Regular Meeting of the Board of Trustees


Board Meeting held on January 8, 2020

Marie Black called the meeting to order at 9:04 a.m.

Minutes from November 13, 2019 Meeting: Imogene motioned to have the November 13th
minutes approved and Bill seconded. All were in favor and the motion passed.

Circulation and Library Statistics: The Board reviewed the circulation and library statistics.
The circulation is overall down; however, e-book circulation is up. Imogene asked everyone if
anything was bothersome or any major concern with the numbers. Karen responded no, all was
good. The low circulation is possibly due to the holiday season when the Library is open fewer
hours than the rest of the year.

Bill asked about the 7,000 people in daily attendance and Karen informed him that it included
our West Wing attendance. Additionally, a recruiter for the 2020 Census had a table setup for
assistance with applications.

Financial Reports: In regards to the Custom Summary, a discussion ensued about the $30,000
Health & Housing Foundation’s annual donation requiring its own separate line rather than
included among the other donations. They agreed to create a new code, Code 110, specifically
for the donation.

Imogene suggested adding a monthly balance sheet of the New Building Fund account in order
to facilitate discussion on the progress of our fundraising. Bill agreed adding that a document
outlining donations received and expenditures would be beneficial when discussing with others
about donating to our cause to show our progress.

USDA Grant: Marie talked with Emily VanSyoc about providing assistance in applying for the
USDA grant. Emily said she would charge up to $500 to work with us on the application as a
grant writer.

Marian motioned for the Chair to spend up to $500 to get the grant writer for the USDA grant
and Bill seconded. All were in favor and the motion passed.
Building Insurance: The building insurance renewed this year for $1,400 less thanks to Sammy
Judah.

Library Fundraising Committee: The upcoming Library Fundraising Committee on Friday,


January 10th has only two individuals who responded they will be attending.

District 2 Meeting / Trustee Training: On February 20th at 10am in the West Wing, the Library
will be host to a District 2 meeting in which the agenda includes trustee training and Alabama
Virtual Library training. The meeting will have light refreshments. The Board is invited to
attend.

Marian motioned to adjourn and Christina seconded. The meeting adjourned at 9:52 am and the
next scheduled meeting is February 12, 2020 at 9:00 a.m.
