written on the outside of the esky, so it can be returned.

Rush or urgent TAT on samples must be communicated via email/phone to the Chemist or Help Desk
SERVICE LEVEL (customeranalyticalservices@nalco.com). Availability on rush analysis will be dependent on resources and need to be
arranged with the Chemist. Note that a surcharge will apply.

Project or non-routine work can be arranged with the laboratory. We are a global network of highly technical
laboratories and will certainly be able to deliver solution to your customer. Please contact laboratory Help Desk.

A notification will be sent if the expected consignment is NOT received.


Samples are registered into the laboratory LIMS system.
The ‘submitter (account holder)’ receives the SAMPLE RECEIPT NOTIFICATION (SRN) via email.
This SRN email should be checked by submitter to ensure the customer details, site details and testing requirement are
accurate.
If there are any changes required, notify the lab immediately via: customeranalyticalservices@nalco.com

The submitter will receive a non-conformance email alert if the sample submission does not comply with the laboratory
sample submission practices. This could include one or more of the following:
* In correct sample bottles used
* Missing COC form
* Missing information on the COC (e.g. SHIP To, customer name, testing, BA#, SO, PO#)

SAMPLE RECEIPT Lab reports are mailed electronically from Customer Analytical Reports as a PDF (and CSV file) to the Account
Manager/Submitter and any additional nominated email addresses. It is critical that the correct details for these
additional email addresses are provided to ensure that the reports are delivered successfully to the customer.

Chemistry reports (by default) does not contain the NATA accredited ALS report, however can be provided upon request
only.
NON
An email listing any confirmed Legionella detections or high bacterial (HCC) counts will be sent to the relevant District
CONFORMANCES Administrators (DA's). The DA will advise the account manager and/or submitter of the Legionella and/or HCC count.

LIMS (Laboratory Information Management System) is a database where all lab information is stored and managed.
The WebApp is a web version of LIMS, which allows users to access this information through any available internet
connection. Access is strictly limited to Ecolab associates only.
REPORTED RESULTS The WebApp can be used for the following applications:
* View results for completed samples
* Generate reports or data dumps
* Add emails to the distribution of an active sample
