Manage human resource and office management functions for an average of 50 employees in Boston & New
York City offices

Human Resources
• Compensation - Execute exempt (monthly) and non-exempt (biweekly) payrolls using
Paycheck system. Ensure accuracy of payrolls and make changes as needed. Execute special payrolls
like yearly bonuses or yearly stock awards. Identified & developed procedure for non-exempt payroll
system making certain applicable with law. Maintain confidential payroll and employee files.
• Benefits - Administer employee benefits including medical, dental, time off, Flex Spending &
401K plans. Answer all employees’ questions on benefits and troubleshoot any issues. Evaluate
plans yearly and recommend changes as needed.
• Recruiting - Responsible for the recruitment of all US staff including college interns. Develop
recruiting methods & procedures, utilizing a variety of posting sources. Update job descriptions
working with hiring manager. Manage relationships with recruiters & college career offices.
Negotiate recruiter fee agreements as needed. Coordinate the interview process, scheduling
interviews with hiring managers and then departments. Conduct initial phone screen for applicants
as needed. Ensure consistent communication with all applicants throughout process. Conduct
background and reference checks on all final candidates. Created efficient applicant tracking excel-
based system streamlining information flow on candidates.
• Employee Relations – Provide support to employees for the full-cycle of their career at the
company. Implement on-boarding program and orientation of new employees. Coordinate new
employee training with department heads. Manage yearly performance appraisal process for US
offices. Partner with Management (Global Head of HR, Senior Managing Directors, CIO and CFO)
on employee relations issues including grievances and terminations, providing guidance and
administrative support to each process.
• Employment Law – Act as a resource on all federal and state human resource laws, extending
understanding to all human resource practices in the US offices. Assess & continually update
employee handbook (annually), employment offer letters, and general office policies to stay current
with law. Lead employee training presentations including non-discrimination and hiring for both
offices annually. Actively participate in several webinars monthly on a variety of HR topics to
enhance knowledge of employment law and HR practices.

Office Management
• Facility - Oversee all facility issues for both offices including: landlord relations, security, supplies,
vendor management, and office repair & maintenance. Coordinate IT services with Systems
Administrator.
• Accounting – Supervise 1 Accounting Associate who performs bookkeeping for accounts
receivable/payable for vendors and employees. Reconcile books monthly with in-house and outside
accountants monthly. Ensure all federal, state and local taxes are paid on a timely basis. Ensure
employee compliance with company travel & expense policies. Selected and implemented American
Express Travel improving employee travel service, costs and expense control.
• Administrative Support - Manage administrative duties of 4 Assistants who provide support
for both offices. Train new assistants on office procedures. Establish administrative policies
including travel booking guidelines, expense reporting etc. Provide back-up administrative support
as needed.
• Office Projects:
o Planned Executive & Board offsite meetings in Boston (2010) and New York City (2009).
Oversaw all logistics of meetings including schedule, presentation printing, A/V, hotel and
restaurant reservations for the group of 20 during the weekend.
o Supervised Boston office move with 20 employees moving into 9,500 sq ft of newly
constructed space (2008). Coordinated office construction with architects and contractors, IT
vendors and furniture vendors. Managed process ensuring a smooth transition to new office
space.
o Oversaw New York office expansion into additional 3,000 sq ft of newly constructed and
furnished space (2008). Coordinated office construction with architects and contractors, IT
vendors and furniture vendors.
o Organized & planned our 60-person company offsite trips to Miami (2005) & Las Vegas
(2006). Coordinated hotel, restaurant and car transport reservations, negotiating each vendor
contract. Managed the schedule during the trips.

• Arranged meetings & travel for small 10 person office. Provided receptionist duties for office.
• Provided executive administrative support to 3 executives including managing their calendars,
answering phones, and preparing travel expense reports.
